How Airtable and Excel differ
Excel is a spreadsheet application built for working with numerical data, formulas, models, and analysis. Microsoft says it is better suited to complex numerical data that you want to analyze in depth. It also supports charts and interactive reports, including PivotTables that can analyze worksheet data from multiple tables. Microsoft Support and Microsoft’s PivotTable guide describe these strengths.
Airtable organizes information as records with typed fields inside bases and tables. You can present the same underlying records through different views or interfaces, which makes it suited to shared workflows where different people need different ways to interact with the information. Airtable describes collaboration as part of its core approach in its basics documentation.

When to choose Excel
Choose Excel when the work depends on calculations and analysis: budgets, statistical comparisons, forecasts, financial models, or summaries built with formulas and PivotTables. Its spreadsheet format is also a natural fit when people need to examine numerical data and produce charts or reports from it. When to choose Airtable
Choose Airtable when your team needs to manage structured records as part of an ongoing workflow—for example, a shared project tracker or content workflow. Typed fields help keep record information organized, while views and interfaces let people work with the same data in different ways. These are practical applications of the features Airtable describes in its basics guide, not a claim that Airtable is necessarily better for every project or tracker.

Can you use both?
Yes. A practical arrangement is to manage operational records in Airtable and analyze appropriate exported or connected data in Excel. Treat that as a workflow option rather than an assurance of seamless integration: the available documentation establishes the products’ respective strengths, but does not establish Airtable-to-Excel integration behavior or preserve particular formulas and fields during transfer.
What to check before choosing or switching
Run a small trial with representative data before moving a team’s work. Check whether the transfer preserves the information and structure you rely on, and whether the destination product supports the access and scale you need.

- Check whether formulas and other important data structures are preserved or need to be rebuilt.
- Confirm permissions and collaboration needs for everyone who will use the data.
- Compare your expected record volume with Airtable’s limits for the plan you are considering.
- Verify current plan terms and application access directly with each vendor before committing.
What do Airtable and Excel cost?
A like-for-like current price comparison is not established here. Microsoft says Excel is included in Microsoft 365 subscriptions and is also available on the web, but desktop and web access depend on the plan. Check Microsoft’s current offer for the edition and access your team needs.
Airtable’s plan details are subject to change. Its plan overview, last updated August 14, 2026, lists a Team limit of 50,000 records per base and per-collaborator pricing of $24 monthly or $20 per month with annual billing. A pricing-page result observed October 7, 2026 listed Business at $45 per user per month billed annually. These are vendor-listed figures, not a complete cost comparison; check the live Airtable plans overview and pricing page for current availability, geography, billing terms, and plan conditions before deciding.
