Export your Google Photos and Drive files with Google Takeout, download and inspect the archive, then keep a second copy somewhere outside the Google Account you plan to clean. Do not delete files just because an export request was submitted: Google says archive creation can take from a few minutes to a few days, and changes made while it is being prepared may be missing.
1. Choose where the backup will live
Google Takeout can email a download link, add the archive to Google Drive, or send it to Dropbox. For a cleanup, choose a destination that does not depend on the account whose storage you are trying to free.
| Destination | What to consider |
|---|---|
| Email download link | Google emails a link to the archive. Download it and store it somewhere with enough free space; the archive itself does not use the Google Drive quota while it remains only as a download link. Google Takeout delivery options. |
| Add to Google Drive | Convenient, but the archive uses Google storage. Because Drive, Gmail, and Photos share account storage, this may not help if the account is full. Google Takeout delivery options. |
| Dropbox | Takeout can deliver an archive to Dropbox. Use an account and folder you control, with enough available capacity. Google Takeout delivery options. |
| External drive | You can download the archive to your device and copy it to an external hard drive for a local copy. Google does not recommend a particular drive model; check the archive size and available capacity yourself. |
For irreplaceable files, retain another copy in a separate location as well. An export stored only in the account being cleaned is not independent of that account.
2. Export Photos and Drive with Google Takeout
- Open Google Takeout and sign in to the Google Account that contains the files.
- Select Google Photos and Google Drive among the products to export. Where Takeout offers product-specific options, narrow the export to the data you need.
- Choose a delivery method. If you are cleaning a full account, avoid “Add to Drive” unless you have room for the archive.
- Create the export and wait for Google’s email that says it is ready. Google says preparation may take from a few minutes to a few days; most people receive a download link the same day.
- Download the archive to a device or destination with adequate free space.
Takeout creates a copy; it does not delete the source data. Google also warns that changes made between the export request and archive creation may not be included, and data already being deleted is excluded. Do not treat a pending export as a complete backup or as a recovery mechanism for files already deleted.

3. Check the archive before deleting anything
Open the downloaded archive and verify that it contains the Photos and Drive folders or files you expected. Open a selection of representative photos, videos, and documents to confirm they are usable, rather than relying only on folder names or the fact that the download completed.
- Check that important folders and representative files appear in the export.
- Confirm that media and documents open correctly.
- Copy the archive to a second location separate from the Google Account you plan to clean.
- Keep the original export until you have confirmed the second copy is also accessible.
For individual Photos items, open photos.google.com, select a photo or video, and choose Download. Google notes that the operating system may assign a new timestamp based on the download time; media metadata remains available in the file details. For a full library, use Takeout rather than downloading items one at a time.

4. Know what deleting Google Photos changes
Deleting a photo or video in Google Photos moves it to Trash, where it generally remains for 30 days before permanent deletion. Permanently deleted media cannot be restored. Avoid emptying Trash until you are sure you no longer need those items. Google Photos: Delete photos & videos.
If Google Photos is installed on an Android phone, iPhone, or iPad and backup is on, deleting backed-up items in Photos can also remove them from the device. Deleting a photo in Google Photos does not automatically delete it from Drive, Gmail, Blogger, or YouTube. If you only want an item out of the main Photos gallery, use Archive instead of deletion.

Google Photos provides backup status and size in item details. Turning off backup for a computer folder stops future uploads from that folder, but it does not remove photos already uploaded to Google Photos; those must be deleted separately. Google’s help page says Google Drive for desktop support for Google Photos backup ended on August 10, 2026. 5. Know what deleting Google Drive changes
A file moved to Drive Trash remains there for 30 days unless you empty Trash sooner. Files in Trash still count toward Drive storage, so moving them there alone may not free space. Emptying Trash makes deletion permanent. Google Drive: Delete files.

Ownership matters for shared files: if you own a file and trash it, collaborators may retain access until it is permanently deleted. If someone else owns a file, other people can continue to access it even if you empty your own Trash. With Drive for desktop mirroring or streaming, moving an item to Trash can also move it to Trash in the other location. A synced local copy should not be mistaken for an independent backup. Google Account storage is shared across Drive, Gmail, and Google Photos. When the account is full, new Drive uploads and file creation, Gmail sending or receiving, and Photos backups can be affected. Deleting files does not necessarily free space immediately if they remain in Trash; emptying Trash is permanent. An archive added to Drive also consumes this shared storage. Google lists cleanup and buying more storage as options. Google: Manage storage in Drive, Gmail & Photos.
