For an SME business loan in India, prepare identity and KYC records, Udyam and business-registration details, proof of business address, tax returns, bank statements, and business financial statements. The bank’s final checklist depends on the business’s legal form and whether the facility is for working capital or term finance, and whether it is secured. There is no single exhaustive list for every lender or loan product, so request the chosen bank’s current indicative checklist before applying.
Start with this common document file
Gather these records first; the lender will confirm which ones apply and the periods or formats it needs.
- PAN and Aadhaar for the proprietor or relevant applicants.
- Udyam Registration Certificate and proof of business address.
- GST registration certificate and GST returns, where applicable.
- Income-tax returns (ITRs) for the period the bank requests.
- Business balance sheet, profit-and-loss statement, and cash-flow statement.
- Business bank statements. The Ministry of Micro, Small and Medium Enterprises’ 2025 Know Your Lender guide gives 6–12 months as a general document range.
The Ministry guide also lists business registration and address or ownership evidence. Its general list is a starting point, not a guarantee that a particular lender or product will request exactly these records.
Identity, business constitution, and statutory approvals
Identity and address evidence
The Ministry guide names PAN and Aadhaar. SBI’s indicative checklist gives other examples of identity evidence for proprietors, partners, or directors, including voter ID, passport, driving licence, PAN, or bankers’ signature identification. For residence evidence it lists recent telephone or electricity bills, property-tax receipts, passport, or voter ID. Lists differ, so confirm with the bank which documents it accepts and whose KYC it requires.

Documents depend on the legal form
Keep the documents that establish how the business is constituted. SBI’s indicative checklist names a partnership deed, memorandum and articles of association, trust deed, or society by-laws as examples, depending on the entity. A company or other entity may also be asked for its shareholding pattern.
Include GST registration and any relevant statutory licences or approvals. SBI’s checklist names MSME/Udyam registration, regulatory licences, pollution-control certificates, and GSTN/VAT registration among possible statutory approvals. Requirements depend on the business and its activities.

Financial and tax records: check the requested periods
The Ministry’s 2025 guide includes ITRs for the past 1–3 years and GST registration or returns in its general list. Those ranges are not universal requirements: ask the lender which years, return types, and statement formats it needs.
SBI’s customer checklist is explicitly indicative and non-exhaustive. It asks for audited financial statements for the last three years and a provisional balance sheet if the latest audited balance sheet is more than six months old. It also lists the following records, which may be relevant to an application:

- Promoter or guarantor asset-and-liability statements and their latest ITRs.
- Confirmation that statutory dues are paid.
- A declaration of existing banking arrangements and sanction letters for facilities with existing banks or financial institutions.
- For businesses with associates, details of those associates, their banking arrangements, and their financials for the last year.
These are SBI checklist examples, not a universal package for every Indian bank or SME facility.
Extra documents for term finance and security
Term-loan project report
For term finance, SBI’s checklist asks for a project report describing the machinery to be acquired, supplier and price, assumed capacity utilisation, production and sales, and projected profit-and-loss and balance-sheet figures. This is a term-funding example; it does not establish that every working-capital applicant must provide a machinery project report.

Premises and property offered as security
If the business premises are rented, SBI lists the lease agreement. If property is offered as primary or collateral security, its checklist lists photocopies of the relevant lease deeds or title deeds. Ask the lender whether it also needs originals or certified copies, a valuation, or other evidence; the reviewed checklist does not establish one standard security package for all loans.
Digital applications can have product-specific rules
SBI’s SME Digi Sugam page, stated last updated 29 July 2025, illustrates how a particular online working-capital product can require specific data and eligibility conditions. It names Udyam, PAN, GST data, account statements, at least two years of ITR data, GST data history, and a minimum two-year business vintage. These conditions describe that product, not all SBI loans or other banks’ products.

The Ministry’s Know Your Lender guide says banks have been advised to give MSME borrowers an indicative document checklist when they apply. It describes two routes:
- At a branch: apply using the application or common application form and the lender’s checklist.
- Online: submit the application and upload supporting documents on the lender’s website.
Before submitting, compare the checklist against the facility purpose (working capital or term loan), security offered, business legal form, and application route. Confirm the required periods and formats for ITRs, GST returns, financial statements, and bank data. A complete file can help processing, but it does not guarantee sanction.
The same Ministry guide cites a 14-working-day credit-decision norm for loans up to ₹25 lakh to MSE units. That is a decision timeline, not a promise of approval or a document-preparation deadline.
