Secure RMM software by treating it as a privileged control plane: require strong authentication on every access path, restrict each identity to its job and customer, isolate environments, monitor activity, protect logs and backups, and rehearse containment and customer notification. These checks help an MSP determine whether a compromised account or tool could spread beyond its intended scope—and whether suspicious activity can be detected and recovered from.

Why RMM needs controls beyond a secure console login

Remote monitoring and management (RMM) combines endpoint monitoring with remote administration. Because MSP access can span multiple customer environments, a compromised account or tool may affect more than one organization. The joint CISA, NSA, FBI, and international-authorities guidance describes RMM as a capability that warrants strong safeguards across provider and customer environments: joint advisory on managed service provider security.

Assess the whole chain: identities and authentication, the permissions those identities receive, the network paths and systems they can reach, the records that reveal their activity, and the recovery and response arrangements behind them. A control is not verified merely because a vendor offers it; test that it works in the MSP’s actual configuration.

1. Require MFA on every RMM access path

Require multifactor authentication for every identity that can reach customer environments, and treat MSP accounts as privileged. CISA recommends MFA for MSP access and identifies FIDO authentication as a phishing-resistant option where supported: CISA guidance on strong passwords and MFA and CISA MFA guidance.

Check more than the primary console login. Include APIs, remote-access routes, break-glass accounts, and account-recovery workflows. Where the identity provider and RMM platform support it, prefer phishing-resistant authentication such as FIDO. A physical security key is one possible implementation, but confirm that the provider, platform, and relevant login workflow support it before rollout: CISA guidance on implementing phishing-resistant MFA.

  • Inventory each identity and route that can reach customer systems.
  • Attempt access through each route and confirm MFA is enforced, including recovery and emergency procedures.
  • Verify that exceptions are documented, restricted, and monitored rather than silently bypassing the policy.

2. Limit permissions and scope each identity to its customer

Assign access according to job and task. Use read-only or reduced-privilege modes for routine monitoring when the platform offers them. A monitoring role should not be able to execute administrative actions simply because it can view device status; technician access should not extend across customers without a justified need.

Test representative roles in the live configuration or a safe test environment. Confirm that a user limited to one customer cannot view or administer another customer’s systems, and that routine monitoring accounts cannot perform privileged tasks. Avoid broad enterprise or domain administrator membership where narrower permissions will work. The joint MSP advisory and CISA Zero Trust Maturity Model support limiting access and verifying boundaries rather than relying on a trusted network location alone.

3. Separate customer environments from each other and the MSP network

Review how customer data and services are separated from other customers and from the MSP’s own internal systems. Map connections among customer systems, provider systems, and client enclaves, then test whether a compromised account or endpoint could cross those boundaries.

Separation should be demonstrated through the architecture and access rules, not assumed from separate customer names or folders in a console. Look for unnecessary routes, shared credentials, and broad connectivity that could let one compromised environment reach another. CISA’s MSP advisory emphasizes limiting the reach and impact of compromise across provider and customer systems.

4. Approve remote-access paths and restrict unnecessary traffic

Maintain an inventory of authorized RMM and remote-access software. Confirm that approved RMM is used only through approved access paths, such as a VPN or virtual desktop interface, and restrict unnecessary inbound and outbound RMM ports and protocols at network boundaries. CISA’s joint advisory recommends controlling remote-management exposure.

  • Compare the software inventory with what is actually installed and running across managed systems.
  • Identify which routes and network rules permit RMM connections, and remove paths that have no operational purpose.
  • Investigate unapproved remote-access tools or unexpected changes to network rules.

5. Monitor RMM activity for abnormal use

Establish a baseline for normal RMM access and execution, then alert on deviations. Review access and execution logs for unexpected tools, unusual accounts, or portable execution. Monitoring should help answer who accessed which customer environment, when they did it, and what they ran.

Use the baseline to prioritize investigation rather than treating every alert as proof of compromise. CISA’s MSP guidance and guidance on threat actors abusing legitimate remote monitoring and management software describe the importance of detecting misuse of legitimate management tools.

6. Centralize logs and prevent tampering

Centralize useful system, user, administrator, application, and network logs so an investigation does not depend on records held only by the potentially compromised RMM system. Alert on high-risk events such as failed logins and privilege escalation, and restrict who can alter or delete records. Prevent RMM tools from directly accessing log servers or changing their records.

The joint advisory from CISA, NSA, FBI, and international cyber authorities recommends retaining the most important logs for at least six months: joint MSP advisory. Treat this as a retention recommendation, not a guarantee that six months is sufficient for every investigation or compliance obligation. Align log scope and retention with operational, contractual, legal, and regulatory requirements.

7. Keep isolated backups and prove recovery works

Back up critical data and system configurations automatically and continuously. Keep at least one copy isolated from the organizational network or air-gapped, and test that recovery works. CISA identifies protected backups as a safeguard for MSPs and their customers: joint advisory and CISA StopRansomware Guide.

Recovery frequency and testing cadence should follow the organization’s recovery objectives; the guidance does not prescribe one universal schedule. A useful exercise verifies that the needed data and configurations can be restored without relying on systems or credentials that an attacker may have compromised.

8. Rehearse containment and customer notification

Define in advance who can disable or contain RMM access, preserve evidence, contact affected customers, and notify the appropriate incident-response team. Put expectations for provider monitoring and incident notification into customer contracts, then rehearse the process with the people expected to carry it out.

Use a tabletop exercise or other safe rehearsal to check that the MSP and customer can identify decision-makers, agree on how access will be contained, preserve relevant logs, and communicate through an appropriate channel. CISA’s joint MSP advisory and incident response playbooks provide guidance for preparing response responsibilities and actions.

How to assess an RMM configuration

When reviewing an implementation or comparing two configurations, score each on evidence rather than on product claims. Record the test performed, the result, the customer and systems in scope, and any exception that needs remediation.

Roles and customer scoping Role granularity, least-privilege permissions, read-only monitoring where available, and tests showing users cannot cross customer boundaries.
