A work or school email address by itself does not prove that your account is covered by Google Workspace protections. Access also remains subject to administrator settings, your own permissions, and the content owner’s controls.
First, check which Gemini terms cover your account
Google distinguishes Gemini accessed through qualifying Google Workspace editions from consumer Gemini Apps use. The protections are not interchangeable, and a work email address alone does not establish which terms govern your session.

This summarizes Google’s stated terms; it is not a legal determination or a finding about your employer’s configuration. Check Google’s Workspace Gemini privacy FAQ and ask your administrator which edition, agreement, and policies cover the Gemini experience you use.
Is it safe to connect Gemini to confidential work information?
There is no universal yes or no. For qualifying Workspace use, Google says Workspace protections—including data-region policies and Data Loss Prevention—apply, and that content is not human reviewed or used for generative AI model training outside the organization’s domain without permission. If your account does not qualify, Google says consumer terms apply and chats may be reviewed or used to improve services.

Before using confidential material, confirm your account’s coverage and your employer’s rules. Google’s consumer Gemini Apps Privacy Hub describes data exchanged with Connected Apps: information shared with other Google services is handled under the Google Privacy Policy, while third-party apps handle data received from Gemini under their own privacy policies and terms. That consumer description should not be treated as a substitute for the terms of a qualifying Workspace service.
Can my employer’s Gemini read all my Gmail and Drive files?
No. Google says Gemini in Workspace has the same access to Workspace data as the signed-in user, subject to administrator settings and applicable restrictions. Connecting an app does not grant blanket access to every message or file.

- Your permissions matter: Gemini’s access is limited by what you can access and by administrator controls.
- Content-owner restrictions matter: Gemini cannot access a shared Drive file if its owner prevents downloading, copying, and printing, even when the file is shared with you.
- Delegation does not expand access in this case: Google’s guidance says delegated Gmail access does not give Gemini access to the other person’s inbox.

Does connecting an app let Gemini send, edit, or delete everything?
No. Connected Apps support particular interactions; connection alone does not make every action possible. Google’s current work-account guidance says, for example, that the connection cannot access comments or images in Gmail, create Gmail drafts, or delete Gmail messages. It also lists Drive actions it cannot perform, including managing folders or moving Drive content. These capabilities can change, so consult Google’s current Connected Apps instructions for work accounts rather than assuming the list is permanent.

Who decides whether work apps are available?
For work and school accounts, the Workspace administrator must enable app access. Google also says users need a qualifying Workspace edition and Keep Activity enabled; for work accounts, only the administrator can manage that setting. Availability can vary by account type, edition, location, language, device, and Gemini app. If a connection is missing, ask your Workspace administrator whether it is available for your account.
What should a Workspace administrator check?
Google’s Admin Help describes controls for reviewing configured and accessed apps, app ownership, verification status, requested Google services, and OAuth scopes. Administrators can assign access levels including Trusted, Limited, Specific Google data, and Blocked; some controls require security administrator privileges. A practical review can follow these steps:

- Confirm the experience and edition. Identify the Gemini app and Workspace edition in use, and the terms that cover it.
- Set who can use it. Decide which organizational units may use Gemini and enable or restrict access accordingly.
- Review app details and scopes. Check app ownership, verification status, requested Google services, and OAuth scopes.
- Check underlying permissions. Review existing Workspace access controls and content-owner restrictions that govern what users can reach.
- Tell users what applies. Explain which data may be used and which organizational rules they must follow.

Not necessarily. Disconnecting a Connected App and deleting Gemini Apps Activity are separate actions, and neither guarantees deletion of data another app has already received. Google says apps retain data Gemini shares with them under their own policies. It also says changes or deletions in a connected source app may take days to affect Gemini’s experience. To understand what remains, distinguish future access from Gemini activity and from copies held by the other service; consult the Gemini Apps Privacy Hub and the connected app’s own terms.

Review answers before relying on them
Even with approved access, verify information Gemini returns before acting on it. Google warns that Gemini can hallucinate or provide outdated information, such as information from an older email when a newer one exists, and advises users to review the sources listed after a response. This is especially important when a summary or answer could affect a work decision.
