Choose a secure messaging platform by first documenting the information and workflows you need to protect, then verifying that a specific plan and configuration provide the required controls. Compare encryption scope, identity and access, governance, data location, integrations, licensing, and operational effort—not encryption claims alone. There is no universal winner: the right fit depends on your organization’s threat model, legal obligations, users, and existing systems.
Start with the conversations and data you need to protect
Before comparing products, identify what people will send and who will participate. A platform used for routine internal coordination has different needs from one used for sensitive client work, regulated information, legal discussions, or communication with external partners.
Map the communication types in scope: one-to-one and group chats, channels, files, calls, meetings, and guest conversations. Then identify applicable obligations, such as retention schedules, legal holds, eDiscovery, data-location requirements, and restrictions on access from unmanaged devices. These requirements determine which controls matter and where a platform’s feature boundaries could create a gap.
Build a requirements checklist before product demos
Turn your risks and workflows into requirements you can test. Separate mandatory controls from preferences, and name the message types or user groups each requirement covers.

- Threat model and encryption: Require encryption in transit and at rest; specify whether end-to-end encryption (E2EE) is needed, for which communications, and who controls or can recover keys.
- Identity and access: Check single sign-on (SSO), multifactor authentication (MFA), conditional access, device controls, guest policies, role separation, and administrator privileges.
- Governance: List required audit logs, alerts, exports, data loss prevention (DLP), retention, legal holds, eDiscovery, and communication review. Specify coverage for chats, channels, files, calls, and meetings.
- Data and legal scope: Record required data locations, cross-border processing restrictions, contractual commitments, relevant certifications, and your organization’s own obligations.
- Operations and ecosystem: Assess administration effort, integrations with identity and endpoint systems, partner interoperability, incident handling, and migration or export options.
- Cost and licensing: Identify the plan, add-ons, and operating effort needed to provide each mandatory control.
Compare the controls that affect security and day-to-day use
Encryption: verify what is protected
Encryption is one layer of platform security, not a substitute for access controls or governance. Ask whether data is encrypted in transit and at rest, whether customer-managed key options are available, and what happens if keys are unavailable or need recovery. Most importantly, map encryption coverage to the communication types your organization actually uses.
E2EE can provide stronger confidentiality for supported conversations by limiting access to content, including by the service provider. That same property can restrict service-side inspection and processing. A feature described as E2EE may cover calls or meetings without covering chats, files, external participants, or every communication segment. Confirm scope and test the workflow before relying on it.

Identity and access: control who can enter and what they can do
Evaluate how the platform connects to your identity provider and enforces MFA, conditional access, and device policies. Check how guests and external users are invited, restricted, reviewed, and removed. Review role separation and administrator privileges as carefully as ordinary user access: a strong encryption design does not prevent misuse of an over-privileged account.
Governance: match each control to content and purpose
Retention, DLP, legal holds, eDiscovery, audit logging, alerts, and communication review solve different problems. For each control, ask which content it covers, whether it applies to files and calls as well as messages, how administrators use it, and whether the evidence can be exported when needed. Do not assume that the presence of one governance feature means the others are included.

Data location and lifecycle: check scope and exceptions
Ask where the relevant data is stored, whether residency choices cover all data or only specified categories, and how cross-border processing is handled. Review contractual terms for data return and deletion, including what triggers the process and which subscription or event-specific terms apply. A region selector or vendor assurance is not, by itself, proof that a deployment meets your legal obligations.
Licensing and administration: price the required configuration
Feature pages describe product capabilities, but the available controls can depend on the plan, standalone licenses, and settings. For each mandatory requirement, record the exact plan or add-on, configuration needed, administrator work, and any practical limitation. Compare the cost of the compliant configuration you would actually deploy—not the entry-level product name.

Understand the E2EE trade-off before enabling it
End-to-end encryption is valuable when the confidentiality of supported communications outweighs the service-side functions it may prevent. Protected content may not be available for inspection, recording, transcription, or related processing. Decide which workflows need E2EE and which governance or collaboration capabilities those workflows require, then confirm that both can coexist in the specific product configuration.
For example, Microsoft’s guidance describes Teams E2EE for eligible one-to-one VoIP calls and supported meetings when configured, but not chat messages or shared files in the described scenario. It also notes limits on service-side inspection of protected media and possible unavailability of recording, transcription, and related capabilities. Use vendor documentation as a starting point, not a deployment guarantee
Vendor materials can help identify controls to investigate, but they describe the vendor’s product and are not an independent comparison or assessment of your tenant. Microsoft states, “Teams enforces the following security measures:” and documents measures including two-factor authentication, Microsoft Entra ID single sign-on, encryption in transit and at rest, and Purview capabilities. Microsoft also says licensing determines which information-protection features are available and that Teams data resides in the geographic region associated with the organization’s Microsoft 365 or Office 365 organization. Verify the applicable plan, settings, and contract for your deployment in the Teams security and compliance overview.
Microsoft’s overview lists certifications and other frameworks, including ISO 27001, ISO 27018, SSAE18 SOC 1 and SOC 2, HIPAA, and EU Model Clauses. A certification or framework reference does not establish that your organization’s use of a service satisfies a legal requirement; assess the applicable scope and your own obligations.
Slack describes encryption at rest and in transit by default, Slack Enterprise Key Management, audit logs, native and third-party DLP support, global retention policies, legal holds, eDiscovery, and data residency choices for encrypted data at rest. It also says Slack can be configured for HIPAA compliance, including e-PHI. Confirm the relevant plan, configuration, and evidence for your use case in Slack’s security information. Slack’s security practices describe restricted access to customer data for service operations, logging of access, and data return and deletion options whose timelines vary by subscription and event; check current contract terms rather than assuming a general timeline.
Run a pilot that tests real workflows
A controlled pilot can reveal whether documented controls work for your users and administrators. Use representative teams, guest users, devices, and content types, and include the people responsible for security, compliance, legal, and IT operations.

- Exercise everyday communication: Test chats, channels, file sharing, calls, and meetings, including external collaboration where needed.
- Test governance tasks: Verify that the relevant DLP, audit, retention, legal-hold, eDiscovery, and review workflows cover the content types in scope.
- Check exports and lifecycle handling: Confirm what administrators can export, how data is returned or deleted under the applicable terms, and whether these processes meet operational needs.
- Rehearse a security incident: Test how administrators investigate suspicious access, revoke access, respond to a compromised account, and preserve required records.
- Record gaps and costs: Document features that require a different plan, settings that impair workflows, unresolved legal or data-location questions, and the effort needed to operate the platform.
Make the decision from verified requirements
Choose the platform whose documented and tested configuration meets your mandatory requirements with acceptable operational effort. Keep a decision record that maps each requirement to the plan, setting, evidence, owner, and any remaining exception. Revisit it when the platform, contract, regulatory environment, or organization’s communication needs change.
