Manage data-center preventive maintenance as a risk-based operating program, not a one-size-fits-all calendar. Start with an accurate asset register, set tasks from manufacturer guidance and applicable standards, and use work records, condition data, redundancy plans, and trained staff to keep critical systems supportable without taking unnecessary risks with availability or safety.

1. Build an asset register that reflects criticality

Record each maintainable asset’s identity, location, capacity, supported systems, vendor information, and maintenance history. Link assets to the uptime and business requirements they serve: the consequences of an air-handler or power-system failure depend on what it supports and what backup capacity is genuinely available.

Use the register to define the scope of the program, including preventive and predictive work, vendor support, adequate staffing and resources, tracking, and fully scripted procedures. Uptime Institute’s maintenance criteria describe these as elements of effective data-center operations.

2. Set maintenance frequencies from guidance, then adapt them

ASHRAE defines preventive maintenance as planned and scheduled by equipment runtime or calendar. Use manufacturer instructions and applicable standards as starting points, then account for the equipment’s condition, environment, criticality, warranty, inspection results, and operating history. ASHRAE’s 2023 Handbook, Chapter 40, notes that field conditions can justify changing task frequency.

For instance, that chapter gives checking air-handler variable-speed drives every six months under Standard 180 as an example. It is not a universal interval for every data center or equipment model. Confirm current standards editions, local requirements, manufacturer instructions, and site procedures before assigning actual intervals.

3. Make work, findings, and deferrals visible

Use a maintenance-management system to schedule work and record completions, findings, staffing loads, asset trends, lifecycle plans, and budgets. Make overdue work visible, document why it was deferred, and record the risk and mitigation rather than allowing an open task to disappear from view. Uptime Institute warns that deferred maintenance creates risk to the data center.

Connect monitoring to work order creation where appropriate. ASHRAE describes a building-automation pressure reading triggering a computerized maintenance-management-system work order. A useful workflow preserves the reading, the resulting task, its owner, and how the issue was resolved.

4. Add condition monitoring where it can change a decision

Scheduled inspections provide a baseline; condition monitoring can help determine whether an asset needs attention sooner or whether routine work can be adjusted. ASHRAE lists these nondestructive diagnostic methods:

  • Thermal infrared imaging
  • Electrical current and vibration analysis
  • Chemical analysis of lubricants and heat-transfer media
  • Pressure and temperature differential measurements
  • Ultrasonic or eddy-current testing
  • Dye penetrant testing and visual inspection

Select methods based on the asset and the question being investigated. They require suitable procedures and competent interpretation; a measurement or alert does not replace safe work practices or establish by itself that equipment is safe to service.

5. Plan maintenance around the actual redundancy design

Before taking power or cooling infrastructure out of service, verify the approved procedure, isolation points, current load, and remaining capacity. Assess the effect on the systems that depend on the equipment—not just the component being worked on.

ASHRAE explains that concurrent maintainability means an infrastructure element can be shut down and removed without compromising dependent computing systems. The label “N+1” alone does not establish that a facility achieves this. Its 2023 Handbook, Chapter 20, also calls for thorough testing of redundant systems at low, partial, and design-rated loads. Follow site-approved procedures and qualified specialists for all isolation, testing, and electrical work.

6. Keep procedures, vendors, and people accountable

Maintain and periodically review standard operating and maintenance procedures for routine work, abnormal conditions, and alarms. For vendors, specify scope, qualifications, call-in process, and response times; qualify them for the equipment and site requirements involved.

Train staff on the actual tools, site procedures, cybersecurity, and emergency response. Monitoring software, including AI or machine-learning tools, may help surface patterns or recommendations, but ASHRAE’s AI Data Center Energy Performance Framework states that facilities personnel remain responsible for interpreting results, authorizing actions, and executing maintenance safely and correctly.

7. Review operating and environmental trends

Compare power and cooling telemetry with commissioning or recommissioning baselines, and investigate material deviations. Review maintenance findings alongside availability, energy use, and resource measures; no single metric is a complete maintenance score.

Power usage effectiveness (PUE) is total facility energy divided by IT-equipment energy. The U.S. Department of Energy’s July 2024 Best Practices Guide for Energy-Efficient Data Center Design reports 1.55 as the annual PUE average for large data centers in Uptime Institute’s 2022 survey. That historical sector figure is context, not a target for an individual site.

Environmental monitoring can also uncover conditions that threaten equipment. ASHRAE’s 2023 Chapter 20 discusses corrosion monitoring and recommends using silver and copper coupons in datacom rooms at least twice a year—once in winter and once in summer—in connection with its discussion of the fifth edition of the 2021 Thermal Guidelines. Treat this as handbook guidance to evaluate against the site’s environment, system design, and applicable procedures.

Choose a maintenance mix that fits the evidence

Calendar- or runtime-based preventive tasks are planned in advance; condition-based or predictive work uses measurements and observations to guide intervention. Neither approach should be applied mechanically. ASHRAE notes that scheduled work can cause excessive routine downtime and cost, while field data can help avoid both over-maintenance and under-maintenance.

When deciding where to invest in monitoring or adjust a task, weigh the asset’s consequence of failure, the risk and downtime under the site’s real redundancy, the quality of available history and telemetry, and the cost of analysis against unnecessary work or a failure. There is no single component-by-component interval that applies to every data center, equipment model, and jurisdiction: establish site-specific tasks with the applicable standards, manufacturers, approved procedures, and qualified specialists.
