How do I clean up my email list?
Work through these steps in order. The exact controls differ by email platform, so use its audience and suppression tools rather than assuming every service has the same buttons or duplicate-removal process.

Audit contact sources and permission
Check where each group of contacts came from and what subscription status or consent record you have. Keep the source and status clear in your audience records. Mailchimp prohibits third-party lists, including purchased, rented, and scraped contacts; validating those addresses does not make such a list acceptable under its terms. Confirm new signups
With double opt-in, a person confirms the address before becoming a subscribed contact. Google’s guidance for subscription messages to personal Gmail accounts calls for confirmed addresses, and Mailchimp says double opt-in can help verify interest and keep invalid addresses out. These are Google and Mailchimp recommendations for their stated contexts, not a universal legal rule for every sender and jurisdiction. Fix obvious errors and organize duplicates
Use your platform’s audience tools to correct clear data-entry errors and identify duplicate records. Keep one organized audience where practical, using tags, groups, or segments to distinguish relevant contacts. Interface steps and duplicate handling vary by provider; the available guidance does not establish one universal duplicate-removal procedure. Preserve each person’s subscription status when consolidating records.

Suppress unsubscribes and process requests promptly
Keep opted-out addresses on a suppression list so that importing or merging contacts does not accidentally make them eligible for marketing again. Google says to “Process and honor unsubscribe requests within 48 hours” for subscription messages covered by its guidance, and calls for a one-click unsubscribe mechanism. The FTC’s U.S. CAN-SPAM guide sets a different statutory timing: covered opt-out requests must be honored within 10 business days. Its mechanism must remain able to process requests for at least 30 days after a message, and opting out cannot require a fee or extra personal information. After an opt-out, an address generally may not be sold or transferred except to a company hired to help comply with CAN-SPAM. Remove or suppress confirmed invalid addresses; interpret bounces carefully
Review bounce reports after sends. Mailchimp describes a hard bounce as a delivery failure that may result from an invalid address or an unexpected sending error. A soft bounce is a recognized address rejected for a reason such as a full mailbox or temporary unavailability, so it is not by itself proof the address is permanently bad. Suppress confirmed invalid addresses, but investigate patterns instead of deleting every contact that has a temporary failure. Mailchimp says it handles bounced addresses after sends, while warning that it is not a cleaning service for imported old or invalid lists. See Mailchimp’s explanation of bounces.

Segment inactive subscribers and offer a restrained re-engagement
Use your normal sending cadence and subscriber relationship to decide who counts as inactive; there is no source-backed cutoff that fits every list. Mailchimp recommends periodically trying to re-engage inactive subscribed contacts and unsubscribing those who do not respond. Make the opportunity limited rather than repeatedly emailing nonresponders. See Mailchimp’s audience recommendations.

Archive or remove contacts who remain inactive, and address spam-trap risk
After a restrained re-engagement attempt, decide whether to archive or remove contacts who remain inactive under your platform’s policies and recordkeeping needs. Mailchimp presents archiving inactive contacts as one audience-management approach, not a requirement for all senders. It also explains that spam traps can be recycled from inactive addresses and that third-party lists are especially risky. Prevent bad records from returning and monitor results
Use signup confirmation and, where appropriate, form safeguards such as reCAPTCHA. Keep permission records current, maintain suppression status during imports, and review delivery and audience signals in your platform. Mailchimp notes that bounce thresholds vary among providers, change over time, and are not publicly disclosed, so there is no universal safe bounce percentage to target. How often should I clean my email list?
There is no universal calendar interval in the guidance cited here. Make suppression of unsubscribe requests and confirmed invalid addresses an ongoing process. Periodically review engagement in light of how often you usually send and how subscribers joined; Mailchimp recommends periodic re-engagement but does not set one inactivity period for every audience. Treat bounce, complaint, unsubscribe, and engagement trends as signals to investigate, not as a single industry-wide threshold.
