If you want to move business calls from 3CX to another Windows-based service, start with how your staff will reach ordinary telephone numbers—not just which desktop app they will open. Microsoft Teams Phone and RingCentral RingEX are hosted business-calling options; 8×8 and Zoom Phone are also relevant when you want telephony integrated into Microsoft Teams, though their Teams call paths differ.
These are documented options, not tested winners. The right fit depends on number and PSTN provisioning, call-handling features, licensing, geography, and whether users need a standalone Windows app or want to stay inside Teams.
What counts as a 3CX alternative?
A Windows softphone is the software people use to place and receive calls. Replacing 3CX can mean replacing only that client—or replacing the phone system behind it, including business numbers, routing, voicemail, and connectivity to the public telephone network (PSTN).
Those are different decisions. A Teams integration may put calling inside Teams without being a conventional standalone Windows phone app. Conversely, installing a desktop client does not by itself provide business numbers or PSTN service. Before switching, identify who will supply numbers and external calling, how emergency calls are handled in your country, and which call-management features your organization needs.

Microsoft Teams Phone: phone-system features in Teams
Teams Phone adds PBX-style capabilities such as auto attendants and call queues to the Teams environment. Microsoft describes it as capable of replacing a PBX and says it is available through desktop and mobile Teams clients. See Microsoft’s Teams Phone overview.
Do not treat Teams-to-Teams calls as proof that users can call external telephone numbers. Microsoft lists Calling Plans, Operator Connect, Direct Routing, and Teams Phone Mobile as PSTN connection options; each must be evaluated for the organization’s location and requirements. The Microsoft Teams Phone page notes that product inclusion and licensing vary, and that some Microsoft 365 and Office 365 suites stopped including Teams as of October 2023. Verify your tenant’s actual entitlements and the total cost of the chosen PSTN route rather than assuming a universal price.

RingCentral RingEX: a separate desktop app and phone system
RingCentral RingEX is the clearest fit among these choices if you want a dedicated Windows calling client bundled with messaging and video rather than making Teams the primary calling interface. RingCentral documents virtual phone-system features including call routing, auto attendant, and voicemail. Its product page says RingEX includes unlimited calls in the US and Canada; international calling uses separate plans or bundles. Those allowances should not be generalized to other regions or tiers. Review the current RingCentral download and product information and request plan-specific details: the cited material does not establish a like-for-like per-user price or universal feature limits.
8×8: two distinct ways to connect calling with Teams
8×8 documents Microsoft Teams voice through Direct Routing and Operator Connect. The implementation matters because those labels can correspond to different user experiences, licensing needs, and app requirements. Its Teams product information describes the integration choices; the 8×8 Teams app user overview describes user calling paths.

8×8 Teams app calling
Under specified conditions, users without a Teams Phone license can place PSTN calls through the 8×8 Teams app. The documented requirements include an 8×8 X Series license, Presence Sync, and 8×8 Work running alongside Teams.
Native Teams calling with 8×8 Direct Routing as a Service
For users on 8×8 Direct Routing as a Service, the guide describes native Teams calling with a Teams Phone license; 8×8 Work is not needed for calling. Ask 8×8 to confirm the intended call flow, licensing, number provisioning, and emergency-calling arrangements before purchasing. These are configuration-specific vendor descriptions, not a comparative test.

Zoom Phone: a phone-only plug-in inside Teams
Zoom’s documented Teams option is a phone-only plug-in, not a general claim that every Zoom Phone feature is available in every Teams or Windows setup. Zoom says users can make and receive calls within Teams without installing or running Zoom Workplace. Setup requires a Zoom Pro, Business, or Enterprise account, a Zoom Phone license, administrator privileges, configuration, and deployment of the phone-only Teams app manifest. Microsoft O365 GCC High and DoD are unsupported. Consult Zoom’s configuration guide for the Zoom Phone plug-in for Microsoft Teams and verify the fit with your tenant administrator.
How to choose before replacing 3CX
- Decide where users should work. Choose between a standalone Windows app, calls in the Teams client, or a phone-only Teams plug-in. If staff need an app independent of Teams, the Zoom plug-in is not that; if they want calls embedded in Teams, distinguish the 8×8 call paths from Zoom’s documented plug-in.
- Map external calling and numbers. List the countries where you need service, whether you must port existing numbers, who supplies PSTN connectivity, and how emergency calling is supported. For Teams Phone, select and validate a PSTN route rather than assuming it comes automatically with Teams.
- Write down call-handling needs. Specify auto attendants, queues, transfers, voicemail, and recordings as applicable. Confirm that each is available in the exact product, configuration, and license you are quoted; vendor feature pages alone do not establish your plan entitlement.
- Validate deployment requirements. Check Windows version and app requirements, identity and admin access, licenses, and any companion applications. The 8×8 Teams app path, for example, can require 8×8 Work alongside Teams, whereas the documented Direct Routing as a Service path uses native Teams calling with a Teams Phone license.
- Compare total migration cost in writing. Ask each provider to itemize user licenses, calling, numbers, add-ons, implementation, and number porting. Pricing, bundles, feature limits, and availability vary, and the available material does not provide a current like-for-like price comparison.
- Check endpoints and accessories. Confirm the Windows requirements for the specific client and test your intended headset and any desk phone with the provider’s specifications. 3CX says its Windows softphone supports standard headsets, but that does not establish compatibility for another service or for every headset. A “USB headset for business softphone” is a category to investigate, not a model recommendation; verify connection type, operating-system support, and call-control compatibility.
What the available evidence does—and does not—show
The options above are grounded in provider product and support documentation inspected on October 7, 2026. That documentation establishes stated features and setup paths, not comparative call quality, reliability, ease of migration, or hands-on Windows performance. No exact minimum Windows version has been established here for all four alternatives, so confirm current system requirements with each provider before rollout.

8×8’s product page states a 99.999% platform-wide uptime SLA. This is an 8×8 vendor service-level claim, not an independent uptime measurement or a comparative result. If service availability is a procurement criterion, review the actual SLA terms and remedies in the contract rather than treating the headline figure as a guarantee of your users’ call experience.
