The most useful Microsoft 365 integrations connect a specific handoff: SharePoint and Power Automate for approvals, OneDrive and Power Automate for file routing, Planner in Teams for shared work, Outlook with To Do or Planner for email follow-up, and Teams with Adobe Acrobat for PDF review. Choose by the work your team needs to move—not by a universal productivity ranking.

Which integration fits your workflow?

Integration Best fit Where work starts Outcome Setup and licensing notes
SharePoint + Power Automate Document approvals and content workflows SharePoint page, document, list, or library Approval, notification, or file/list action Flow access depends on tenant configuration; SharePoint and Power Automate Conditional Access requirements should be consistent. See Microsoft’s SharePoint and Power Automate guidance.
OneDrive + Power Automate Repeated file organization or routing OneDrive list or library File action, such as moving a file after approval Specific entitlements depend on your Microsoft 365 environment; confirm with your administrator. See Microsoft’s workflow overview.
Planner in Teams Shared plans and assigned work Planner app or a Teams channel tab Tasks and plans in a collaboration space Microsoft says Microsoft 365 license holders are entitled to the Planner app; premium capabilities require a Planner premium license. See Planner app administration guidance.
Outlook + To Do or Planner Following up on selected messages Outlook task features or flagged emails A task to track rather than an untracked message Flagged Outlook emails appear as tasks in Planner; this does not mean every email becomes a task. See Planner in Teams and To Do integrations.
Teams + Adobe Acrobat PDF review and collaboration Teams, with related PDF experiences in SharePoint and OneDrive Collaborative PDF work Microsoft documents the integration, but the cited page does not establish current pricing or a specific subscription requirement. See Microsoft 365 and Adobe integrations.

These are workflow options, not a measured ranking: the cited documentation describes capabilities, not comparative time savings. SharePoint and OneDrive sit within Microsoft’s file and sharing layer; Microsoft describes Microsoft 365 groups as connecting apps including SharePoint, Planner, and Teams in its collaboration integration overview.

1. Route SharePoint documents for approval

Use SharePoint with Power Automate when a document or page needs a defined review path, or when a list or library change should trigger a follow-up action. Microsoft’s documentation covers approval flows for SharePoint pages and documents, routing finished documents to teams, and operations on files and lists.

Start from a SharePoint template or build a flow from scratch. Microsoft says users can start from more than 100 SharePoint templates; that is a product capability count, not evidence of a particular productivity gain. The service is described by Microsoft as “deeply integrated with SharePoint.” Read the workflow setup and capability details before selecting a pattern.

Keep access controls aligned

Microsoft warns that Conditional Access requirements for SharePoint and Power Automate need to be consistent for users to view or run flows from SharePoint lists and libraries. If a flow is unavailable to some users, ask an administrator to review the relevant policies as well as the flow’s access and permissions.

2. Automate OneDrive file handling

For recurring file handoffs, Power Automate can work with a OneDrive list or library. One documented pattern is moving a file after it has been approved. This suits teams that repeatedly route or organize files and want the next action to follow a trigger rather than rely on someone remembering each step.

3. Bring shared plans into Teams with Planner

The Planner app in Teams brings together Microsoft To Do, Microsoft Planner, and Project for the web task experiences. Open it as a Teams app for a broader task view or add it as a channel tab when a team needs a plan alongside its channel conversations. Users can create personal or shared plans, and the app can show tasks assigned from Teams meeting notes, Loop, Planner, and premium plans.

Microsoft also says flagged Outlook emails appear as tasks in the Planner app. The exact view depends on the product and tenant configuration, and Planner functionality on Teams mobile is limited. Microsoft’s Planner administration page describes app availability and licensing: Microsoft 365 license holders are entitled to the Planner app, while premium capabilities require a Planner premium license. This does not establish the entitlement for every feature under every Microsoft 365 plan, so verify the specific capability with your administrator.

4. Turn selected Outlook messages into follow-up tasks

Use Outlook with To Do or Planner when an email represents work that should be tracked beyond the inbox. Microsoft documents To Do integrations with Outlook Tasks and Power Automate, and flagged Outlook messages can appear as tasks in Planner. Flagging is a way to mark chosen messages for follow-up; it is not an automatic conversion of every incoming email.

Choose the task destination your team actually reviews. To Do is suitable for personal follow-up, while Planner can place tracked work into a shared plan. Check Microsoft’s current To Do integration documentation and the Planner in Teams documentation for the supported connections in your environment.

5. Collaborate on PDFs with Teams and Adobe Acrobat

If PDF review is already part of the work, Microsoft’s documented Adobe integration supports PDF experiences across SharePoint and OneDrive and collaboration on PDFs in Teams. It is a targeted fit for teams that need to discuss and review PDF files in their existing collaboration space, rather than a general-purpose task or approval system.

Microsoft’s integration page establishes that these experiences exist; it does not establish current pricing, a specific subscription requirement, or the availability of every capability in every tenant. Check the current Microsoft 365 and Adobe integration details and your organization’s configuration.

Choose by the handoff you want to remove

  • For review and approval of SharePoint content, start with SharePoint and Power Automate.
  • For recurring movement or organization of OneDrive files, consider a Power Automate flow.
  • For plans and assigned team work in the collaboration space, use Planner in Teams.
  • For email that needs follow-up, flag selected messages for task tracking through Planner or use the relevant To Do integration.
  • For collaborative PDF review, use the Teams and Adobe workflow where it is available to your organization.

Microsoft 365 groups connect applications such as SharePoint, Planner, and Teams, but an integration still needs an appropriate workflow, permissions, and configuration. Start with one recurring handoff, define the desired result, and confirm licensing and administrator controls before rolling it out broadly.
