Choose GST compliance software by mapping it to your GSTINs, transaction volume, filing workflow, e-invoice and e-way bill needs, accounting system, reconciliation workload, and in-house technical capacity. Then verify that the product’s integration route and support match those needs. There is no universally best option: the official sources describe GST workflows, not a current comparison or endorsement of commercial products.

Start with the work your business needs the software to do

Before comparing products, document how GST work moves through your business today and what is likely to change as it grows. A small operation filing for one GSTIN may have different needs from a business handling multiple registrations, high invoice volumes, and real-time processing.

  • GSTIN structure: List the registrations the software must support and who prepares and reviews filings for each.
  • Invoices and transactions: Estimate the volume the system must handle, including expected peaks and how quickly records need to be processed.
  • Returns: Identify the returns and filing steps in your actual process. The GST Portal says GSTR-1 must be filed even when there is no business activity for the tax period; make sure the workflow accounts for nil periods as well as active ones. GST Portal GSTR-1 guide
  • E-invoicing and e-way bills: Establish whether these workflows apply to your transactions and how invoice data should flow into returns and movement-of-goods documentation.
  • Accounting and billing: Record the accounting, ERP, or billing software already in use, and identify where data is currently re-entered or exported.
  • Reconciliation and exceptions: Note how staff identify mismatches, correct errors, and track unresolved items before filing.
  • Technical capacity: Be realistic about whether your team can configure, monitor, and maintain integrations—not just set them up initially.

Returns and filing

The GST Portal describes filing GSTR-1 through the portal and through third-party ASP applications via GSPs. Ask a provider to demonstrate the exact preparation, review, correction, and submission process for your GSTIN structure. Confirm how it handles periods with no business activity, since GSTR-1 is still required for those periods under the portal guide.

E-invoicing

GSTN describes e-invoicing as electronic authentication of B2B invoices: an Invoice Registration Portal (IRP) issues an identification number, and invoice information feeds into GST and e-way bill workflows. GSTN’s e-invoicing overview explains the process. The GST Portal says it receives e-invoice details from the IRP for GSTR-1, so ask how a product handles that data and what checks remain for your staff.

E-way bills

The official e-way bill portal describes e-way bills for movement of goods exceeding ₹50,000 in specified circumstances. That is not a complete applicability test for every transaction; confirm the current rules for your goods, movement, and circumstances with the official system and an appropriately qualified adviser. Compare integration routes against volume and IT capacity

Integration is an operating choice, not merely a feature checkbox. The right route depends on how much data moves through the business, how quickly it must be processed, and who will maintain the connection.

Route When it may fit What to verify
GST Portal workflow A team that prepares or files through the portal. Which tasks remain manual, how data is prepared for upload, and how staff review filing results.
Third-party ASP application through a GSP A business seeking a provider-mediated filing workflow. The GST Portal guide confirms this is a filing path. Which GSTINs and filing steps are supported, how the application connects, and how exceptions are reviewed.
Accounting or ERP connection A business that wants GST workflows to use records from its existing finance or operations system. Whether the connection covers the data and workflows you need, how errors and changes sync, and who owns maintenance.
Direct API integration The official e-invoice portal identifies taxpayers with internal IT teams, large transaction volumes, and real-time e-invoice generation needs as a suitable audience. Implementation effort, monitoring, maintenance, failure handling, and the technical capacity required. The official guidance does not establish that an API is simpler or cheaper.

The e-way bill API documentation similarly describes integration for high-volume taxpayers and says system integration can avoid duplicate data entry and reduce data-entry mistakes. Treat that as a workflow rationale, not a quantified performance guarantee for a particular product. E-way bill API introduction

For e-invoicing, the National Informatics Centre states on its GST – E Invoice project page: “All invoice information is transferred from einvoice1.gst.gov.in portal to both the GST portal and e-way bill portal in real-time.” Ask providers to show how their product fits into that flow rather than assuming every tool performs the same role.

Evaluate products with a practical demonstration

Use the same scenarios with each provider so you can compare workflow fit rather than sales descriptions. Ask the provider to show the steps in the product and clarify which actions are automated, which require staff review, and what happens when data is incomplete or a connection fails.

  • Prepare a return for each relevant GSTIN, including a nil GSTR-1 period.
  • Show how invoice data enters the system from your current accounting or billing process.
  • Trace an e-invoice through authentication and into the return workflow, if applicable to your business.
  • Show e-way bill generation and correction workflows where your transactions require them.
  • Demonstrate reconciliation: how mismatches are surfaced, assigned, corrected, and checked again.
  • Simulate a rejected or failed submission and show how staff identify the cause and resume the process.
  • Show user permissions and review controls for the people who prepare, approve, and file.

Check the provider-specific details before choosing

The official sources establish workflow paths, not commercial product capabilities. Before committing, confirm current information directly with each provider and document the terms that matter to your operation.

  • Coverage: Supported returns, GSTIN arrangements, e-invoice and e-way bill workflows, and compatibility with your accounting or ERP tools.
  • Implementation and support: Setup responsibilities, response channels, support hours, escalation process, and service commitments.
  • Security and data handling: How business and tax data is accessed, stored, protected, retained, and removed when the service ends.
  • Cost: The full cost for your required GSTINs, volume, integration, implementation, support, and any other applicable charges.
  • Change management: How the provider communicates product or integration changes that could affect filing deadlines or workflows.

Confirm current GST rules, portal and API specifications, applicability, and provider capabilities at the time of selection; each can change. No product ranking or universal recommendation follows from the official workflow guidance alone.
