Choose a computerized maintenance management system (CMMS) by starting with the work your operation needs to manage—not with a vendor’s feature list. Define the maintenance problems, workflows, assets, people, information, and decisions the system must support; then compare vendors using the same real-world scenarios.

What a CMMS does

A CMMS centralizes maintenance and asset information and supports day-to-day maintenance workflows. Siemens describes common capabilities including creating and tracking work orders, scheduling preventive maintenance, recording asset data, managing parts inventory, and monitoring asset performance through reporting and dashboards. These are software capabilities, not guaranteed operational results.

Siemens’ CMMS overview describes the category and its capabilities. In a February 21, 2024 learning-center explainer, Siemens defined a CMMS as software that makes scheduling and tracking maintenance work orders faster, easier, and more cost-effective. That is Siemens’ characterization, not an independently established outcome for every organization.

Start by defining the operation’s needs

Before comparing products, document what is not working and what better maintenance management needs to enable. The CMMS Buyer’s Guide recommends beginning with the operation and moving through requirements, costs, vendor conversations, demonstrations, selection, and implementation.

Build requirements from the work itself. For example, identify how maintenance requests arrive, how work is prioritized and assigned, which preventive tasks recur, what asset history technicians need, how spare parts are issued, and what information leaders use to make decisions. Distinguish essential requirements from preferences so that a long feature list does not obscure operational fit.

Evaluate the workflows a CMMS must support

Use the criteria below to turn operational needs into questions vendors can answer and demonstrate. Ask to see each workflow in the product, rather than relying only on a feature name or a general assurance.

Work orders

Test the full path from request to closeout: intake, assignment, priority, scheduling, status updates, labor or time capture, completion, and retained history. Siemens lists work-order creation and tracking among CMMS capabilities. Teamwork describes opening, assigning, scheduling, completing, and closing work, with an activity trail and labor-time logging.

Preventive maintenance and inspections

Check whether the system can handle your recurring schedules, generate work orders when due, and attach task or inspection checklists. Siemens lists preventive-maintenance scheduling; Teamwork describes recurring PM schedules and checklist templates.

Assets, locations, and history

Confirm that the system can represent equipment and locations at the level your teams actually use, and that technicians can retrieve useful maintenance history. Siemens describes asset data and complete asset histories; your demonstration should show how a technician finds the right record and sees its past work.

Parts and inventory

Ask how spare parts are cataloged, connected to jobs, and monitored as stock changes. Siemens lists parts-inventory management, while Teamwork describes a spare-parts catalog and stock levels tracked per work order. Have the vendor demonstrate the issue or use of a part during a representative work order.

Mobile use and scanning

Have technicians try realistic tasks on the devices and under the conditions they will encounter in the field. Check whether they can access the needed asset and work information and record what they did. UpKeep’s CMMS feature guide identifies mobility and barcode or RFID scanning as capabilities to consider. Teamwork describes QR labels that can retrieve an asset’s history and start a work order from a phone.

If scanning is important, verify the exact QR, barcode, or RFID support in the specific software and test the label with the organization’s actual devices and records. A QR asset label is not automatically compatible with every CMMS: confirm supported formats, label size, durability, adhesive, and scanning behavior before buying labels.

Reporting and operational decisions

Choose the reports and indicators leaders need to act on, then ask to see how the system produces them. Siemens describes dashboards and reporting for maintenance trends and asset performance; UpKeep recommends evaluating analytics reports and KPIs. Assess whether the information is understandable and usable for the decisions your organization makes.

Integrations and implementation

Identify the systems that must exchange data before selecting a vendor. Siemens says its implementation services can include ERP, geospatial, and other third-party integrations. That does not establish support for a particular interface in your environment. Ask each vendor to specify supported interfaces, implementation scope, migration responsibilities, and dependencies for the systems you use.

Compare vendors with the same demonstration scenarios

Prepare a short set of representative tasks from your operation and ask every shortlisted vendor to complete the same ones. This makes differences in workflow fit easier to see than a feature-by-feature presentation.

  1. Submit and assign a new request: Show how a request is recorded, prioritized, assigned, and tracked to completion.
  2. Run a recurring preventive task: Show its schedule, automatic work-order generation, and any task or inspection checklist.
  3. Look up an asset: Find an equipment record and review its maintenance history.
  4. Issue a spare part: Show how a part is associated with work and how inventory is represented.
  5. Complete work on a mobile device: Have a technician open the job, access the relevant information, record work, and close or update it. If scanning is required, include an actual label and device.

Record what each system can do in the demonstrated workflow, what requires configuration or additional services, and what remains unclear. The vendor conversations and demonstrations are part of the buyer’s selection process described by the CMMS Buyer’s Guide; using your own scenarios is a practical way to make those conversations comparable.

Weigh fit, cost, and implementation effort

Compare systems on workflow coverage, field usability, preventive-maintenance flexibility, asset and parts data, reporting, integrations, implementation scope, migration effort, and total cost. These dimensions connect the software’s functions to the work your teams must perform and the effort required to adopt it.

The sources cited here do not establish current vendor pricing, a universal best product, independent comparative performance, or a verified ranking of outcomes. Request current pricing and terms directly from vendors, and clarify what is included in implementation and ongoing service. Do not treat a feature claim or projected benefit as a measured result for your organization.

Plan the selection and implementation together

Selection is not finished when a product is chosen. Establish who owns requirements, data migration, configuration, integrations, and user preparation, and confirm the vendor’s responsibilities and dependencies. Siemens lists ERP and geospatial integrations as possible services, but exact support and scope depend on the specific environment and agreement.

Use the same operational requirements that guided selection to define what must be ready for use: reliable asset records, workable request and work-order paths, preventive schedules, parts data, field access, and the reports teams need. Confirm responsibilities and unresolved dependencies before implementation work begins.
