You can also use Copilot Chat beside Outlook when it is available for your account. Microsoft’s documentation does not establish a general-release upgrade that lets every web user conversationally edit and format email text in place, so treat drafting and coaching as the documented capabilities—not a universal new editing feature.
What Copilot can do while you write in Outlook on the web
Microsoft documents three related but distinct experiences: Draft with Copilot, Coaching by Copilot, and Copilot Chat. They support composing and improving messages in different ways; they should not be mistaken for one newly launched conversational editor.

Microsoft’s general Outlook guidance describes drafting and coaching, but does not confirm a standalone general-release feature for issuing conversational commands to edit or format selected text directly in the web composer. For personalization, Draft Instructions can express preferences such as concise wording, bullets, and a friendly tone; that is different from proving a new in-place formatting workflow.
Draft an email with Copilot
- In Outlook on the web, start a new message or reply to an email thread.
- Select the Copilot button in the compose window, then choose Draft with Copilot.
- Enter a specific instruction. For example: Write a friendly reply thanking Alex for the proposal, ask whether Friday afternoon works for a review, and keep it under 100 words.
- Review the generated draft. If it misses a detail or the tone is off, revise the prompt or use the available controls to adjust tone and length.
- Edit the message yourself and verify names, dates, commitments, and any information drawn from the conversation before sending.
For the most useful result, say what the email should accomplish, who will receive it, the facts it must include, and the tone or length you want. If you are replying, make clear which point in the thread you are answering rather than assuming the first draft will capture your intent.

Microsoft’s drafting help says plain-text messages are not supported in New Outlook and Outlook on the web and directs users to select HTML in Settings > Mail > Compose and reply. Improve a draft with Coaching
Coaching is for feedback on a message you have already written. From the Copilot button while composing, choose Coaching by Copilot to get suggestions related to tone, sentiment, and clarity. Review the suggestions and apply only those that fit the audience and purpose. You remain responsible for the final wording; coaching feedback is not a guarantee that a message is accurate, appropriate, or complete.

Make drafts sound more like you
In new Outlook, Microsoft documents this path for custom Draft Instructions: Copilot menu > Settings > Draft Instructions. Add preferences, enable them, and save. Microsoft’s example is: “Keep emails short and direct, with bullet points where they make sense. Use a friendly tone and sign emails with my first name.”
Instructions can steer the style of generated drafts, but they do not remove the need to check the result. If a preference is unsuitable for a particular email—for example, a very brief style for a sensitive issue—revise the draft for that situation.

Copilot Chat access depends on your account
Microsoft’s April 2026 Copilot Chat guidance says eligible Microsoft 365 subscribers can use Copilot Chat in Outlook, but access and data scope vary. For work or school accounts, Chat can answer questions about inbox, calendar, and meetings with limited data access when the user does not have a Microsoft Copilot add-on license. With the add-on license assigned by an administrator, Chat can work across inbox, calendar, meetings, chats, and enterprise data. This licensing distinction applies to Chat capabilities; it should not be read as a promise that every drafting or coaching feature is included in every subscription.

Microsoft’s Outlook FAQ also describes Chat with Copilot as available only with a work or school account in new Outlook for Windows or Outlook on the web, while the newer Copilot Chat page uses broader eligible-subscriber language. The available documentation does not resolve whether that difference reflects feature scope or documentation timing. Check the current account experience and licensing details rather than assuming one rule applies to all Outlook users.
Microsoft says Outlook Copilot scenarios are limited to a user’s primary mailbox. They are not available for archive, group, shared, or delegate mailboxes, and do not work on mailboxes that are not hosted on Exchange Online. Frontier inbox management is a separate preview
Microsoft also documents a Frontier preview called Copilot in Outlook for inbox management. It is separate from the standard drafting and coaching workflow: the preview can generate draft emails and take mailbox actions such as moving, archiving, flagging, and creating rules. Those action-taking capabilities do not establish that a general-release conversational editor for formatting email text has launched.
Microsoft’s support page describes the experience as preview-only and requiring enrollment in the Frontier program. It lists Outlook on the web, classic Outlook for Windows, Outlook for Windows, iOS, and Android as supported clients, and says EU users could not access it at the time of that page. The page expected rollout to enrolled organizations on April 27–28, 2026; availability and limits can change. Microsoft also notes that bulk automation may be incomplete, some pattern-detection tasks may be unavailable, and changes generally appear immediately in Outlook on the web while classic Outlook can lag because of synchronization. Check the current Frontier inbox management instructions for the latest availability and limitations.
Review every Copilot-generated message
Copilot can give you a starting point, not a substitute for judgment. Microsoft advises: “As with any AI generated content it’s a great tool to get started, but it’s important that you review, edit, and verify anything it creates for you.” Check factual claims, names, dates, attachments, tone, and whether the draft actually answers the recipient’s request before sending.
