For a one-time handoff, use a protected, time-limited Send link. For ongoing work, use Add people on a dedicated folder and grant only the permissions each person needs. For incoming submissions, use Receive files. Then review and remove access when the task is over. Koofr’s sharing controls help limit access, but a public link can still be forwarded, and revoking it cannot erase copies already downloaded.
Choose the right Koofr sharing method
Koofr offers three distinct ways to share, depending on what the recipient needs to do. Its file and folder sharing help describes the access requirements and boundaries for each.
| Method | Recipient access | Best for | Important boundary |
|---|---|---|---|
| Add people | Account-based; recipients need a Koofr account. | Ongoing access or collaboration. | A file shared directly is read-only. Folder permissions can allow collaboration and apply to the whole folder. |
| Send link | Recipients can access without a Koofr account. | A one-way download handoff. | Read-only access. The link can be password-protected and given an expiry. |
| Receive files | Uploaders can use the link without a Koofr account. | Collecting files into a chosen folder. | Creates an upload link; protect and expire it as appropriate. |
Send a protected download link
Use Send link when someone needs to download a file or folder but does not need to edit it. Treat the link as a bearer credential: anyone who obtains it may be able to use it, so password protection does not prove who the recipient is or prevent forwarding.
- Select the file or folder in Koofr and choose Send link.
- In the sharing dialog, enable Protect link with password and set a password if that option is available. Koofr says custom passwords are 6 to 16 characters and may contain letters and numbers; choosing a custom password is limited to paid accounts. Koofr also says some potentially malicious file types require password protection, and free accounts cannot publicly share executables and certain other commonly malicious files. Check the options available in your account.
- Set an expiry that gives the recipient enough time to retrieve the files. Koofr lists one hour, one day, one week, never, and a custom date. Free accounts cannot create links with no time limit. A short, task-matched expiry is safer than leaving a link open indefinitely.
- Send the link only to the intended recipient. Where practical, send its password through a separate channel; do not post either in a public place or a group with a wider audience.
For current password and expiry details, see Koofr’s help on password-protecting links and setting a link expiry date.

Share a folder for collaboration
Choose Add people when collaborators need continuing account-based access. Sharing a file directly this way is read-only; to let someone edit, put the file in a folder and share that folder. Because folder permissions cover the entire shared folder, create a dedicated folder if collaborators should not see or change other files.
Review permissions for each person. Koofr’s shared-folder permission guide lists controls for commenting and labeling, modifying files, creating download or upload links, and managing the share. Modification can include adding, deleting, moving, copying, renaming, and downloading files and folders. Give each person only the rights needed for the task.

Collect files with a Receive files link
Use Receive files to let people upload items into a chosen folder without giving them ordinary collaborator access. Create the upload link for the intended folder, then protect it with a password or expiry if those controls are available for the link. Share it only with the people submitting files. Anyone with the link may be able to upload, so remove it when submissions are no longer needed.
Review and revoke links or collaborator access
Koofr’s Links area lets you inspect public upload and download links, edit or remove them, and see activity counts: how many times a download link was opened or how many files arrived through an upload link. Links are grouped by whether they expire within 48 hours, within two weeks, in more than two weeks, or never. Those counts indicate activity; they do not establish the identity of the person who accessed a link. See Koofr’s link-management instructions.

When a handoff or collaboration ends, remove the relevant link, share, or person. Koofr explains how to remove a share and remove a link. Removing a link stops future access through that link; it does not delete files a recipient already downloaded.

Koofr Vault is a separate client-side encryption feature. Koofr says Vault encrypts filenames and file contents locally before upload, and that the Safe Key is not sent to Koofr. The Vault overview and Safe Key explanation describe that design. The reviewed Koofr help does not establish whether Vault items can be shared through the ordinary Send link flow. Check current official Vault instructions before relying on a public-link workflow for Vault files.
