Google offers a useful path from general AI skills to practical Gemini workflows in Gmail, Docs, Sheets, Slides, and Drive. Not every item below is a conventional course, and “free” does not always mean free certification or free access to the Gemini features being taught. You can learn from the materials without necessarily having a paid Gemini plan; using some features in Google Workspace may require an eligible plan or administrator approval.
This list is for beginners, students, and people who use Google tools at work. It focuses on Google’s own courses and learning resources, not Gemini APIs, Google AI Studio, or enterprise implementation training. The sequence moves from foundational skills to specific apps so you can choose only what fits your needs.

Google lists the seven Workspace-specific courses together on its AI and machine-learning training page. Its Workspace Learning Center Gemini training page also links to role-based learning and broader AI resources.
1. Google AI Essentials
Build a foundation before focusing on Gemini
AI Essentials is a beginner-oriented course for understanding basic generative-AI concepts and applying AI to everyday tasks. Google describes it as suitable for learners without prior experience. It can help you think about responsible use, work with prompts, and identify practical tasks for AI before you concentrate on a particular Gemini app.

Google’s course directory includes AI Essentials, but enrollment, full access, and certificate terms can depend on the current offering and platform. Check the Google courses and tools directory before assuming the course or its certificate is entirely free.
Try this
Choose a routine, low-risk task such as turning non-sensitive notes into a checklist. Compare the generated checklist with your original notes and correct omissions. This establishes a useful habit: treat AI as an assistant whose work you review.
2. Google Prompting Essentials
Learn to give Gemini better instructions
Prompting Essentials focuses on structuring requests so an AI system has enough context to produce a useful result. A strong prompt usually explains the task, audience, relevant background, constraints, and desired format. You can then revise the request when the response misses the mark and save effective prompts for repeat tasks.
Google includes Prompting Essentials among its learning offerings. The course may be hosted on a separate learning platform, so distinguish being able to start or preview it from full course access or a certificate. See Google’s Gemini training and learning resources for the current listing.

Ask Gemini to draft a short update for a specific audience, state the tone and length, and provide only non-confidential facts. If the first result is too formal or too long, ask for a targeted revision rather than starting over. Check every factual detail before using it.
3. Introduction to Gemini for Google Workspace
Understand the overall Workspace workflow
This Google Cloud course introduces Gemini in Google Workspace and is a useful bridge between general AI literacy and training for a particular app. It helps Workspace users understand where Gemini can assist with tasks such as drafting, summarizing, organizing, and brainstorming across Google’s productivity tools.
Take the course to learn about the product, but do not assume it grants access to Gemini controls in Gmail, Docs, or other apps. Google documents that access to certain Workspace Gemini features depends on an eligible plan, and a work or school administrator may control availability. Start with the Google Cloud training list and consult the Workspace Learning Center for product learning.
4. Gemini in Gmail
Use AI for email drafting and summaries
Google Cloud’s Gemini in Gmail course is aimed at people who spend time drafting, revising, or catching up on email. Relevant workflows include composing from rough notes, adjusting tone, and summarizing a long thread. The course is listed on Google’s Workspace training page.

Give Gemini five non-sensitive bullet points and ask for a concise client update. Then request a more formal version. Before sending either draft, verify names, dates, commitments, and any details drawn from earlier messages. In-product access depends on the account and eligible services available to you.
5. Gemini in Google Docs
Draft and improve documents without handing over judgment
The Docs training is useful for creating a first draft from an outline, improving clarity or tone, summarizing a document, and proofreading. Google’s Docs Editors Help page describes Gemini capabilities in Docs and related Workspace apps and says these features require an eligible Google Workspace or Google AI plan.
Completing training does not ensure that Gemini will appear in your Docs account. Eligibility, administrator controls, language, and location can affect access. Treat suggested wording as editable material, and compare summaries with the original document before relying on them.
6. Gemini in Google Sheets
Use it to explore data, then validate the result
Google Cloud lists Gemini in Google Sheets as a product course. It is relevant to organizing data, generating or explaining formulas, identifying patterns, and summarizing a table. Google’s course list is the official starting point.

AI-generated formulas and interpretations can be wrong, especially when a request is ambiguous or the data has inconsistencies. Test formulas on known examples, inspect the referenced cells, and recalculate important results independently before using them in a report or decision.
7. Gemini in Google Slides
Develop presentation content and visuals
The Slides course is for people building presentations, including teachers, marketers, and project teams. The training covers Gemini’s role in presentation work; Google’s product guidance describes features such as generating or refining slide content and working with images, where available. Find the course through Google’s Workspace training list and the related Docs Editors Help documentation.
Try this
Start with a three-sentence project brief and ask for a six-slide outline. Review and correct the narrative yourself before developing slides or visuals. Check generated images for accuracy, suitability, and any rights or usage requirements relevant to your presentation.
8. Gemini in Google Drive
Find and summarize files with source awareness
For a general audience, Drive is a useful final step because it applies Gemini to research and file discovery. Google Cloud lists Gemini in Google Drive as a course. Google’s Connected Apps guidance explains how Gemini may work with Drive and other connected services, subject to account and administrator controls.

When you ask for a summary or answer based on Drive material, open the referenced files and check that the response reflects the relevant passages. Google warns that connected-app answers can be incorrect or rely on older information; do not treat a plausible summary as proof that it is complete.

For a general learner, this sequence moves from broad concepts to application-specific practice:
- Google AI Essentials: learn basic AI concepts and responsible use.
- Google Prompting Essentials: practice clear instructions and iterative refinement.
- Introduction to Gemini for Google Workspace: understand the Workspace environment.
- Gemini in Gmail: practice on email drafting and thread summaries.
- Gemini in Google Docs: apply it to writing and editing.
- Gemini in Google Sheets: move to structured data and formula checks.
- Gemini in Google Slides: use it for presentation planning.
- Gemini in Google Drive: apply it to file discovery and document-based questions.
You do not have to finish all eight. Start with the course matching your day-to-day task, and add the general AI and prompting courses if you want skills that transfer across apps.
Are Google’s Gemini courses really free?
“Free” describes several different things: an openly available help page, a no-cost training resource, a course that can be started or previewed, or a course whose complete experience and certificate may require payment. Google’s listings do not establish one universal access or certificate rule for every item above, so check the linked enrollment page for the current terms before committing.
Course access and Gemini product access are separate. You may be able to study a Workspace course without having the eligible Workspace or Google AI plan required to use its in-app features. Google states that Gemini features in Docs, Sheets, Slides, Vids, and Forms require an eligible plan; details are on its feature and eligibility page. Do not buy a plan solely to take a course unless the course’s current enrollment terms require it.
What do you need before starting?
- A Google Account for some services: Some Gemini App features can be used without signing in, but signing in enables additional capabilities and saved activity. See Google’s sign-in guidance.
- A suitable account for Workspace features: Work and school accounts can have distinct eligibility and controls. Ask your administrator whether Gemini is enabled if you use an organization account.
- Access that suits your location and language: Features can differ by country, language, device, account type, and product. Google’s Connected Apps help describes account and availability considerations.
- Safe practice material: Use a sample document, made-up scenario, or non-confidential work. Do not submit personal, regulated, or confidential data unless your organization’s policy permits it.
- School-specific approval where relevant: Education access differs by edition, age, and administrator settings. Google describes Gemini for education account conditions in its education account guidance.
How to learn Gemini effectively and safely
- Practice with a real task that is low risk and uses no sensitive information.
- State your goal, audience, context, constraints, and preferred format in the prompt.
- When an answer is weak, ask for a specific revision and explain what needs to change.
- Ask for assumptions or supporting sources when they matter, then open and check those sources yourself.
- Compare summaries with original documents and validate spreadsheet calculations against the underlying data.
- Save prompts that work as reusable templates, but adapt them to each task rather than assuming they will always produce correct results.
- For schoolwork, follow your institution’s AI policy, disclose use when required, and do not submit generated work as your own if prohibited. Google’s Classroom guidance also advises educators to check and refine generated content for their context and local policies.
Gemini can make mistakes or use outdated information. For legal, medical, financial, academic, or safety-critical matters, treat output as a draft or aid—not professional advice—and verify it with an appropriate authoritative source or qualified person.
Why is Gemini missing from Gmail, Docs, or Sheets?
- Confirm you are signed in to the intended Google account; personal, work, and school accounts may have different access.
- Check whether your account has an eligible Workspace or Google AI plan for the feature you want.
- If it is a work or school account, ask the administrator whether Gemini or the relevant connected app is enabled.
- Check whether the feature is supported for your country, language, device, and account type.
- Confirm the feature exists in that specific application; Gemini capabilities are not identical across products.
- If you only need general chat rather than an in-app Workspace feature, try the standalone Gemini app and review its account requirements.
