There is no universal winner: compare the exact business plans you would buy, then pilot real workflows before moving your files.
Start with file ownership, not storage capacity
Decide where files belong before comparing gigabytes. An employee’s working documents and records the whole team needs are different kinds of content, even if both are stored in the cloud.
- Individual work: Drafts and working files primarily owned by one employee can live in that person’s cloud storage.
- Team-owned records: Shared procedures, project files, and durable business records should live in a team location with appropriate access for the people who need them.
- Customer-shared files: Identify who may share these files, with whom, and whether access should expire or be revoked after a project.
Microsoft’s small-business setup guidance describes OneDrive as designed for individual use with occasional sharing, and a SharePoint team site as designed for regular file sharing and collaboration. Microsoft also describes SharePoint as the better fit for advanced content management and collaboration across a team or organization. These are Microsoft’s recommendations for its own services, not an independent comparison of platforms. Microsoft’s file storage and sharing setup guidance explains the distinction.
A useful test is to ask what happens when the employee who created a folder leaves. If the business still needs the files, store them in a team-owned location and make sure more than one appropriate person can administer access.

Compare the plans your team would actually use
Storage is counted differently across services, and the advertised allowance is only one part of fit. The figures below are vendor plan specifications, not independent measurements. Check the current plan page and regional terms before purchase; allocations and features can change.

Google describes its business storage as pooled: the plan’s storage is shared across users rather than existing as an isolated allocation for each person. Microsoft lists OneDrive storage per user and a separate SharePoint organization quota. Consider both current use and likely growth, especially if staff work with large video, design, or other media files. Do not treat one provider’s per-user figure and another provider’s pooled figure as directly interchangeable.

Check collaboration and daily workflow
Storage capacity will not tell you whether a service works well for your team’s real files and devices. Run a pilot with the people and workflows that matter before choosing.
- Editing: Have several users edit the file types the business relies on. Check how simultaneous changes appear and how conflicts are handled.
- Sync and offline access: Test a laptop and phone, including what happens when a user works offline and reconnects.
- External collaboration: Invite a client or other test account. Confirm that sharing is easy to administer and that recipients see only the intended files.
- Large files: Upload, edit, sync, and retrieve files representative of the business’s largest routine projects.
- Existing tools: Confirm that staff can use the suite’s document and identity tools without creating duplicate or confusing file locations.
- Employee departure: Test how administrators transfer or retain files, remove access, and preserve shared records when a user leaves.
The available vendor materials establish product guidance and plan specifications, not an independent performance winner among Google, Microsoft, Dropbox, Box, NAS, or other options. Base your choice on a pilot rather than assuming one service will sync or co-edit better for your particular file mix.

Verify access control, administration, and recovery
Before committing business records, verify the controls included in the exact edition you intend to buy. A feature name or a higher storage allowance is not proof that a plan meets your operational, contractual, or legal requirements.
- Who can create links or share files outside the organization?
- Can administrators limit external sharing or remove a collaborator’s access?
- How are identity, sign-in, and device access managed for employees?
- What retention, version-history, and deleted-file recovery options apply to this edition, and for how long?
- Can the business export its data in a usable form, and who can perform that export?
- Do the edition’s controls fit the business’s jurisdiction, customer contracts, and data-handling obligations?
Do not assume that cloud sync or file sharing is an independent backup. A sync service can propagate deletion or unwanted changes. Decide separately whether the business needs a backup system to meet its recovery goals, and test restoring a deleted or changed file as well as recovering data from any separate backup.

Use a selection process that tests the risks
- Inventory the data. Count active users, estimate current file use and growth, note large-file workflows, and identify data subject to regulatory or contractual restrictions.
- Classify folders. Mark each as personal work, team-owned, or customer-shared. Choose a durable team location for records that must remain available beyond one employee.
- Shortlist familiar suites. Start with platforms already included in the business’s productivity tools, then check official plan terms for storage, sharing, administration, and recovery.
- Run a realistic pilot. Include several users, their devices, typical and large files, external collaborators, and an employee-departure scenario.
- Test restore and export. Restore a deleted or changed file and confirm how the business would retrieve its data if it changed platforms. Define any separate backup requirement against recovery needs.
- Compare the full cost. Calculate the annual cost for the actual user count, including relevant add-ons, migration work, and the effort required to leave. Current prices and migration costs vary by region, plan, and business, so confirm them for the specific purchase.
Choose based on fit, then confirm with a pilot
If your business already relies on Microsoft 365, Microsoft’s own guidance points toward OneDrive for individual work and SharePoint team sites for regularly shared files. If it uses Google Workspace, compare the edition’s pooled storage and shared-drive availability with the team’s ownership and capacity needs. These are practical starting points, not a neutral verdict that either suite is best for every small business.
Whichever platform makes the shortlist, make the decision only after confirming the exact edition’s controls, testing collaboration and recovery, and understanding the cost and exit process for your user count. Pricing, regional terms, and included features can change; verify them directly with the provider before purchase.
