If Windows Backup or OneDrive is the only protection your files have, you have a copy that follows your files’ current state. That is useful for getting at your files from other devices and for setting up a new PC. It is not an independent backup. A complete Windows plan uses separate tools for separate jobs: cloud availability, a versioned copy of personal files, and system recovery media.

Why cloud sync is not a backup

OneDrive sync propagates additions, changes, and deletions between a synced folder on your PC and OneDrive online, as Microsoft’s sync documentation describes. Delete a file on your PC and it is removed from the cloud copy as well. Windows Backup works the same way for the folders it covers, because it syncs those folders to OneDrive.

A sync service therefore keeps a mirror of the current state. A backup needs to keep history: a copy of a file as it was yesterday, last week, or before a ransomware infection. Sync cannot provide that on its own, which is the hole this plan needs to close.

What each Windows tool actually covers

These tools overlap in name but not in job. The table below compares what each one covers, where its copy lives, how it treats changes and deletions, and what conditions apply.

Windows Backup is not a full disk image. Microsoft’s description covers restoring selected folders, settings, and some app and Wi-Fi information. It does not promise that every installed program, driver, or configuration returns exactly as it was. Plan on reinstalling some applications after a restore.

What happens when things go wrong

What happens if my hard drive fails?

Files inside the folders that Windows Backup syncs remain on OneDrive, so you can get them back by signing in to OneDrive from another device. Anything outside those folders is not covered by that path. If you have File History set up with a separate external drive or network location, that copy is on a different device and survives the failure of your PC’s internal drive.

Windows itself comes back through Recovery Drive, but that drive does not restore personal files. Your documents come from OneDrive or File History. The two layers together are what let you rebuild a replacement PC.

Will a Windows recovery drive save my files?

No. A Recovery Drive is system media for the operating system. It does not contain personal files, so it cannot restore a deleted document or a damaged photo. Keep a personal-file copy in File History or another backup tool alongside it.

What if I accidentally delete a file or folder?

Because deletion syncs to OneDrive, the deletion reaches the cloud copy quickly. Your options depend on what you have set up. If you have a Microsoft 365 subscription and the deletion falls within the 30-day window in the table, Restore your OneDrive can undo it. Without that subscription, the cloud route is unavailable. With File History, you can restore a previous version, provided the backup ran before the deletion.

What about ransomware or malware that changes files?

Sync carries encrypted or damaged versions to the cloud just as it carries good changes, so sync does not protect you from this case by itself. Microsoft’s ransomware guidance describes a detection workflow. It identifies suspect files, asks you to clean the device, and guides you through restoring OneDrive. That page says a non-subscriber receives the first notification and recovery free in that scenario. Do not assume the same terms apply to other Microsoft 365 recovery features.

A File History drive that stays connected to the infected PC can be altered too. A personal-file copy is most useful when it is an older version you can reach after the infection is removed.

What if I lose access to my Microsoft account?

Windows Backup and OneDrive depend on that account. If you cannot sign in, your cloud copy becomes unavailable to you at the moment you need it. This is one more reason the plan should include a copy on a device you control.

Building a three-layer plan

Treat this as an editorial synthesis of the roles Microsoft documents for each tool, not as a single official prescription. Set up the layers in this order.

  1. Cloud availability. Open Settings > Accounts > Windows backup, sign in with a personal Microsoft account, and choose which of the Desktop, Documents, Pictures, Videos, and Music folders to sync. Check your OneDrive storage. A free account includes 5 GB, so large Pictures or Videos folders may need more space before you rely on them.
  2. A versioned personal-file copy. Connect a dedicated external USB drive, open Control Panel > System and Security > File History, select the drive, and turn File History on. Keep the drive dedicated to this purpose so the backup does not compete with other files for space.
  3. System recovery media. Search the Start menu for Create a recovery drive, insert an empty USB drive, and follow the prompts. Read the warning first, because the process erases the drive. Label the drive with the date it was created.

Recovery Drive: what to know before you create one

  • Recovery Drive contains Windows files, installed updates as of the creation date, and manufacturer customizations.
  • Microsoft recommends recreating the recovery media annually, because a drive created long ago reflects an older set of updates.
  • Microsoft flags a Secure Boot caveat. Recovery Drives created and used on machines with the April 9, 2024 security update and the revocation policy applied may be affected by Secure Boot changes associated with CVE-2023-24932. If that applies to your machine, consult Microsoft knowledge base article KB5025885 before relying on the drive.

If you are still on Windows 10

Microsoft states that Windows 10 support ended on October 14, 2025. After that date, free software updates from Windows Update, technical assistance, and security fixes are no longer provided. The PC still runs, but Microsoft recommends moving to Windows 11. A backup plan protects your data if something fails. It does not make an unsupported operating system safe to keep online.

Monthly checks that keep the plan working

  • Save a test file in a synced folder and confirm it appears in OneDrive on the web or on another device.
  • Open File History and confirm the last backup time is recent. If the drive has been disconnected too long, reconnect it or select Run now.
  • Restore one older file from File History to confirm that previous versions are actually there.
  • Check that OneDrive storage has room for new files and that the Microsoft account you use is still accessible.
  • Recreate the Recovery Drive once a year, and confirm your PC runs a supported version of Windows.
