Word also lets you draw a custom layout, convert prepared text, and start from a preformatted Quick Table. The best method depends on whether you are starting with a blank page, existing text, or spreadsheet-style data.
Choose the right way to make your table

These are seven ways to access or create table content, not seven equivalent table formats. Keyboard access opens the same insertion features, and Excel Spreadsheet inserts a spreadsheet object rather than a native Word table. Commands, labels, and shortcuts can differ across Word for Windows, Mac, the web, and mobile; if a path below does not match your interface, check the equivalent command in your Insert menu.
1. Select a table size from the grid
Use the grid for a straightforward table with a regular row-and-column layout. Microsoft describes this as selecting the dimensions in the Insert menu before inserting the table (Microsoft’s table insertion video).
- Place the cursor where the table should appear.
- Select Insert > Table.
- Move across the grid until the number of columns and rows you want is highlighted.
- Select the highlighted grid area to insert the table.
2. Enter exact row and column counts
If you already know the table’s dimensions, use the Insert Table dialog instead of moving across a large grid. Depending on your Word interface, the command may appear as Insert Table or as a prompt to choose rows and columns. - Place the cursor at the insertion point.
- Choose Insert > Table, then open the option for entering the table’s dimensions.
- Enter the number of columns and rows.
- Confirm to insert the table.
3. Draw a custom table
Draw Table is useful when cells need different widths or the layout cannot be represented by a uniform grid. Choose Insert > Table > Draw Table, draw the table’s outer rectangle, then draw the row and column dividers where you need them. For Word for Mac, Microsoft also documents erasing a line to adjust the layout; the exact controls can differ by platform (Insert a table in Word for Mac).
4. Convert prepared text into a table
Text conversion works best when the content is already arranged in rows, with a consistent separator between fields. Use tabs between columns and paragraph marks between rows; tabs are a safer choice than commas if values may contain commas. Microsoft documents the conversion steps for Word for Microsoft 365, Word 2024, Word 2021, Word 2019, and Word 2016 (Convert text to a table or a table to text).

- Prepare the text so each row ends with a paragraph mark and each field is separated consistently, such as with a tab.
- Select the text.
- Choose Insert > Table > Convert Text to Table.
- Check the detected number of columns, the selected separator, and the AutoFit setting, then confirm.
- Inspect the resulting rows and columns, especially if the content contains the separator character.
AutoFit to contents sizes columns to their contents; AutoFit to window adjusts the table to the available width. If conversion splits a value unexpectedly, revise the separators in the source text and convert it again.
5. Start with a Quick Table
Quick Tables are built-in, preformatted starting points. Choose Insert > Table > Quick Tables, select a design, then replace its sample content. This can save setup when a built-in format fits your purpose better than a blank grid. The keyboard route Alt+N, T, T is documented in Microsoft’s desktop screen-reader guidance; it is platform- and interface-specific, not a universal shortcut (Use a screen reader to insert a table in Word).

6. Insert an Excel Spreadsheet object when available
Some Word table menus include Excel Spreadsheet. Selecting it opens a spreadsheet object inside the document, which is useful when you need calculations or formulas. For ordinary text data, a native Word table is simpler. Availability is not established for every Word platform or build, so check your own Insert > Table menu rather than assuming this option will be present.
7. Use keyboard access to insert a table
Keyboard commands can open table-insertion controls without mouse navigation. Microsoft’s screen-reader guidance documents Alt+N, T, I for opening the Insert Table dialog and Alt+N, T, T for Quick Tables in the referenced desktop sequence. The Word for the web sequence differs, and Mac uses its own navigation. Use these only if they match your platform; otherwise follow the ribbon path or the platform-specific keyboard guidance from Microsoft (Use a screen reader to insert a table in Word).

Add rows or columns after insertion
When the table needs to grow, click a nearby cell and use the contextual Table Layout tab. The Table Design and Table Layout tabs appear when the cursor is inside a table. Microsoft documents the insertion commands in its guide to adding a cell, row, or column in Word.
- Click in the cell near where you want to add space.
- Choose Table Layout > Insert Above or Insert Below for a row, or Insert Left or Insert Right for a column.
- To insert multiple rows or columns at once, select the same number of existing rows or columns first, then use the relevant insertion command.
Make the table easier to navigate
Give the table a header row with concise, meaningful column headings. A marked header row helps screen-reader users identify columns and navigate the table. Microsoft’s accessibility guidance describes the header-row setup and platform-specific controls (Use a screen reader to insert a table in Word). After creating a table—especially by converting text—check that each value landed in the intended row and column and that the table has the expected number of columns.

Which Word versions and platforms are covered?
Microsoft’s text-conversion guidance lists Word for Microsoft 365, Word 2024, Word 2021, Word 2019, and Word 2016. Other Microsoft guidance covers Word for Mac and screen-reader workflows. This is not a complete feature-availability matrix: ribbon labels, keyboard sequences, and some menu options vary among desktop Word, Mac, the web, and mobile. For a platform-specific interface, use the matching Microsoft instructions rather than assuming every command appears in the same place.
