If you’re busy sewing but your income still feels low, start by checking what each job earns after materials, all work time and business overhead—not by assuming you simply need more customers. A full schedule can still produce little profit when quotes omit fittings, messages, sourcing, finishing or rework. The right fix depends on your own records and local market; the figures below help you find the pressure point.
First, find out what each job really earns
Review several recently completed orders. For each one, compare the amount collected with its direct costs and the time it actually took. Include work that happens away from the sewing machine: measuring, preparation, sourcing materials, client messages, fittings, finishing, administration and any rework.
- Money received: Record the amount actually paid, not just the original quote.
- Direct costs: Include fabric, notions, thread, linings, consumables and other materials used for the order.
- Total labour time: Add every job-related hour, including appointments and communication.
- Share of overhead: Account for recurring business expenses such as workspace, tools, insurance, phone, internet and marketing.
- What remains: Check whether the job contributes to your pay, overhead and planned profit after those costs.
There is no single required way to allocate shared expenses across orders. Choose a reasonable method, use it consistently, and make sure that your quotes collectively recover the costs of running the business. New Zealand’s Business.govt.nz pricing guidance recommends checking that prices are profitable or at least break even, while Queensland’s government guidance identifies costs, including labour and overhead, as part of pricing work. Set a sustainable price before comparing with competitors
A cost-based calculation gives you a price floor: the amount a job needs to bring in to pay for materials, labour and its share of overhead, while supporting your intended profit. An hourly approach can help, too, if the rate reflects business costs and the hours you can realistically sell. Not every hour in a week is billable; time spent on administration, marketing and other business tasks still has to be funded by paid work.

Include applicable taxes in your pricing calculations, and account for leave when estimating how many working hours are available to earn income. The Australian Government’s business guidance discusses cost-plus and hourly approaches, among other pricing strategies. The details of tax obligations and appropriate terms depend on where you operate, so use the rules that apply in your jurisdiction. business.gov.au: Choose a pricing strategy.
Once you have a sustainable floor, use local market information to check whether your offer fits what customers will pay. Compare genuinely similar services, taking account of complexity, turnaround, quality, fitting requirements, customer service and specialization. Competitor prices offer context, not a price list to copy: as business.gov.au puts it, “Use your competitor’s prices as a guide, but don’t copy them exactly.” Customers may value a better fit, careful finishing, speed or expertise enough to choose a different price point.

If the local going rate appears lower than what you need to cover costs, matching it blindly will not make an unprofitable job sustainable. Consider adjusting the scope, choosing a different mix of services, or seeking customers who value the work you do. Make the scope and payment terms clear before work starts
Unclear expectations can turn a quoted job into extra unpaid work. Before accepting an order, write down what garment or alteration is included, the agreed price, timing, fitting expectations and payment schedule. If a customer requests work outside that scope, explain the cost and timing before proceeding.

Keep a record of the agreed details, time spent and payments received. A simple sewing order book or consistent digital record can help you capture those details and improve future quotes. Dressmaking Academy recommends signed order forms and payment logs as business practices; these are its recommendations, not universal legal requirements. It also recommends taking deposits. Whether a deposit is required, how large it should be, and whether it can be described as non-refundable depend on local law and the terms you agree with the customer. Adjust the work mix if the numbers do not add up
When a properly calculated price does not fit customer expectations, inspect the service as well as the quote. Your records can show whether the problem is unusually long fittings, small orders with substantial setup, frequent changes, high material costs or a mismatch between your offer and local demand.

- Check demand and customer priorities: Use conversations and local market research to learn which qualities matter—such as fit, speed, craftsmanship or convenience—rather than relying on assumptions about what clients will pay.
- Recheck costs and capacity: Update material and overhead estimates, and base your labour rate on realistic paid hours rather than every hour on the calendar.
These changes are not guaranteed to raise income; they are ways to respond to what your own job records and market information show. Australian and Queensland government guidance recommends reviewing prices when costs or market conditions change. - Track several completed jobs. Record payments, materials, total labour time, fittings, communication and rework.
- Account for recurring business costs. Allocate a reasonable share of overhead to paid work using a consistent method.
- Set a sustainable price floor. Calculate what the service must earn to cover its costs and support your pay and profit target.
- Check market fit. Compare similar local services and ask what customers value; do not treat competitors’ prices as a substitute for your own cost calculation.
- Clarify future orders. Put the scope, timing, fitting expectations and payment schedule in writing before work begins.
- Review again. Revisit the calculation when costs or conditions change and on a regular schedule.
