Secure remote monitoring and management (RMM) tools by protecting every administrative and customer-access identity with strong MFA, limiting routine permissions, granting elevated access only when needed, and restricting management traffic to approved network paths. Back those controls with an accurate RMM inventory, monitoring, patching, and tested incident response. The steps below draw on joint CISA, NSA, MS-ISAC, and INCD guidance published June 6, 2023; implementation details must be checked against your RMM product and network design.

What to secure in an RMM environment

RMM software gives technicians a way to monitor and manage endpoints remotely. That reach makes its management console, identities, agents, network connections, and customer environments part of the security boundary. A compromised technician account or management server can create risk across multiple systems, especially in a managed service provider (MSP) environment.

Start by mapping each RMM tenant and console, installed agent, identity provider, technician and service account, customer environment, and network path. Include local, federated, emergency, and third-party identities. Identify accounts able to run scripts, perform bulk actions, or reach more than one customer; remove obsolete accounts and credentials.

Require MFA on every privileged path

Require multifactor authentication for every administrator and every identity that can access customer environments. CISA’s business MFA guidance specifically calls for MFA on remote access and privileged or administrative access.

Prefer phishing-resistant MFA where both the RMM platform and identity provider support it. A FIDO2 security key is one possible method, but confirm current compatibility before choosing it. A password combined with a weak or bypassable factor does not provide the same phishing resistance.

Include emergency and break-glass access in the MFA design. Restrict those accounts, alert when they are used, and review each activation. Test account recovery and session expiration as well: an unprotected recovery route or indefinitely valid session can undermine a strong sign-in policy.

Use least privilege and time-limited elevation

Separate permissions by job rather than giving every technician broad administrator rights. Create roles for routine monitoring, help-desk actions, software deployment, scripting, and platform administration. Use read-only or reduced-privilege access for routine monitoring when the product offers it; the joint agency guide recommends “Configuring ‘reduced privilege’ RMM tools for common uses, like read-only monitoring.”

Grant elevated access only for the task and duration required. For sensitive or high-impact actions, use approval or step-up authentication where available. Keep accounts individual rather than shared, do not reuse administrator credentials across customers, and review privileged assignments regularly and after staff or contract changes. Apply the same scrutiny to service accounts, which should have only the permissions and scope their assigned tasks require.

Restrict where RMM access is possible

Route authorized administration through an approved remote-access path, such as a managed VPN or virtual desktop when appropriate. At network boundaries, permit only required sources, destinations, ports, and protocols; block unauthorized RMM traffic. Avoid exposing broad RMM access directly to the internet when a controlled path is available.

Place RMM servers and administration workstations in controlled management zones. Segment customer environments from one another and from the provider’s corporate network. CISA’s StopRansomware Guide notes that network segmentation can help contain an intrusion and prevent or limit lateral movement.

Design network rules around the actual vendor architecture. Some agents initiate outbound connections, and cloud-hosted platforms may require specific destinations. Check current vendor requirements before applying egress restrictions: broad blocking can break legitimate management, while blanket allowance leaves unnecessary paths open. Test segmentation for routes created by dual-homed systems, shared credentials, or firewall exceptions.

Inventory, monitor, and control RMM execution

Maintain an authoritative list of approved RMM products and expected deployment locations. Use application controls or allowlisting to limit execution, including portable or otherwise unauthorized instances. Capture relevant details for investigation: the executable or agent, user, source IP address, requested action, target, and timestamp. Alert on unusual sign-ins, new tools, unexpected source addresses or times, access to many endpoints, mass scripting, and changes to network or security controls. Retain logs according to incident-response and regulatory needs; the joint RMM guide does not prescribe one universal retention period.

Patch the management plane and rehearse response

Patch RMM servers, agents, identity integrations, and supporting infrastructure. Prioritize internet-facing systems and known exploited issues, and review vendor advisories and configuration changes. Document patch exceptions and revisit them instead of allowing them to become permanent.

Exercise response to a compromised technician identity or RMM tenant. The procedure should cover revoking sessions and tokens, disabling affected accounts, isolating management servers, investigating actions and targets, and coordinating customer notifications.

Compare RMM security capabilities before deployment

Product controls vary. Validate current documentation and test the actual deployment rather than assuming that a feature or authentication method is supported.

Area What to verify
Authentication Phishing-resistant MFA support, recovery protections, session lifetime, and step-up authentication.
Privilege model Role granularity, read-only modes, just-in-time elevation, approval workflows, and separation of duties.
Network exposure Private access options, source restrictions, segmentation compatibility, and required outbound destinations.
Auditability Identity- and endpoint-level logs, export or integration options, bulk-action alerts, and retention controls.
Multi-customer containment Tenant separation, per-customer credentials, delegated administration, and ways to limit the impact of a provider-side compromise.
Operational fit Agent connectivity, emergency access, technician workflow, and documented exceptions.

Implementation checklist

  1. Inventory tenants, consoles, agents, identities, customer environments, and network paths; remove obsolete access.
  2. Require MFA for all administrators and customer-access identities; protect recovery and emergency access.
  3. Assign separate least-privilege roles and use time-limited elevation for sensitive work.
  4. Restrict RMM use to approved network paths, segment management and customer environments, and test the rules.
  5. Allowlist approved tools, log meaningful activity, and alert on unusual or high-impact use.
  6. Patch the RMM ecosystem, review exceptions, and rehearse compromised-account and tenant response.

The baseline recommendations are from the joint Guide to Securing Remote Access Software, published June 6, 2023 by CISA, NSA, MS-ISAC, and INCD. Apply them alongside current vendor documentation and the organization’s customer, identity, and network requirements.
