In Serguey Shinder’s account, sending head-office laptops to depots left shared shift terminals running on the fleet’s oldest machines. He says depot devices generated three times as many hardware tickets per device as office machines. His company changed its refresh order to prioritize measured use and the consequences of failure; he reports that depot tickets per device then fell by about half in the first year. Those are figures from one company’s account, not independently verified results or a universal refresh formula.
How the laptop hand-me-down cycle worked
Shinder’s October 1, 2026, DEV Community post describes a familiar cascade: the company bought around 300 new machines each year, sent them to head office, moved the replaced office laptops to depots, and eventually scrapped the depot machines. The result, as he tells it, was that the work sites with the oldest laptops were also relying on them for demanding shared use.
He describes depot terminals shared across three shifts, left on, and positioned near a roller door. According to his account, a failure could disrupt trailer planning. These details help explain why a laptop’s assigned role matters as much as its age: a shared terminal used through multiple shifts may face a different workload and downtime consequence than a single-user office laptop.

Why allocation by workload can make more sense
A device’s place in a refresh queue should reflect what it does and what happens if it stops working—not just whether another employee has finished with it. A practical allocation review can consider:

- Use: How many hours is the device active, and is it shared across shifts or assigned to one person?
- Operational impact: Which tasks stop during an outage, and are workarounds available?
- Condition: Does the device remain reliable and suitable for its role, regardless of its age?
- Security and support: Can it still receive required updates, and can its data be handled safely if it is reassigned?
This framework does not establish that every depot needs newer laptops than every office. It helps an organization compare actual duties and risks instead of treating a hand-me-down as automatically fit for purpose.
What changed in Shinder’s company
Shinder says his company began refreshing shared depot terminals at four years and single-user office laptops at five years, prioritizing measured hours of use and the effect of a failure. Those intervals describe the policy in his account; they are not a general standard. The post says the cascade ended and reports that depot hardware tickets per device fell by about half in the first year, while the number of laptops purchased “has hardly changed.”

The post does not publish the ticket data, fleet sizes, measurement definitions, or a controlled comparison. The reported three-to-one difference in depot versus office tickets and the subsequent decline should therefore be read as the author’s account, not proof that the same intervals will produce the same outcome elsewhere. It also does not establish that the policy reduced total cost, improved safety, or caused the ticket change.
How to decide whether an old office laptop is right for a depot
- Describe the work. Record whether the device is single-user or shared, the shifts it covers, its active hours, and the applications it must run.
- Map the cost of interruption. Identify the tasks delayed by a failure, the people affected, and any tested backup or workaround.
- Check the individual device. Assess its condition, performance, support and update status, and whether it is still suitable for the work. Age alone does not answer those questions.
- Assign by role, then review. Put the most reliable suitable devices where the workload or failure consequences justify them. Track downtime and hardware tickets per device over time so the policy can be adjusted using local results.
- Clear data before reassignment. Treat suitability and data handling as separate checks; a laptop that works well is not ready for reuse until its stored information has been addressed.
Secure reuse is a separate requirement
NIST’s Guidelines for Media Sanitization, SP 800-88 Rev. 2, describes sanitization as making access to target data infeasible for a given level of effort. The guidance emphasizes an organizational sanitization program suited to the information and whether media will be reused or disposed of. See NIST SP 800-88 Rev. 2.

The FTC’s business guidance also recommends considering whether laptop users need to store sensitive information locally. It suggests that an organization could allow users to access sensitive information without storing it on laptops. That is a general data-protection option, not a description of the depot system in Shinder’s post. Read the FTC’s business guide to protecting personal information.
