Choose ERP software by defining the business outcomes and workflows it must support, gathering and ranking requirements across teams, then comparing a shortlist using consistent evidence. Use realistic demonstrations, verify current capabilities and references, and compare full lifecycle costs. Evaluate the software and its implementation partner separately: the right choice depends on your industry, processes, growth plans, budget, and existing systems.
1. Define what the business needs to change
Start with the reason you are considering ERP, not a vendor’s feature list. Describe the problems the new system should solve and the outcomes you expect, such as more reliable reporting, smoother operations, or better service. Record the systems you use today, where work gets stuck, transaction volumes, and the complexity of your processes.
Identify which existing workflows work well and should be preserved, as well as any distinctive processes that a generic template might not handle. This helps distinguish a genuine requirement from a preference for familiar screens or a feature that sounds impressive but does not address a business need. SAP’s ERP evaluation guide and Rand Group’s selection checklist both recommend grounding evaluation in the company’s processes and priorities.
2. Gather requirements across the company
Involve the teams that will use, administer, and rely on the ERP system. Include relevant business functions and technical stakeholders; otherwise, the selection can favor one department while leaving others dependent on separate systems. SAP warns that an RFP without input from all stakeholders risks choosing a system that serves only some business functions.

Translate requests into business requirements, then label each as a must-have, important, or optional. This keeps a long list from treating every suggestion as equally important. Consider requirements in these areas:
- Core workflows and industry fit: whether the system supports the processes the business actually runs.
- Reporting and data: what information teams need, how they will access it, and what data must be migrated or connected.
- Integration and technical environment: connections to existing systems, architecture constraints, and security needs.
- Usability and adoption: whether intended users can carry out their work effectively.
- Growth and change: expected changes in transaction volumes, locations, entities, or processes.
Requirements should reflect the business’s real priorities rather than an unranked inventory of features. Deloitte’s ERP selection criteria and the Rand Group checklist also highlight technical, functional, and vendor considerations.

3. Build a shortlist and compare candidates consistently
Choose a manageable shortlist based on the requirements, then apply the same scorecard and evidence standards to every candidate. A weighted scorecard makes trade-offs visible: assign more weight to the requirements most important to your goals, and use a common scale to rate each option. Do not let brand preference or one standout feature substitute for evidence across the whole system.

4. Test the system with realistic demonstrations
Ask each finalist to demonstrate the workflows that matter most to your company, using realistic examples rather than a generic product tour. Include important integrations where possible, and investigate gaps: ask whether a requirement is handled through standard configuration, customization, a third-party connection, or a manual workaround.
Separate features available now from roadmap promises. Confirm current feature availability, integrations, support scope, and product direction directly with the vendor; these can change. Check references relevant to your industry, processes, and implementation complexity, and ask about material customizations and workarounds. SAP and Rand Group both recommend validating candidate claims rather than relying on presentation alone.

5. Compare the full cost of ownership
Do not compare ERP options using only the subscription or license quote. Build a lifecycle cost estimate that includes:
- Software licensing or subscription
- Implementation services
- Data migration
- Integrations
- Customization
- Training
- Support and ongoing operations
Ask vendors and partners to make assumptions, exclusions, and recurring costs explicit so estimates can be compared on the same basis. Then assess the costs against expected business outcomes, such as productivity, service, performance, and reporting. Deloitte, SAP, and Rand Group all advise evaluating total ownership costs rather than an opening price alone.

6. Check future fit and delivery capability
Ask how each option would accommodate expected growth in transactions and data, new locations or entities, evolving processes, and additional integrations. Consider whether the system’s direction and support model fit the business’s plans, not only its current state.
Score the ERP product and the implementation partner as separate decisions. A strong software fit does not by itself establish that a particular partner can deliver the project or provide the support you need. Verify partner experience and references, clarify responsibilities and assumptions, and review exclusions and contract terms before committing. For a complex project or a team with limited internal capacity, an independent selection adviser may help structure requirements and compare proposals; check its relevant experience, independence, references, responsibilities, and support terms.
7. Make the decision with documented trade-offs
Review the scorecard alongside demonstration results, lifecycle costs, reference feedback, and delivery assumptions. Document why a candidate meets or misses each must-have, what workarounds or customizations are required, and which risks remain. If no candidate clears a critical requirement, revisit the shortlist or the requirement itself rather than letting a high overall score conceal a deal-breaker.
There is no universal best ERP for every growing business. Without knowing your industry, geography, budget, company size, existing systems, and required modules, a specific product recommendation or price estimate would not be reliable. The defensible choice is the candidate that fits your prioritized workflows and growth plans, with a delivery team and total cost you have verified.
