To get better at Excel, learn a small set of repeatable habits: navigate efficiently, build formulas you can check, structure source data cleanly, and choose the right tool for each analysis. The 52 tips below are grouped by task rather than difficulty; menu names and shortcuts can vary by platform and Excel version.
Set up workbooks that are easier to use
1. Give worksheets useful names
Replace generic names such as Sheet1 with labels that describe the contents, such as Sales or March. Double-click a sheet tab to rename it.
2. Reorder related sheets
Drag a sheet tab to put related inputs, calculations, and outputs in a logical order. This makes a workbook easier to scan without changing its data.
3. Use one row for headers
Put a single, descriptive header at the top of each column. Avoid blank header cells and merged headings in the middle of a data list; clear headers help filters, tables, and PivotTables identify fields.

4. Keep each column to one kind of information
Store dates, names, quantities, and amounts in separate columns. A value such as “12 boxes” is harder to calculate than a numeric quantity in one column and a unit in another.
5. Avoid blank rows inside a list
Keep a continuous block of records so Excel can more reliably recognize the extent of the data when you sort, filter, or create a summary.
6. Convert a data range to a table
Select a cell in a consistent list and use Insert > Table (or the Table command available in your version). Tables provide filter controls and can extend when you add rows; they also make formulas and analysis easier to manage.
7. Freeze the headings you need to see
Use View > Freeze Panes to keep headers visible while scrolling. Choose the appropriate freeze option for the rows or columns you need; unfreeze them when the layout changes.
8. Use filters before sorting
Turn on filters for a table or data range to narrow the visible records by value, text, or date. Check that you are sorting the whole data set, not a single column detached from its rows.
9. Use Find to locate a value
Use Excel’s Find command to search for a label or value in a large sheet instead of scanning manually. If results look unexpected, check whether the search is limited to the current sheet or workbook.
10. Use Go To for a known cell
When you know the address, use Go To to jump directly to it rather than scrolling. This is especially useful when reviewing formulas or navigating a large worksheet.
11. Select a full data region with the keyboard
Use the platform-appropriate navigation shortcuts to move across a continuous block of data. Microsoft’s shortcuts documentation covers desktop and mobile contexts and notes that its listed combinations assume a US keyboard layout, so check the applicable reference for your setup: Excel keyboard shortcuts.
12. Save early and often
Save the workbook before major edits and after meaningful changes. Microsoft lists Ctrl+S in its Windows shortcut guidance; Mac and browser behavior may differ. Use File > Save if you are unsure which key combination applies.
13. Undo a change promptly
If an edit produces an unexpected result, undo it before making more changes that depend on it. Ctrl+Z is listed for Windows; use the matching shortcut or Undo command for your platform.

14. Use the formula bar to inspect a cell
Select a cell and read its formula in the formula bar. The grid shows the result, while the bar helps you spot an incorrect reference, missing operator, or unexpected formula.
Write formulas that are easier to trust
15. Start every formula with an equals sign
Excel formulas begin with =. A formula can combine values, cell references, operators, and built-in functions, for example =A2+B2.

16. Use SUM for totals
For a range such as B2 through B20, enter =SUM(B2:B20). A function is easier to maintain than manually adding every cell reference.
17. Count numeric entries with COUNT
Use =COUNT(B2:B20) when you need to count cells containing numbers in that range. If you need to count nonblank cells of any kind, choose a counting function suited to that task instead.
18. Calculate an average with AVERAGE
Enter =AVERAGE(B2:B20) to calculate the arithmetic mean of the numeric values in the range. Check that the range includes the intended records and excludes headings.
19. Use cell references instead of typing numbers into formulas
For a calculation such as price times quantity, use cell references like =B2*C2. If an input changes, the result can update without rewriting the formula.

20. Copy formulas with the fill handle
Select a formula cell and drag its fill handle down or across to apply the calculation to neighboring rows or columns. Inspect the first and last copied formulas to confirm that references shifted as intended.
21. Lock a reference when it should not move
In a formula copied to many rows, an input such as a tax rate may need to remain fixed. Use an absolute reference, for example $F$1, where appropriate; check that the dollar signs lock the row and column you intend.
22. Use parentheses to make calculation order clear
Write =(B2+C2)*D2 when the sum of B2 and C2 should be multiplied by D2. Parentheses make the intended order visible and reduce ambiguity.
23. Use a function instead of repeating manual arithmetic
Choose a built-in function when it directly expresses the task, such as SUM for a total. Functions are easier to review and can adapt more cleanly when a range changes.

24. Check the range before accepting a result
A formula can be syntactically valid and still use the wrong cells. Click the formula cell and verify its references against the records you meant to include.
25. Use XLOOKUP for flexible lookups when available
XLOOKUP can search in either direction and returns exact matches by default, according to Microsoft’s formula guidance. Check that your Excel version supports it before sharing a workbook with others: Excel functions by category.
26. Keep VLOOKUP when compatibility is the priority
VLOOKUP can still suit a workbook used in environments where XLOOKUP is unavailable. Choose based on the task and the versions other people use, not on a claim that one function is always best.
27. Compare lookup functions by direction and match behavior
For a lookup, ask whether you need to search left or right, whether exact matching is required, and which Excel versions must open the file. XLOOKUP’s direction flexibility and exact-match default can simplify many tasks; compatibility may favor another method.

When constructing a function, review each argument in order: the values or range to evaluate, any criteria, and the result or match options required. Microsoft’s formulas and functions help provides a starting point for learning formula structure.
29. Use Excel’s function suggestions
As you type a function, use Excel’s suggestions and argument prompts to check the spelling and expected inputs. Treat suggestions as guidance, then verify the formula’s logic and result.
30. Break a complicated calculation into checkable parts
If a long formula is difficult to inspect, calculate intermediate results in separate cells or use clear helper columns. This makes it easier to identify which part of the logic needs correction.
31. Recalculate a result after changing inputs
Change a known input temporarily and observe whether dependent results update as expected. Restore the intended value afterward; this simple check can reveal formulas that point to the wrong cells.
32. Use error messages as clues
When a formula returns an error, inspect the references, argument types, and lookup values first. Correct the cause rather than hiding the error before you know what it means.
Turn a list into useful analysis
33. Filter before building a summary
Use filters to inspect a subset of records, such as one category or date range. Filtering helps you understand the source data, but it does not repair inconsistent entries.

34. Sort the entire table, not one isolated column
Sort through the table or full data range so each row’s values stay together. Sorting just one column can misalign names, dates, and amounts.
35. Check categories for inconsistent spelling
Before grouping or counting categories, scan for variations such as “North” and “N.” A PivotTable will treat different text values as separate categories.

A formula such as =SUM(B2:B20) is a good fit when you need one defined result from a known range and do not need to interactively regroup the records.
37. Use a PivotTable for grouped summaries
A PivotTable can summarize records by fields such as month, region, or product, and lets you rearrange the analysis. Start with a clean, headed data range, then use the PivotTable creation and layout guidance in Microsoft’s Excel help.
38. Put fields in PivotTable areas deliberately
Use row and column fields to define groups, value fields for measures, and filters when you need to narrow the displayed summary. If the summary looks wrong, first inspect field placement and the source records.
39. Confirm how a PivotTable summarizes values
Check whether a value field is being summed, counted, or summarized another way. The selected calculation should match the question you are trying to answer.
40. Refresh a PivotTable after source changes
If records or source values change, refresh the PivotTable so the summary reflects the updated data. Also verify that newly added rows are included in its source.

41. Use Power Query for recurring imports
If you repeatedly bring in similar files and perform the same cleanup, Power Query provides a workflow for importing, analyzing, and transforming data. Microsoft’s Power Query for Excel help covers the feature.
42. Use manual edits for genuinely one-off fixes
For a small, isolated correction, direct editing or a simple formula may be quicker than building a transformation workflow. Prefer a repeatable method when the same cleanup returns with future imports.
43. Learn the transformation steps, not just the end result
Power Query is useful because you can apply transformations to imported data. Microsoft’s training resources include a data-cleaning module; confirm the exact steps in the Excel platform and version you use.

44. Separate source data from analysis output
Keep an imported or raw list distinct from formulas and summaries built from it. This makes it easier to compare the original values with cleaned or analyzed results.
Format and collaborate without obscuring meaning
45. Format numbers according to what they represent
Apply date, currency, percentage, or number formatting so values are readable and their meaning is clear. Formatting changes how a value appears; it does not necessarily change the underlying value.
46. Use consistent formats within a column
Keep dates, percentages, and amounts displayed consistently. Mixed formats make a sheet harder to scan and can signal that values were entered inconsistently.
47. Use color to reinforce structure, not replace labels
Use restrained formatting to distinguish headers, inputs, and results, but keep text labels so the workbook remains understandable without relying on color alone.
48. Check sharing and coauthoring behavior in your environment
Excel has collaboration learning resources, but the available sharing experience depends on the account, file location, and version in use. Use the collaboration guidance in Microsoft’s Excel help for the setup that matches your workbook.
49. Use a ribbon command when a shortcut is uncertain
Shortcuts can vary by Windows, Mac, Excel for the web, and keyboard layout; browser commands may also conflict with web-app shortcuts. Use the ribbon or menu command if a shortcut behaves differently than expected, and consult Microsoft’s shortcut reference for your platform.
Build a practical learning routine
50. Learn one recurring task at a time
Choose a real task you repeat—such as totaling a column, finding a matching record, or summarizing sales—and learn the Excel feature that solves it. Applying a skill to familiar data makes it easier to check the result.
51. Practice on a copy of a workbook
Before trying unfamiliar formulas, sorting, or transformations, duplicate the file or worksheet. A safe copy lets you explore without putting the original data at risk.

Check formulas, filters, PivotTable sources, and displayed number formats before sending a workbook. A polished sheet is only useful if its underlying values and calculations answer the intended question.
Which Excel skill should you learn first?
For a basic user, start with formulas and references, then practice filtering and sorting a clean table. Move to PivotTables when you need interactive grouped summaries, and to Power Query when the same import and cleanup steps recur. Microsoft organizes its Excel learning and help around formulas, data analysis, formatting, collaboration, and troubleshooting; its data-analysis guidance is useful for exploring analysis workflows.
