Your chats or files may be kept on your device, in a private cloud, or on infrastructure you control, while an AI feature still sends some of that content to a cloud model to produce an answer. To assess privacy, check where the data is stored, what leaves that location for inference, who can access it, and how long it is kept.
Storage and AI processing are separate
Storage describes where data is kept. Inference describes where a model processes the prompt or other context to generate a response. A product can keep files locally yet transmit a prompt, excerpt, transcript, or other relevant context to an external AI provider. Conversely, cloud storage controls do not establish that inference happens locally.
For each AI feature, look for a description of its complete data flow: what information it uses, which service receives it, and whether any third-party tools or integrations also receive data. A general statement such as “local-first” or “private cloud” is not enough to answer those questions.
What “private storage” can mean
Local storage
Local storage means content is kept on your device. It can reduce cloud copies, but it does not prevent a cloud AI request from sending selected content off the device. Confirm separately whether the feature performs inference locally or contacts a provider.

Private cloud storage
Private cloud storage means content is held in a cloud account with stated security or access controls. It remains cloud-hosted. Check who can access it, which subprocessors are involved, where it is stored, and what retention and deletion terms apply. Optional sync may create a cloud copy even when a product also stores data on-device.
Self-hosted storage
Self-hosting can keep an application’s workspace on infrastructure you control, but it does not automatically keep every related data flow there. Cloud model calls, messaging integrations, and network-connected tools can transmit information elsewhere.

Local inference
Local inference means the model processes relevant content on your device or infrastructure you control. Do not infer this from a local-storage label. The product documentation should identify the model path for the specific feature you use.
Questions to ask before using an AI feature
- Storage: Is the data kept on-device, in a provider’s cloud, or on infrastructure you operate? Is cloud sync optional?
- Inference: Does the feature call a cloud model? Which prompts, files, memories, transcripts, or excerpts are sent, and to which provider?
- Access: Can account owners, administrators, support staff, or subprocessors access stored content or request data?
- Training and improvement: Is content used to train or improve models? Which setting controls that use, and what data does the setting cover?
- Retention and deletion: How long is data kept? When does deletion reach backend systems and backups? Are there legal, safety, or policy exceptions?
- Security and control: Is data encrypted in transit and at rest? Who controls the keys? Are permissions, exports, regional storage, and deletion documented?
- Account type: Do consumer, business, and API accounts have different privacy terms?
How provider policies illustrate the differences
OpenAI consumer services
OpenAI’s U.S. privacy policy, updated May 18, 2026, covers use of its website, applications, and services. It says content—including prompts and uploads—may be used to improve services subject to user controls, and describes deletion and Temporary Chat controls. For certain deleted personal data, the policy says removal from its systems can take up to 30 days, subject to stated legal, safety, and other exceptions. The policy does not govern content processed on behalf of business-offering customers such as API customers; those uses are governed by customer agreements. Read OpenAI’s U.S. privacy policy.

Anthropic consumer products
Anthropic’s retention guidance, dated July 1, 2026, applies to Claude Free, Pro, Max, and Claude Code when used on those accounts; it directs commercial users to separate information. It says deleted conversations disappear from chat history immediately and are deleted from backend systems within 30 days. If model improvement is enabled, eligible new or resumed conversations may be retained in de-identified form in training pipelines for up to five years. Turning the setting off or deleting a chat does not reverse training already underway or undo an already-trained model. Read Anthropic’s retention guidance.
PLAUD device and service policy
PLAUD’s policy, updated May 20, 2026, says data is stored locally by default. Its optional Private Sync Cloud is opt-in, uses regional servers in the United States, Germany, Japan, and Singapore, and states TLS 1.2-or-higher protection in transit and AES-256-or-equivalent protection at rest. The policy also says AI providers are contractually limited to the requested task, cannot retain data beyond what is necessary for that task, and cannot use it for model training. Vellum hosted and self-hosted assistant
Vellum distinguishes its encrypted cloud workspace from self-hosting workspace files on a Mac, but says conversation context is sent to Anthropic for inference in both arrangements. It also identifies third-party channel messages and tool network calls as separate outbound paths. This illustrates why workspace location alone cannot establish where AI processing happens. Encryption helps protect data in transit or at rest; it does not by itself tell you who can access the data, what a cloud model receives, or how long the provider retains it. Access controls, data minimization, purpose limits, retention schedules, and third-party terms address different parts of the lifecycle.

Likewise, a “no training” commitment is not necessarily a “no retention” commitment. Check whether the commitment covers the product and account type you use, which data it applies to, and whether any limited retention or exceptions are allowed. Deletion terms also need careful reading: removal from a visible chat history may happen before backend deletion, and stated deletion periods can include exceptions.
A 2019 Huawei Consumer Business white paper expresses two useful principles: personal data should be kept “for no longer than is necessary” for its processing purpose, and AI businesses should favor device-side processing, separation of personal identifiers from cloud data, and limited third-party processing. These are principles, not proof that a particular product follows them. Read the Huawei AI Privacy White Paper.
A practical way to evaluate a product
- Choose the exact feature and account type. Identify whether you are using a consumer app, a business workspace, an API, or a device feature; their terms may differ.
- Trace the data path. Find out what the feature sends, which model provider receives it, and whether connected tools or channels create additional transfers.
- Separate storage from inference claims. Confirm the storage location and sync behavior, then independently verify whether inference is local or cloud-based.
- Review access, training, and retention terms. Check who may access data, whether it can be used for improvement, how deletion works, and what exceptions apply.
- Limit what you share. Avoid including sensitive details that the feature does not need, and disable optional integrations or cloud features when their data flows do not fit your needs.
No single label establishes that a service is “completely private.” Provider policies and product pages explain what organizations say they do, but do not independently verify technical implementation. A hardware-encrypted external SSD can help protect local copies or backups; it does not prevent a cloud AI feature from transmitting content for inference.
