ShareX is most useful when a repeated screen task becomes a predictable sequence: capture, review or mark up, then save or share. Set separate hotkeys for local captures and uploads so a routine reference never goes online by accident. The workflows below cover quick references, support replies, share links, long pages, OCR, and command-line automation.

How to set up ShareX hotkeys for repeated tasks

ShareX lets you bind capture methods and after-capture actions to hotkeys. Instead of making one hotkey do everything, assign separate outcomes—such as capture and copy, capture and save, and capture and upload. That makes the intended destination clear at the moment you trigger the workflow.

  1. Choose the capture method. Use a region for a specific part of the screen, a window for an application view, or scrolling capture for a page that continues beyond one screen.
  2. Select only the actions the task needs. Depending on the workflow, that might mean copying to the clipboard, saving a local file, opening the editor, uploading, or copying the resulting URL. These are configurable stages, not mandatory steps.
  3. Assign a distinct hotkey to each outcome. Keep an upload workflow separate from local-only capture, especially if screenshots may contain confidential information.
  4. Run a test capture and inspect the result. Confirm that the image, annotations, save location, and any upload behavior match your intention before using the hotkey on sensitive material.

Workflow: capture a quick reference

For a one-off reference you want to keep nearby, bind a region capture to the smallest useful set of actions: copy to clipboard, save locally, or open the editor. If you often need different outcomes, use separate hotkeys rather than adding every possible action to one chain.

In the editor, ShareX supports marking tools such as arrows, shapes, text, blur, and pixelation. Use an arrow or a short label to make the relevant detail easy to find. If the capture contains information you should not share, blur or pixelate it and inspect the edited image before sending it anywhere; do not assume an obscured detail is safe without checking the rendered result.

Workflow: prepare a bug report or support reply

A useful support image shows the relevant control or error without exposing unrelated account details. Capture a region or window, annotate the important control with an arrow or step number, and redact tokens or personal details before saving or attaching the image in the intended support channel.

  1. Capture the application area that demonstrates the problem.
  2. Use an arrow, shape, or brief text label to identify the relevant control or step.
  3. Blur or pixelate account information, tokens, or other sensitive content, then inspect the edited image.
  4. Save the image or attach it in the support channel you intended; use an upload workflow only when that destination is appropriate.

ShareX identifies bug reports, documentation, support replies, pull requests, and release notes as plausible uses for its annotation features in the project description.

Workflow: upload a screenshot and copy its link

When a screenshot needs to reach someone else, configure a dedicated hotkey chain for capture, optional editing, local saving if wanted, upload, and post-upload URL handling. ShareX describes actions such as copying or opening the resulting URL, shortening it, or showing a QR code. Select only the behavior that fits how you intend to share the image.

Before enabling uploads, decide who should be able to access the destination and whether the image is suitable for that destination. ShareX documentation includes setup guides for Amazon S3, Google Cloud Storage, and Cloudflare R2, as well as custom uploader support. Those are optional upload paths, not requirements for local capture; the documentation cited here does not establish providers’ current prices, retention policies, or sharing defaults. Consult the chosen provider’s current settings and terms before relying on them for sensitive material. See the ShareX documentation and project description.

Workflow: capture a long page

Use scrolling capture when a single stitched image is more useful than several separate screen fragments. After capture, inspect the stitched output for missing, repeated, or misaligned content before treating it as a complete reference. ShareX documentation lists scrolling capture as a supported feature, but does not quantify how reliably it works across different applications and websites. See the documentation index.

Workflow: extract screen text with OCR

For selectable text that is only visible on screen, use Tools → OCR or assign OCR to a dedicated hotkey. Recognition is performed by the Windows OCR engine locally. Text is sent to an online service only if you choose an optional search or translation action after recognition, according to the ShareX OCR guide.

Choose the right OCR mode

  • For a one-line label, serial number, command, or address, single-line mode can join results into one line.
  • For paragraphs or code, preserve line breaks so the output retains its structure.
  • Review names, numbers, punctuation, and code before using the recognized text; OCR output should not be treated as verified transcription.

Improve the input before recognition

Select a tight crop, use high contrast and horizontal text where possible, and choose a language installed and exposed by Windows. A larger scale factor may help with small text, but takes more time and memory. ShareX’s OCR guide states that OCR requires Windows 10 version 1903 (build 18362) or newer; this is an OCR requirement, not a complete statement of ShareX’s application-wide system requirements. Workflow: run a configured workflow from a script

If a script already triggers desktop tasks, ShareX’s command-line interface can invoke a configured workflow by its description. For example, the official guide documents -workflow "Capture rectangle region & annotate"; the description must match the configured workflow. The CLI also supports task selection for file or URL uploads.

  1. Configure and test the workflow in ShareX first, using a non-sensitive file or capture.
  2. Use the workflow’s configured description with the documented command-line argument.
  3. Check that the expected capture, annotation, and destination actions occur before connecting the command to a larger automation.

This is an integration point for an existing automation setup, not a requirement for ordinary hotkey use. Consult the current ShareX command-line guide for argument syntax and behavior.

Choose a workflow by privacy and trigger

For a frequent keyboard workflow, a programmable macro keypad can provide a physical trigger for a ShareX hotkey, but dedicated hardware is not required. The essential setup is a short, clearly named workflow that does only what you intend.
