These controls are related, but none substitutes for the others.
Restrict users to approved apps and data stores
Project-level IAM grants can apply broadly across Gemini Enterprise apps and data stores. To limit access, avoid broad project-level Discovery Engine roles for users who should be restricted, and grant permissions on the specific resources they need. Google warns that a project-level Gemini Enterprise User grant takes precedence over app-level restrictions.
Allow access to selected apps
For an app-only boundary, grant Gemini Enterprise Restricted User (roles/discoveryengine.agentspaceRestrictedUser) at the project level, then grant Gemini Enterprise User (roles/discoveryengine.agentspaceUser) only on approved apps. Do not also grant the user Gemini Enterprise User at project level, because that broader grant gives access to all apps. See Google’s app access-control guidance.
Restrict both apps and data stores
If users must be limited to particular data stores as well as apps, enable Resource access control and create separate IAM bindings for each approved app and data store. A user needs permission on both the app and the data store to query that store through the app.

- In Google Cloud Console, open Gemini Enterprise and select Settings.
- Open Resource access control, turn the setting on, then select Save and Enable.
- Grant the user access on each approved app and data store, rather than relying on a broad project-level Discovery Engine role.
Google says the configuration takes approximately five minutes to propagate. The documentation also describes a projects.patch REST method. See the resource access control instructions.
Control who can view usage analytics
In Google Cloud Console, open Gemini Enterprise, select the app, then select Analytics. The dashboard has Adoption, Usage and Quality, Agent, Value, and User Level tabs. Analytics is distinct from usage audit logs, which are viewed in Cloud Logging.

The User Level tab can show user email addresses or unique identifiers and interaction counts; Google requires allowlisting for access to that view. Do not treat the dashboard as anonymous. Analytics metrics refresh about every six hours. As stated in Google’s documentation reviewed on October 7, 2026, Search analytics is Public Preview for US and EU multi-region apps and generally available for global apps. Analytics metrics require a data store linked to the app. Unlinking a data store can cause some app metrics to be lost; if customer-managed encryption keys (CMEK) are used, those specific metrics cannot be retrieved. See Google’s analytics limitations.

Choose whether prompts and responses appear in logs
Usage audit logs are available in Cloud Logging’s Logs Explorer for the project. Google’s setup guidance identifies Gemini Enterprise Admin (roles/discoveryengine.agentspaceAdmin) for enabling audit logging and Logs Viewer (roles/logging.viewer) for accessing Cloud Logging. In the logging configuration, the option Enable logging of prompt inputs and response outputs determines whether fields that may contain sensitive content are logged. When it is off, text values are replaced with <elided> and other values are omitted. This does not disable all usage logging; it limits the sensitive prompt and response values recorded. Turn it on only when audit or troubleshooting needs justify storing that content, and treat anyone who can read those logs as part of the sensitive-data audience. By default, Gemini Enterprise sends Cloud Logging data to the _Default bucket. Google identifies Logs Viewer, Private Logs Viewer, and Logs View Accessor as roles that control access. For tighter separation, the documentation lists IAM conditions, log views, sinks that route logs to a more restricted project, tags, and field-level access controls. Choose the narrowest arrangement that meets your operational need, and review who can access the destination bucket and any routed copies.
Understand what Access Transparency does not show
Access Transparency records certain covered actions by Google personnel accessing Gemini Enterprise content, but it is not a record of who viewed analytics. Google explicitly says its Access Transparency logs do not record when personnel view or act on search analytics data. The feature also has documented limitations for preview-feature data and global (rather than multi-region) stores or apps, and it requires the project to be in an organization. Keep the three controls distinct
- Resource IAM determines which apps and data stores a user can use.
- Analytics access determines who can view app metrics, including the allowlisted User Level view.
- Logging configuration and log IAM determine whether sensitive prompt and response fields are recorded and who can read the resulting logs.
Google’s Gemini Enterprise app FAQ says customer data, including prompts and outputs, is not used to train Google models or models for other customers, and that Google does not use customer data for advertising.
