A spreadsheet can be enough for a small business with few, straightforward transactions—if it keeps accurate, verifiable records and you can meet your local filing and retention rules. Accounting software becomes more useful as transactions, locations, reporting needs, or digital filing obligations grow. Neither tool makes the business’s tax responsibilities disappear, and the right choice depends on your country’s GST rules.

Should you use GST software or Excel?

Start with the work your business must do, not the product label. A spreadsheet or other manual system may suit low transaction volumes when one person can record and classify transactions consistently, prepare the required figures, and retrieve the supporting documents. Singapore’s Inland Revenue Authority of Singapore (IRAS) says in its Record Keeping Guide for GST-Registered Businesses that “A manual record keeping system may be sufficient if your business has small volumes of transactions.”

Software is more helpful when manual tracking becomes burdensome, the business has multiple outlets, or it needs integrated GST reports, invoices, inventory, multiple currencies, or digital reporting. These are practical decision points, not a universal transaction threshold: the official guidance does not set a number at which every business should switch.

In either setup, keep the original invoices, receipts, and other required records. Entering invoice details in accounting software does not, by itself, replace keeping the source record, according to the Australian Government’s small-business guidance on choosing accounting software. Software can organize or transmit information, but the business remains responsible for the accuracy of its records and returns.

When can a spreadsheet manage GST?

A spreadsheet can work if its process is controlled and produces a complete, checkable record. Before relying on one, confirm that you can:

  • Record each sale and purchase with enough detail to classify it correctly under your local GST rules.
  • Reconcile the figures to source invoices, receipts, bank or card records, and other required evidence.
  • Prepare the reports or return figures required by your tax authority.
  • Keep records current, searchable, backed up, and available for the required retention period.
  • Have a person review formulas, changes, unusual transactions, and the return before filing.

The review and backup steps are practical controls, not a claim that a spreadsheet is compliant by default. In Singapore, IRAS says records must enable verification of GST and income-tax return figures; insufficient records can lead to estimates and disallowed claims. New Zealand’s Inland Revenue accepts paper records, bookkeeping software, electronic records, or combinations, but still requires businesses to retain the relevant sales and purchase records.

What does accounting software need to do?

“GST software” is not a guarantee of suitability. Check the package against the rules and workflow that apply to your business and location.

  • Local tax support: Can it produce the GST reports, invoices, and return data required by your tax authority? In Australia, government guidance recommends checking that software supports digital reporting to the ATO and is compatible with Standard Business Reporting (SBR).
  • Digital filing or transmission: Does your jurisdiction accept direct filing or require invoice data to be transmitted through a compatible system? Confirm that the exact product and plan support the applicable process.
  • Business complexity: Does it handle your stock, outlets, currencies, entities, and accounts? Australian small-business guidance suggests considering GST detail reports, invoices, receipts, stock, multiple businesses or accounts, and foreign-currency support.
  • Evidence and continuity: Can you retain and retrieve source documents, control access, and back up records appropriately? Verify the specific product’s security, backup, and export features rather than assuming they are included.
  • Professional workflow: Can your accountant or tax agent access or use the reports and records they need?
  • Total effort and cost: Compare subscription and setup costs, training, and staff time with the manual work the software would replace. Official sources do not establish a general cost saving or error-rate advantage.

The ATO says business accounting software can produce tax invoices and automatically generate GST liability and credit reports for BAS preparation on its GST accounting page. That page was last updated on 4 April 2019, so check current ATO requirements before relying on it for detailed filing instructions.

How country-specific rules affect the choice

GST rules, filing systems, retention periods, and digital-reporting obligations are not interchangeable between countries. These examples are specific to the named jurisdictions; check the current rules for your own business before setting up a workflow.

Singapore

IRAS states that GST returns are due through myTax Portal within one month after each accounting period ends, including a NIL return when there were no transactions. Its guide says GST and income-tax records must be kept for five years. A small-volume business may use manual records, but as transactions or locations grow, electronic records may be more useful.

Singapore’s GST InvoiceNow implementation adds a digital-transmission consideration. ACRA’s guide, last updated 5 October 2026, lists all new voluntary GST registrants from 1 April 2026; all new compulsory registrants and existing businesses with annual supplies up to S$200,000 from 1 April 2028; and further phases for existing businesses on 1 April 2029, 1 April 2030, and 1 April 2031, grouped by total annual supplies. Check the ACRA GST InvoiceNow requirements and phase schedule for the category and date that apply to you. InvoiceNow is a digital e-invoicing network that transmits invoice data between systems, so confirm your system supports the applicable requirement.

IRAS describes seamless filing of GST F5 from accounting software as reducing the risk of manual typo errors because the form is populated automatically. That is a qualitative statement in its Seamless Filing from Software infographic, attributed to Ms Rosalind Yeo, Senior Manager at HORME Hardware—not a quantified comparison or guarantee that software prevents errors.

Australia

Australian Government small-business guidance recommends choosing software that is understandable, supports required record keeping, enables digital reporting to the ATO, and is SBR-compatible. Verify the current ATO requirements and the software’s capabilities for your business before relying on a particular filing workflow.

New Zealand

New Zealand Inland Revenue says businesses must keep records of cash and electronic sales and purchases for seven years. Its examples include taxable supply information, correction information, bank statements, invoices, receipts, card records, point-of-sale records, and cashbooks. Inland Revenue accepts paper, software, electronic records, or combinations; the required records still need to be retained and retrievable. See its GST record-keeping guidance, updated 14 May 2026.

A practical way to decide

  1. Identify your jurisdiction and obligations. Confirm filing channels, record types, retention period, and any digital reporting or e-invoicing requirement that applies to your business.
  2. Map your workload. Count transactions and account for outlets, stock, currencies, and complexity—not just how many rows you enter today.
  3. Test the output. Check whether your current spreadsheet or candidate software can produce the necessary records, GST reports, invoices, and supporting evidence.
  4. Check integrations and continuity. Verify tax-system compatibility, accountant access, backup, security, retrieval, and export features for the specific product.
  5. Compare the real workload and cost. Include setup, training, subscriptions, and staff time; do not assume automation will save money without checking your own process.
  6. Keep a human approval step. Review classifications, exceptions, and return figures before filing, whichever tool you use.

When should a small business switch to accounting software?

Consider switching when transaction volume or locations make a manual system hard to keep current, when preparing reports takes too much effort, or when a local digital-filing requirement calls for compatible software. You can also move earlier if a suitable system makes records easier to retrieve and review. There is no official universal cutoff, and the evidence does not establish a general price, time-saving, or accuracy advantage for software over spreadsheets.
