Choose the byline that accurately reflects who produced the work and whose voice readers are being asked to hear. Use an individual name for substantial reporting or writing by one accountable person, a shared credit when several people made substantial contributions, and an organization byline when the piece intentionally represents an institution. If none of these alone captures the work, add a contributor note that explains the roles.

What a byline tells readers

A byline identifies who wrote or contributed to a story; it is not the same as a dateline, which tells readers where basic information was obtained. The Associated Press puts it simply: “A byline tells the reader who wrote the story.” AP newsroom guidance distinguishes the two.

A byline is also not a substitute for attribution within the article. Identify sources, credit material from agencies or other outlets, and distinguish reporting from editing. The visible credit and the story’s descriptions of where information came from should tell a consistent account of how the work was made.

Choose the byline that matches the work

Byline form Use it when What it tells readers Editorial check
Named author One journalist did the substantive reporting or writing and can take responsibility for it. Readers can identify an author and a clear accountability route. Check that the person’s contribution meets the publication’s standard; credit other substantial contributors separately.
Shared or team byline Two or more people made substantial contributions to reporting or writing. The work was collaborative, rather than the work of just one person. Agree on the order of names. Add a note when readers would benefit from knowing who reported, researched, edited, photographed, or contributed from a particular location.
Organization byline The article intentionally speaks for the publication or another organization, as with an institutional editorial or policy statement. The argument represents an institutional position, not necessarily one writer’s personal view. Name the responsible desk or editor and make the correction or contact route findable. Do not use the organization’s name to conceal individual reporting credit.

These are practical recommendations drawn from AP guidance and documented Guardian standards, not a universal rulebook for every publication or genre. The AP’s metadata documentation includes “The Associated Press” as a byline example, showing that an organization can be credited as the party creating or contributing to content. That identifies an institutional publisher; it does not prove no individual wrote the material. AP’s byline metadata guide also covers formats such as graphics and audio, where credits may be presented differently.

When several people contributed

Do not decide authorship solely by asking who performed the final rewrite. The AP says editors may choose a byline based on who reported key facts; it allows a double byline or an editor’s note when multiple staff members made substantial contributions to the reporting or writing. Its guidance states: “A double byline or editor’s note also can be used when more than one staffer makes a substantial contribution to the reporting or writing of a story.”

Use the shared credit when multiple contributions are substantial enough that a single name would give a misleading impression. A contributor note can handle meaningful work that does not warrant a second byline, or make a shared byline more informative by explaining roles. The goal is to show how the work was produced without turning every small editorial task into an authorship claim.

When the work includes agency or wire copy

Credit an agency when its material is significant, and do not imply that a staff writer independently reported facts supplied by a wire service. The Guardian’s readers’ editor described a case in which “staff and agencies” was the appropriate credit for lightly rewritten wire copy, and noted that the Guardian’s code required credit for significant agency material. That is a documented Guardian practice, not a mandatory label for every outlet. The Guardian’s 2012 account of agency credit explains the issue through a specific case.

When a story uses anonymous sources

An anonymous source does not make the reporting itself anonymous. The AP states: “Stories that use anonymous sources must carry a reporter’s byline.” It also advises that attribution give readers a basis to judge a source’s credibility and, where relevant, understand the source’s motive. AP guidance on anonymous sources covers those attribution expectations.

When an editorial speaks for an institution

An organization byline can be appropriate when an editorial deliberately expresses the publication’s institutional voice. The Guardian has described leaders and editorials in those terms. But a publication may instead identify the individual leader writer: in a 2010 discussion, Scott Trust chair Liz Forgan argued that readers should know who produced such pieces, saying, “I have always thought that leaders should be signed.” The debate illustrates a real choice between making institutional voice clear and making individual responsibility visible; it does not establish that one convention universally improves credibility. The Guardian’s 2010 discussion provides the historical context for Forgan’s comment.

A practical decision check

Before publishing, check the byline against four questions:

  1. Who actually did the substantive reporting or writing?
  2. Is the piece personal analysis or an institutional position?
  3. Did other contributors or outside agencies supply substantial material?
  4. Can readers identify who is responsible and how to request a correction?

Choose the credit that answers all four accurately. If the byline alone cannot explain the work, add a concise note. Keep the same contributor information in publication metadata and visible credits, adapting its presentation to the format.

What a byline cannot prove

A named author, team credit, or organization byline should not be treated as a measured signal of superior trustworthiness. The cited guidance and examples do not establish a statistical trust, readership, or accuracy advantage for any one form. A byline is most useful when it makes authorship and responsibility clearer, while sourcing, attribution, editorial standards, and correction procedures provide the rest of the context readers need.
