In 2026, AI is moving into real estate and property-management work, but it cannot make fragmented or inconsistent property records dependable by itself. The practical opportunity is to use AI to reduce routine data handling while improving the records, system connections, and review processes on which property decisions depend.

How widely is AI being used in real estate in 2026?

Survey results point to growing use, but they cover different groups and ask different questions. They should be read as separate snapshots, not combined into a single industry adoption rate or treated as proof that AI caused reported productivity gains.

These are perceived impacts, not causal estimates.
IREM and AppFolio survey, an online survey of 3,662 U.S. property-management and real estate professionals conducted in May and June 2026, as reported by Florida Realtors 58% said they used AI at work, 8% said their organization had a formal written AI policy, and 26% reported formal training. Among AI users who expressed an opinion, 85% reported improved productivity.
PRODA’s 2026 Real Estate Data Survey, 62 senior professionals surveyed in December 2025, including PRODA customers and non-customers Automation priorities were reducing manual work (65%), standardizing lease and rent-roll data (61%), consolidating systems (48%), improving reporting and dashboards (44%), and improving data accuracy and governance (39%). Percentages are rounded.
NAR’s summary of an RPR survey, 225 agents 63% cited output accuracy as their top AI concern, while 68% reported saving at least one hour weekly.

The pattern is more informative than any one percentage: adoption and reported productivity are rising in some surveyed groups, while reported governance readiness, formal policies, and training remain uneven. The survey populations and methods differ, and many reports come from industry organizations or vendors with interests in the sector.

Where does property data work concentrate?

Lease and rent-roll standardization

Lease terms and rent rolls often need to be made consistent before teams can compare properties or produce reliable reports. A practical standardization effort defines the same field names and formats across records—for example, property and unit identifiers, lease start and end dates, base rent, recurring charges, and occupancy status. Teams should also decide how to represent missing, disputed, or non-applicable values rather than letting each system or staff member handle them differently.

Manual handling and fragmented systems

When staff move information between leasing, accounting, maintenance, and reporting tools, errors and delays can enter at each handoff. Consolidating systems is one possible response, but not the only one: integration can preserve specialist tools if records can be exchanged reliably and their owners and authoritative versions are clear. A dashboard is only as useful as the underlying data and the refresh process behind it.

Reporting, accuracy, and governance

Data accuracy and governance are operational work, not a final software setting. Teams need to know who may change a record, which source is authoritative, how corrections are logged, and who checks outputs used for financial or tenant-facing decisions. Without those basics, AI can make inconsistent information easier to search or summarize without making it correct.

What can AI help property teams do with their data?

Assist with repetitive information work

Depending on a tool’s actual capabilities and integrations, AI may help extract or organize information from documents, flag records that appear incomplete, draft summaries, or support searches across property files. These are candidate workflow uses to validate with the software—not a guarantee that any given product performs them accurately. Staff should check extracted fields against the source document, especially where the field affects rent, dates, obligations, or a resident’s account.

Make operational information easier to review

Dashboards and analytics can bring information from multiple properties into a view that helps a team spot exceptions or follow operational trends. Embedded AI may help users query or summarize that information. The positive-impact percentages reported by the National Apartment Association reflect respondents’ views; they do not establish that these capabilities independently caused better performance.

Keep drafting separate from consequential decisions

Generating a first draft of a listing description or summarizing a document is different from deciding what a lease requires, changing a charge, approving a payment, or sending a consequential tenant communication. Use AI-generated material as a starting point, and require an authorized person to verify it before it becomes a record or action. As David Barrow, managing director of WatchPoint Commercial Real Estate, put it in Florida Realtors’ September 2026 report summarizing the IREM/AppFolio study: “Liability is still there for property managers, whether AI does the calculations or a human,”

What should teams fix before scaling AI?

  1. Inventory the data. List the systems and file stores that hold leases, rent rolls, tenant records, property details, maintenance information, and financial data. Record who owns each dataset and which source should be treated as authoritative.
  2. Clean and standardize high-value records. Prioritize fields needed for recurring workflows and reports. Define formats, permitted values, duplicate handling, and rules for missing or conflicting information; then resolve the most consequential gaps before automating around them.
  3. Map connections and permissions. Document how information moves among systems, how often it updates, and which roles can view, export, or edit it. Test imports and exports with representative records, including exceptions, before relying on a new integration.
  4. Set approved uses and review controls. Specify what staff may use AI for, what information may be entered into each tool, which outputs require verification, and who can approve actions affecting leases, payments, resident accounts, or communications. Keep a record of important corrections and decisions.
  5. Train the people doing the work. Give staff workflow-specific guidance on checking outputs, protecting sensitive information, correcting errors, and escalating uncertain results. A policy without practical training is unlikely to create consistent use.
  6. Measure the workflow before expanding it. Establish a baseline and track measures such as correction rates, processing time, incomplete-record volume, service response, and financial discrepancies. Compare results for the same workflow over a defined period; do not treat a vendor’s claimed benefit or a survey respondent’s perception as proof of your own return.

How should you evaluate AI property-management software?

Compare products against the work your team needs to improve, not a broad claim that a platform is “AI-powered.” Ask vendors to demonstrate the workflow using representative, appropriately protected data, including exceptions and error cases. No universal return-on-investment figure or validated vendor ranking is established by the cited reports.

Data access and ownership Can the product import and export the records and fields you need? Who owns the data, and how can you retrieve it if you change systems?
Interoperability Which current systems can it connect to? How are updates, duplicates, failed transfers, and conflicting records handled?
Accuracy and auditability Can staff trace an extracted value or answer back to its source? Are changes, approvals, and corrections logged? How can you test accuracy on your own representative records?
Permissions and governance Can access be limited by role? What information is retained or used by the service, and what controls can administrators set for approved uses?
Human review Can the workflow require approval before an output changes a record, triggers a payment-related step, or reaches a resident?
Training and workflow fit What instruction is available for staff, and does the tool fit the task without creating extra manual handoffs?
Cost and demonstrable impact What are the full implementation and ongoing costs? Can the vendor show the workflow and its limitations clearly enough for your team to measure time, error, and service outcomes after deployment?

Reggie Nicolay, RPR senior vice president of marketing and training, said in NAR’s February 12, 2026 report: “AI adoption is no longer the question. Agents are already using it,” The more useful question for a property team is whether a specific use is accurate, governable, and measurably better than its current process.
