Keep school STEAM lab equipment safe and usable with a documented system for inventory, access, training, storage, inspections, and repairs. Start by identifying what the room contains and who is responsible for it; then set clear rules for how each item is prepared, used, checked, and taken out of service. The right controls depend on the actual activity and hazards in your room, as well as school, local, state, manufacturer, and applicable federal requirements.

Build an equipment register staff can use

A useful inventory does more than count equipment: it helps staff locate items, determine whether they are ready to use, and see when they need attention. The fields below are a practical template based on inventory and inspection guidance, not a universally mandated form.

  • Item: name, asset tag or identifier, and a brief description.
  • Location: room, storage cabinet, or designated work zone.
  • Responsible person: the staff member or role accountable for oversight.
  • Condition and status: ready to use, restricted, or out of service, following district-approved procedures.
  • Documentation: manufacturer manual and any relevant operating or safety procedures.
  • Training: who must be trained or authorized before using the item.
  • Checks and service: last inspection date, next service date when applicable, and repair status.

Keep the register accessible to the staff responsible for the lab, and update it when equipment moves, changes condition, or is repaired. OSHA’s non-mandatory laboratory recommendations describe equipment inspection and maintenance as essential parts of a safety program (OSHA, Appendix A to 29 CFR 1910.1450).

Use status labels to control access

Use clear, district-approved labels or another reliable tracking method to distinguish ready-to-use items from restricted equipment and items that must not be used. A restricted item should only be operated by an authorized person with the required training and supervision. Mark defective equipment out of service, prevent student access, and record the issue and next action.

Arrange the room around hazards and workflow

Organize the lab so authorized users can find, use, and return equipment without creating clutter or crossing incompatible work activities. Keep walkways and work zones clear, place frequently used items where they can be reached safely, and secure tools when they are not in instructional use. Storage should reflect the hazards present rather than assuming every STEAM room contains the same equipment.

Tools and fabrication equipment

Store tools so they cannot be accessed or operated by students outside the conditions set by school policy. Keep guards and accessories with the equipment they belong to, and make manuals and operating procedures available to the responsible staff. Follow manufacturer directions for setup, use, cleaning, and storage.

Chemicals and other hazardous materials

Where hazardous chemicals are used, preserve their labels, keep safety data sheets (SDS) accessible, and store substances by hazard category and compatibility rather than convenience. Follow the product label, SDS, school chemical hygiene procedures, and applicable rules. OSHA’s laboratory appendix recommends compatible chemical storage and advance knowledge of handling, storage, and disposal information; its recommendations concern chemical hygiene in laboratories and should not be treated as a blanket rule governing every makerspace (OSHA, Appendix A to 29 CFR 1910.1450).

Electronics, printers, and room-specific hazards

Assess each activity for its actual hazards, including electrical, heat, moving parts, emissions, or other risks relevant to the equipment. Set up controls and storage based on the manufacturer’s instructions and school procedures. Do not assume ventilation, PPE, or a particular control is adequate for a device or material without verifying the applicable requirements and the equipment’s documentation.

Train users and select controls for the task

Teachers and students need instruction appropriate to the equipment and activity they will actually perform. Training should cover authorized use, setup and shutdown, relevant hazards, required safeguards and PPE, cleanup, and how to report a problem. A general lab orientation does not replace equipment-specific instruction where the task requires it.

Use engineering controls and PPE that fit the hazard and follow school policy, applicable standards, and manufacturer directions. Goggles, for example, must have a rating appropriate to the activity; generic eyewear should not be assumed to protect against chemical splashes, impact, lasers, or other specialized hazards. Gloves are appropriate only when the hazard assessment and procedure call for them, and the material must suit the substance and task.

The National Science Teaching Association (NSTA) advises teachers to assess risks for each proposed activity, including overcrowding and inoperable engineering controls, and make appropriate modifications. If reasonable changes cannot make an activity safe, change or stop it. NSTA also calls for district-supported safety programs that address training, controls, PPE, chemical hygiene, emergency procedures, SDS access, and reporting defective equipment (NSTA, “Safety and School Science Instruction”).

Make checks and returns part of every class

Predictable routines help catch problems before the next class depends on the equipment. Align checks with the school’s procedures and manufacturer manuals, and document problems rather than relying on informal handoffs.

  1. Before use: the responsible staff member checks the equipment and relevant safeguards for visible damage, missing guards, or other issues that could make the activity unsafe.
  2. During setup: students retrieve and set up only equipment they are trained and authorized to use, following the teacher’s directions.
  3. After use: students clean up and return equipment to its assigned location under staff supervision and the applicable procedures.
  4. At the end of class: staff check that items are accounted for, stored securely, and left in the required condition for the next use.
  5. When a problem appears: stop use when needed, report and document the issue, and place unsafe equipment out of service pending assessment or repair.

Reports should capture the item, observed problem, date, reporter, and action taken or needed. Examples include damage, a missing guard, unusual noise, electrical concerns, spills, and near misses. Follow the school’s incident and emergency procedures for urgent hazards.

Set an inspection calendar that fits the equipment

There is no single inspection interval established for every kind of school STEAM equipment. Build a calendar from manufacturer instructions, district requirements, applicable standards, frequency of use, and the consequences of a failure. Some items may need checks before each use; others may have scheduled service or monitoring requirements stated by the manufacturer or district. Record completed inspections, findings, corrective actions, and due dates in the equipment register.

NSTA’s study article recommends an annual facility safety inspection for K–12 technology and engineering, integrated STEM/STEAM, and makerspace settings. Treat that as an author-reported recommendation, not as a universal legal interval; check the requirements that apply to your school and equipment (Ken Roy, NSTA, 2021). OSHA’s laboratory recommendations call for regular inspection and maintenance but do not specify one interval for every device.

What the 2020 survey does—and does not—show

In a 2021 NSTA-hosted article, Ken Roy reported findings from the 2020 T&E Education—Facilities and Safety Survey, which received 718 responses from educators in 42 states. Those responses describe participating educators, not a census or precise prevalence estimate for all U.S. schools.

  • 18% reported testing eyewash stations for several minutes every week.
  • 52% reported four or more course preparations per semester.
  • In the article’s analysis, teachers reporting all three specified safety-training experiences were 37% less likely to have reported an accident within the prior five years. This is an association in the survey analysis, not proof that the training caused the difference.

The article reports the author’s recommendations and notes that the author’s views do not necessarily represent NSTA’s official position. Use the findings as context for checking local conditions, not as a substitute for your own risk assessment.

Take defective equipment out of service and plan repairs

Do not leave a questionable item available for the next class while waiting for someone to investigate. Follow district procedures to stop use, label or otherwise isolate the item, restrict access, and notify the person responsible for assessment. Record the defect, any immediate action, and who will decide whether it can be repaired or returned to service.

Return equipment to ready-to-use status only after the appropriate person has assessed the issue and any needed repair, inspection, or testing is complete under school and manufacturer procedures. Do not bypass guards, interlocks, ventilation, or other safeguards to keep an activity running.

Include safety and upkeep in purchasing decisions

Before buying equipment or materials, consider the full lifecycle of using them in the school: hazards, required training, suitable controls and PPE, storage, ventilation where needed, maintenance, replacement parts, consumables, and end-of-life handling. Confirm that manuals, service information, and disposal guidance are available, and determine whether the school can meet the equipment’s operating and storage requirements. For chemicals, know the handling, storage, and disposal information before they arrive, consistent with OSHA’s laboratory recommendations where applicable.
