Choose construction project management software by starting with the work that repeatedly breaks down—not with a vendor feature list. Map your handoffs, identify must-have workflows, then test shortlisted systems with office and field users on a realistic job. Compare integration behavior, adoption effort, licensing, and contract terms alongside features; a system that works for today’s team can become an expensive bottleneck as projects and crews grow.

Start with the coordination problems you need to fix

Before booking demonstrations, trace how work moves from estimate and project setup through execution and closeout. Write down where information is entered twice, drawing revisions are missed, approvals stall, commitments or costs are hard to see, or field updates fail to reach the office. These recurring breakdowns—not a long feature checklist—should determine what the new system must do. Procore’s selection guidance recommends assessing company needs and building a buying team before choosing a solution (Procore selection guidance, updated Dec. 10, 2025).

Include people who own the process as well as people who perform it: for example, project managers, superintendents, accounting or operations staff, and company leadership. Note which existing tools and records are involved at each handoff. This gives the buying team a shared picture of the problem and prevents a decision driven by one department’s priorities alone.

Turn the map into must-have workflows

Translate each problem into a workflow the software should support. Relevant areas to evaluate include drawings and document control, RFIs, submittals, schedules, daily logs, photos, cost tracking, reporting, and field-to-office coordination. Procore’s buyer guide and product page describe capabilities across these areas, while Autodesk’s general-contractor and specialty-contractor pages describe construction management offerings for those audiences (Procore buyer’s guide; Procore project management; Autodesk Forma for general contractors; Autodesk Forma for specialty contractors). Treat vendor feature descriptions as claims to verify in your own evaluation, not proof that a particular configuration will fit.

Separate requirements from attractive extras. A requirement should address a named problem, have a clear owner, and be testable in a demonstration or pilot. Features without a defined use may add configuration and training work without resolving a current coordination failure.

Test the system with the people who will use it

Ask each shortlisted vendor to demonstrate the same realistic job scenario, using your workflows and representative documents where possible. Involve project managers, superintendents, and other likely users; do not rely on an office-only presentation if the system must work in the field.

  1. Find information: Have a user locate the current drawing and the relevant specification, then confirm how revisions are identified and communicated.
  2. Complete routine updates: Record a daily update and add a project photo using the mobile experience the field team would actually use.
  3. Move an issue through approval: Submit or respond to an RFI and review how the assigned people see its status and history.
  4. Check schedule changes: Find an updated schedule and determine what a superintendent or crew member can see on a mobile device.
  5. Test weak connectivity: If crews work where service is unreliable, test offline tasks and subsequent syncing in the proposed configuration. Procore describes offline mobile access and access to current drawings, daily reports, photos, RFIs, submittals, and schedules; validate those vendor-stated capabilities in the plan and setup being offered (Procore product page).

Record pass or fail against each requirement, note how many steps or workarounds a task takes, and ask users whether the workflow is clear enough for routine use. A feature existing somewhere in the product is not the same as a practical process your team can follow.

Verify integrations and data ownership

List the accounting, ERP, CRM, document-management, analytics, and scheduling systems that need to exchange information with the project platform. For every important connection, ask the vendor to demonstrate the exact data flow with the systems and configuration you use. Confirm which application owns each record, what data moves in each direction, how errors are surfaced and corrected, and which steps remain manual.

Autodesk says its construction management software has more than 400 pre-built integrations; Procore describes over 400 out-of-the-box integrations. These are vendor-reported counts, not evidence that a specific connector is available for your systems, included in your quote, or reliable for your workflow (Autodesk general-contractor page; Procore product page). Treat the counts as a prompt to check a particular integration, not as a substitute for a demonstration.

Compare scale, implementation, and total cost

A growing contractor should evaluate the cost and work of owning the system, not just its initial license. Request comparable, current quotes based on expected users, projects, required modules, integrations, onboarding, training, and support. The available vendor pages do not establish a market-wide price comparison, so verify pricing and contractual terms directly with each vendor.

Confirm the exact offer, limits, exclusions, and duration in a current quote and contract (Procore product page; Autodesk general-contractor page).
  • Implementation: Establish who will configure workflows, permissions, templates, and reports; what data needs migration; and how much time your staff must provide.
  • Training and support: Ask what training is included for office and field users, how new hires are onboarded, and what support is available when a project is blocked.
  • Contract terms: Review renewal, expansion, cancellation, data access, and service terms. Confirm whether required integrations or services carry separate charges.
  • Ongoing administration: Estimate the internal effort to maintain permissions, templates, and standards as crews and projects increase.

Use a weighted scorecard to make the decision

Score each shortlisted system against the same criteria, weighting them according to the coordination problems identified at the outset. A workflow that prevents a frequent field-to-office failure should count more than an optional feature with little practical value. Autodesk University’s description of a 2024 session on Clancy & Theys Construction Company’s software selection highlights future needs, stakeholder engagement, standardization, deployment, and buy-in as parts of the process (Autodesk University session, 2024).

Workflow coverage Does it support your required project controls, documents, RFIs and submittals, schedules, cost visibility, and closeout? Completed scenario steps, gaps, and workarounds.
Field usability Can field staff and occasional users complete routine work on mobile, including offline tasks if needed? User feedback and results of mobile and connectivity tests.
Data and integrations Does the specific connection to your existing systems move the right data and make errors manageable? Demonstrated data flow, record ownership, errors, and remaining manual work.
Scale and licensing How do user, project, storage, and module terms change as your workload grows? Written quote and contract terms for your anticipated needs.
Implementation and adoption What configuration, migration, training, support, and staff time are required? Vendor’s proposed plan, responsibilities, and support terms.
Total cost and contract What is the cost to start and operate, and how do renewal and expansion terms work? Comparable current quotes, services, and contract provisions.

Use the scorecard to expose trade-offs, not to manufacture a universal winner. A high overall score cannot compensate for a failed must-have workflow or an integration that leaves critical information manual. Keep unresolved risks visible and assign someone to obtain a specific answer or contractual commitment before selection.
