An applicant tracking system (ATS) can store your resume, extract details into application fields, and help recruiters search candidate records. But that does not mean every ATS automatically rejects resumes before a person sees them. A more practical risk is that the system may misread or fail to transfer information—so make your engineering resume easy to parse, relevant to the role, and easy to check before you submit.

What an ATS does—and what it does not prove

Recruiters commonly use ATS software to manage applications and candidate information. Workday describes resume parsing as a way to populate prospect or application fields, while its ATS overview covers structured candidate profiles and recruiter searches. Roche says recruiters or managers may search parsed data and review applicants along with their attached CVs.

Those workflows do not establish that an ATS universally hides or automatically rejects an application before a human review. The system and employer’s process vary. Focus first on avoidable parsing errors and clear, relevant evidence of your engineering experience.

How to improve your engineering resume in 20 minutes

This is a practical editing sequence, not a tested method or a promise that an employer will review your application.

Minutes 0–5: remove common parsing hazards

  • Use a simple, single-column reading order.
  • Keep your name and contact details in the document body, not a header, footer, or text box.
  • Remove photos, logos, graphics, tables, text boxes, and decorative elements if they carry essential information.
  • Use familiar section headings such as “Experience,” “Education,” and “Skills.”

Greenhouse documents parsing problems associated with graphics, photos, word art, image uploads, tables, headers and footers, contact information placed in those areas, columns, and unclear sections. Workday recommends avoiding images or image-based styles. A clean layout reduces these known risks, though it cannot guarantee how a particular system will interpret a file. Workday’s ATS overview and its resume-parsing guidance explain the workflow and formatting caveats; Greenhouse lists causes of unsuccessful parsing.

Minutes 5–12: tailor the engineering content truthfully

Compare the posting’s requirements and duties with skills and experience you actually have. Use accurate, familiar names for relevant programming languages, frameworks, platforms, tools, and methods. Include terminology from the posting only when it honestly describes your work.

Roche notes that recruiters may search for skills and qualifications, and recommends using relevant keywords in context so people can understand how you used them. For example, name a technology alongside the project or responsibility where you applied it, rather than listing terms without evidence. Keyword stuffing and unsupported claims are not a reliable shortcut.

Minutes 12–17: make your evidence easy to scan

Put the most relevant experience and accomplishments in clearly labeled sections. Use concise bullets describing what you did and the outcome. Include specific results only when they are real and you can explain them; do not invent metrics to make a bullet sound stronger.

Clear, contextualized experience helps a recruiter assess your fit. The available guidance does not prescribe a particular bullet formula or promise that one will improve a ranking.

Minutes 17–20: inspect the application fields

  1. Follow the job posting’s instructions for file type and submission.
  2. Upload the resume through the employer’s application portal.
  3. If the portal fills fields from your resume, check the populated name, contact details, employment history, education, and skills.
  4. Correct missing or inaccurate entries before submitting. If parsing fails, enter the requested details manually where the portal allows it.

Roche advises applicants to review information populated in application fields. Greenhouse says that when a resume fails to parse, candidate details need to be entered manually. Roche’s candidate FAQ and Greenhouse’s support guidance describe these checks.

Choose a file format based on the employer’s portal

There is no established file-extension winner for every ATS. Roche’s FAQ recommends DOCX for parsing accuracy while noting that PDF preserves layout. Greenhouse identifies DOCX and PDF as document examples and distinguishes those from resumes uploaded as images. Follow the employer’s specific instructions and, when the portal fills fields from your file, verify the result. Regardless of extension, a scanned or image-based resume may be harder to parse than a text document.

Greenhouse Support states that its system cannot parse resumes larger than 2.5 MB. That is a Greenhouse-specific limit, not a universal ATS threshold. If your resume contains large images, remove visual assets that do not help communicate your qualifications and check the application portal’s own file-size limit.

Why a resume may not get responses

A missing reply does not tell you, by itself, whether the resume failed to parse, whether the recruiter reviewed it, or whether another part of the hiring process determined the outcome. Parsing can vary with format and word order, and incomplete transfer is possible. Keep the document readable, make the most relevant qualifications easy to find, and inspect the application fields—but do not treat an ATS-friendly layout as a guarantee of recruiter attention.
