There is no single best replacement for OneNote, Goodnotes, and Notability: the right choice depends on whether you mainly write by hand, organize typed notes, build databases, or need a library that syncs across devices. This guide compares the documented options and explains how to assess migration before leaving your current app. It does not claim a personal app choice or hands-on test.
Choose by the work you need the app to do
Start with your most frequent task, not a feature checklist. A handwriting-first app can be a poor fit for linked research notes; a database app can add friction if all you want is to mark up lecture PDFs. The candidates below are workflow matches, not a universal ranking.

Goodnotes’ August 26, 2026 comparison of Goodnotes and Notability is vendor-authored, so treat its judgments as product positioning rather than independent testing. Its September 11, 2026 overview likewise characterizes Obsidian as primarily typed-note focused and Apple Notes as an Apple-ecosystem option; those are useful orientation points, not a neutral head-to-head test. Make sync, privacy, and collaboration part of the decision
“Works on my devices” can mean different things: a managed cloud library, local files synchronized by a service you choose, or a platform-bound account. Before switching, identify where the authoritative copy lives, what happens offline, which devices can edit it, and how you will restore it if sync fails. Obsidian’s local-file model is a different trade-off from apps that manage notes in their own cloud. Microsoft recommends syncing and moving OneNote notebooks through OneNote rather than a generic file-sync client; see Microsoft’s OneNote sync guidance.

If shared editing is essential, verify the destination’s current collaboration behavior and access controls directly. The documented material here does not establish a reliable cross-app collaboration ranking, so do not assume that a match on note-taking features also means a match on team workflow or privacy needs.
Check the full cost, not just the app name
Goodnotes currently lists Free, Special Edition, Essential, and Pro; its feature comparison describes limits for Free and notes that purchasing options vary by region and platform. The pricing page shows US annual prices for some plans, but those are localized examples, not universal or guaranteed prices. Notability currently presents Starter, Plus, and Pro, with differences that include audio recording and transcription, handwriting search, and AI functions. Plan a OneNote migration before abandoning your notebooks
Import support is separate from feature fit: a destination may accept a file format without preserving every layout, attachment, ink stroke, or organizational detail. Keep OneNote available until you have checked representative notes in the new app.
- Sync and back up first. Confirm that each source notebook has finished syncing, then retain a backup. Microsoft’s current export guidance describes platform and version constraints, says its notebook import function is deprecated, and notes that the described notebook-download process is Windows-only and unsupported on iOS. Notebooks containing embedded documents, scans, PDFs, or media can become large. See Microsoft’s export and import guidance.
- Choose the destination’s documented route. Obsidian’s official importer can import through OneNote sign-in or from OneNote export files such as .onepkg and .one, converting content to Markdown. Notion lists supported file formats and selected app imports, started from desktop or web. Apple documents Markdown import on macOS Tahoe 26, iOS 26, iPadOS 26, and later. Follow each destination’s current instructions; supported import does not promise complete fidelity.
- Test a representative sample. Include ordinary typed pages, tables, internal links, images, attachments, PDFs, scans, and handwritten pages if you use them. Check whether hierarchy and links still make sense, and whether embedded content is present and usable. The Obsidian importer documentation describes conversion, not a guarantee that every OneNote feature will survive.
- Retire the old library only after verification. Keep the original notebook and backup until the pages you depend on are accessible in the destination and your sync arrangement is working. For OneNote moves, use OneNote’s own sync and notebook-management flow rather than a generic file-sync client.
Use a short trial to resolve close calls
When two apps seem suitable, test them against the same small set of real tasks before moving your full archive. For a handwriting workflow, annotate a representative PDF and search for a handwritten term. For a typed-note workflow, create linked notes and inspect the underlying files or export. For a structured workspace, build one sample database and test the import of a small set of records. Check the same notes on each device you use, including offline access if that matters. This is a practical comparison method, not a claim that any one candidate has passed those tests.
