Keep a compact, searchable series bible and treat it as the current reference for what your story has established. Record the details most likely to contradict a later book—character histories and relationships, chronology, world rules, and unresolved plot promises—then update those records as you draft and check them after substantial revisions. The goal is not to freeze characters or document every imagined detail; it is to preserve the story’s established facts while making change deliberate.
What a series bible is—and what it is not
A series bible is a working reference for continuity across books. It can tell you when an event happened, what a character knows, how a place works, or which unresolved promise still needs a payoff. When a new scene conflicts with an earlier one, the reference helps you determine whether the conflict is a deliberate change or an accidental inconsistency.
It is not an encyclopedia of every detail you have ever imagined. Notes that are unlikely to affect a later scene can stay out of the main reference. A useful bible is selective enough to maintain and organized enough that you can find an answer quickly while drafting.

Continuity also does not mean keeping characters unchanged. A character can revise a belief, repair a relationship, acquire a scar, or make a decision that alters the course of the story. The continuity question is whether the change follows from the character’s history and the events on the page, and whether the manuscript establishes it clearly.

Choose what to record first
Prioritize facts that a future chapter could contradict, that readers may rely on, or that affect the logic of later scenes. Start with the information below; expand only when the story needs more.
Recurring characters
- Identifiers: Full name, aliases, title, pronouns if relevant to the text, and distinguishing details needed to identify the character.
- Recognizable physical facts: Record details that recur or matter to a scene, such as an injury, a changed appearance, or a feature another character notices. There is no need to inventory every detail of every character.
- Relationships: Note who is related, allied, estranged, romantically involved, or in conflict, and when a relationship changes.
- History and current status: Include past events that affect present choices, as well as whether a character is alive, missing, imprisoned, traveling, or otherwise unavailable at a given point.
- Knowledge: Track important discoveries and who knows them. This can prevent a character from acting on information they have not received.
- Arc: Note a character’s relevant starting position, pressures, decisions, and changes. Treat this as a guide to the arc, not a command that the character must reach a predetermined outcome.
Timeline, setting, and world rules
Record event dates or relative sequence when timing affects age, travel, cause and effect, or whether two scenes can occur in parallel. Keep locations and naming conventions consistent. For speculative settings, note the rules that constrain what characters can do and what consequences follow. If a rule changes, record when the change takes effect and whether the story explains it.
Plot threads and promises
Track questions the story has deliberately left open, clues readers may expect to matter, and commitments that need a later payoff. Include enough context to recognize the setup and the intended follow-up, but distinguish a genuine promise from an idea you may still discard. A list of unresolved threads is more useful when it says where each thread began and what would count as resolving it.

One of the easiest ways to create confusion is to let an idea for a future book look like an established fact. Label the status of each entry so that a draft note cannot silently become canon.
- Established: Confirmed in a published book or a manuscript you have locked for continuity purposes.
- Planned: Intended for a future installment but not yet established on the page. Plans can change.
- Open: Undecided, including questions you are deliberately keeping open while drafting.
For established facts, note where they appear: book, chapter, and, if useful, scene. Add the date or version of the note when revisions are ongoing. For a planned event, record its status and the book or outline it currently belongs to. If a plan becomes canon, change the label only when the manuscript actually establishes it.

This is a practical editorial system, not a universal standard. Its value is traceability: you can see whether a detail came from a published scene, a current draft, or a tentative outline, and avoid treating all three as equally fixed.
Build a format you will actually maintain
The best format is the one that makes the reference fast to search and easy to update. A single document, a spreadsheet, or a writing-project research folder can all work. You do not need a dedicated application to begin.

| Format | Useful when | Watch for |
|---|---|---|
| Searchable document | You want flexible prose notes, character histories, world rules, and context-rich explanations in one place. | Long pages can become hard to scan unless headings, a table of contents, and consistent entry labels are used. |
| Spreadsheet | You need to sort or filter structured information such as dates, locations, appearances, status, or unresolved threads. | Long explanations and relationships between entries can be awkward if every fact is forced into a cell. |
| Writing-project research folder | You want reference material kept alongside manuscript files. The Scrivener 3 User Manual describes a research folder for reference materials, as well as index cards for ideas, character names, and scene ideas. | A particular application is optional; confirm that your chosen setup supports the search, access, and backup habits you need. |
| Index cards | You prefer a tactile way to arrange scene ideas or see a sequence at a glance. They can supplement a digital reference. | Cards alone may be inconvenient for searching, sharing, or preserving a detailed record of revisions. |
The table describes practical trade-offs, not a head-to-head product evaluation. When choosing, consider how quickly you can search, how easily you can update an entry, how you handle dates and simultaneous events, whether you can link related characters and scenes, offline access, and version history or sharing if collaborators are involved. Keep the format simple enough that maintaining it does not become a second writing project.
Set up a compact reference
Start with a small number of sections and add detail when a drafting problem gives you a reason to. A workable starting structure is:
- Series overview: One short description of the premise, scope, and conventions that affect multiple books.
- Characters: A separate entry for each recurring character, including current status and important relationships.
- Timeline: Major events in chronological order, with book or scene references.
- World and locations: Rules, place names, and other setting facts that constrain events.
- Threads and payoffs: Open questions, setups, planned developments, and their current status.
Use the same fields for similar entries. For example, a character record might include name, identifiers, established history, relationships, current status, knowledge, arc notes, and the source location for each consequential fact. A timeline entry might include event, date or relative order, participants, location, consequences, and source scene. These fields are a practical starting point rather than a mandatory form.

Keep explanatory context with a note when the fact could be misunderstood. “Has the key” may be too vague if a later scene depends on who gave it to the character or whether it was returned. A short note on the transfer and the scene where it occurs is more useful than a bare label.
Maintain the bible while drafting
Update the reference when the manuscript establishes a consequential fact or changes an existing one. Waiting until the book is finished makes it easier to forget a new detail or leave related entries out of sync. The reference should follow the current manuscript, not an earlier version of it.
- Notice the continuity event. When a scene introduces a fact that could matter later—an injury, a new relationship, a discovery, a rule, a journey, or a promise—mark it for the bible.
- Record it in the relevant section. Update the character, timeline, setting, or plot-thread entry. Include where the fact appears and whether it is established, planned, or open.
- Check connected entries. If a character learns a secret, update the knowledge record; if an event changes someone’s status, check the timeline and relationship notes as well.
- Resolve changes together. When a revision changes canon, update the entries that depend on it and revisit future plot notes that assumed the old version.
For example, if a late revision moves a character’s arrival to a different day, the change may affect not only the timeline but also who was present at a meeting, what another character could have learned, and whether a planned encounter still makes sense. Treat the revision as a small dependency check rather than changing just one date and moving on.
Run a continuity pass after substantial edits
Structural changes can alter facts far from the revised scene. After moving, cutting, or rewriting scenes—or after changing a major plot decision—compare the manuscript with the bible. Work through related categories rather than trying to remember every possible conflict at once.
- Names and identifiers: Are names, titles, aliases, and recurring identifying details consistent?
- Ages and dates: Do ages, elapsed time, seasons, and event order still agree after revisions?
- Knowledge: Does each character know only what they have learned by that point? Are secrets revealed in the intended order?
- Relationships and status: Do current interactions reflect the relationship as it stands in that scene? Is a character’s location, availability, or status compatible with the plot?
- Travel and sequence: Can characters plausibly reach the next location in the time allowed? Do parallel scenes fit together chronologically?
- World rules: Do actions and outcomes follow the constraints the story has established?
- Objects and places: Is an important item where the story left it? Has a location changed in a way later scenes acknowledge?
- Setups and payoffs: Are open threads still tracked after edits? Does a scene that once planted a clue still exist, and does a promised follow-up still address it?
For every mismatch, make a decision: it is either a deliberate change to canon or a draft error. If the change is intentional, ensure the manuscript makes it legible to the reader and update the relevant reference entries. If it is accidental, correct the current draft and check any scenes that depend on the mistake.

Track character development without freezing it
Record stable facts separately from evolving traits. A character’s birthplace may be stable; their trust in a sibling may change. For an evolving trait, capture the starting point and the consequential turns that move it, rather than writing a fixed description such as “always distrustful.” This keeps the history visible without treating a character’s early behavior as permanent.
When a character acts differently from earlier in the series, ask what has changed in the intervening story. The answer might be a new experience, a changed relationship, a deliberate choice, or a pressure that reveals a different side of the character. If the change is meant to surprise, readers still need enough context to understand it in retrospect. The series bible can help you find that context; it should not force a character to repeat old behavior simply for consistency.
Screen Australia’s drama-development material offers an adjacent-medium perspective on series and character development. The underlying continuity principle is useful across formats, but television or film guidance should not be treated as a novel-specific rule.

A bible can become a source of confusion if it contains stale notes or contradictory versions. Use a few light maintenance habits to preserve its usefulness:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Keep provenance: Cite the book and scene for consequential established facts, so you can check the page when a note is unclear.
- Mark uncertainty visibly: Label plans and open questions instead of burying uncertainty in prose.
- Retire obsolete plans: When an outline changes, revise or remove the old plan so it cannot be mistaken for current intent.
- Use version history or backups: If your tool supports it, preserve earlier versions before a large rewrite. With collaborators, agree on where the current reference lives and who updates it.
- Keep the main reference lean: Move speculative or low-value material elsewhere if it makes answers harder to find.
For collaborative projects, clarify which manuscript version counts as locked and how proposed canon changes are approved. Without that agreement, two people can update the reference against different drafts and both believe they are working from the current story.

Common continuity problems and how to correct them
A detail is in the bible but not in the manuscript
A note alone does not establish a story fact for readers. If a detail matters to the plot or to a character’s behavior, make sure the manuscript communicates it in the relevant scene. Otherwise, treat it as a plan or a private drafting note rather than expecting readers to know it.
The reference and draft disagree
Check the cited scene and the manuscript version. If the scene changed, decide whether the new version intentionally changes canon. Then update the reference and any dependent entries; do not assume the older note is automatically right.
A continuity check feels overwhelming
Narrow the pass to the edits most likely to have consequences. After changing a date, check chronology and dependent events; after changing a character’s knowledge, check later reactions and reveals. A focused pass is easier to complete than rereading every note without a question in mind.
The bible keeps growing
Ask whether a note helps you make a decision, avoid a contradiction, or preserve a planned payoff. If not, it probably belongs in an idea file rather than the active continuity reference. The bible should answer drafting questions, not collect every possible detail.
A practical starting routine
- Create the five sections—overview, characters, timeline, world and locations, and threads—and use a searchable document or spreadsheet you can access while drafting.
- Enter only facts already established in the current manuscript or published books. Add a source location for consequential details.
- Label future intentions as planned and unresolved decisions as open.
- As you draft, record new continuity facts and revise connected entries when a change affects them.
- After structural edits, run a targeted pass through names, chronology, knowledge, relationships, status, rules, object and location state, and open threads.
- Resolve each mismatch as an intentional canon change or a correction, then make the manuscript and reference agree.
This routine keeps the reference practical: it stores the facts the next book needs, distinguishes what is true from what is merely intended, and makes revisions easier to trace.
