Use the MX values issued for your domain by the email provider you chose, then verify the full route—not just whether an MX record exists. Check the authoritative DNS zone, each MX target and priority, target resolution and proxy mode, TTL, SPF, and DKIM/DMARC. If a forwarding service or gateway receives mail first, confirm that this is intentional before changing records.

1. Find the authoritative DNS zone and the provider’s current values

Make DNS changes wherever your domain’s authoritative nameservers point, which may differ from the company that registered the domain. Then get the record values from the email provider’s current setup page for your domain. Microsoft directs administrators to retrieve proposed values in the Microsoft 365 admin center; Cloudflare likewise advises using the email provider’s documentation for the correct MX records. Microsoft’s DNS setup instructions and Cloudflare’s email record guidance are starting points.

Do not copy a hostname from a different domain or rely on an old screenshot. Providers can issue domain-specific targets, and their required values can change.

2. Check where each MX record sends mail

An MX record directs other mail servers to a destination for inbound mail. List every MX record currently published for the domain and compare its target with the route you intend: a mailbox provider, forwarding service, archive, or inbound gateway. The service named by the MX records accepts mail first, so an extra record may be deliberate rather than obsolete.

Understand priority before removing an entry

MX priority determines preference when multiple destinations exist: the lower number has higher priority. Microsoft advises removing obsolete MX entries or assigning them a lower preference than the Microsoft 365 entry. But if a gateway or archive is designed to receive mail before the mailbox provider, removing it can break the intended route. Confirm the design with the service administrator before editing.

Treat examples as examples, not universal settings

Provider records vary. Microsoft’s overview illustrates a Microsoft 365 MX target of contoso-com.mail.protection.outlook.com with priority 0 and a one-hour TTL; Cloudflare’s examples include Google Workspace’s ASPMX.L.GOOGLE.COM at priority 1, a Microsoft 365 domain-specific target at 0, and iCloud Mail targets at 10. These are examples from the providers’ documentation, not values to copy for another account. Use the exact records shown for your domain.

3. Verify target resolution and DNS proxy mode

Confirm that every MX target is spelled correctly and resolves as expected. A record can be present in the zone yet point to the wrong or unreachable hostname.

If your DNS is managed through Cloudflare, MX records must be DNS-only, and their target hostnames must also be DNS-only. Cloudflare’s proxy does not handle SMTP mail traffic. Keep proxy settings for websites separate from the hostnames used to route mail. See Cloudflare’s instructions for email records.

4. Check TTL and account for cached DNS

Use the TTL specified by your email provider and allow for DNS caching when checking whether a recent edit has taken effect. A change may not be visible everywhere immediately, even when the authoritative zone is correct.

Microsoft says Exchange Online supports MX TTL values below six hours, or 21,600 seconds. This is a Microsoft-specific requirement, not a universal rule. Microsoft’s manual setup examples commonly show 3,600 seconds (one hour). Follow the selected provider’s instructions rather than applying these figures to another service. 5. Keep one SPF record with every legitimate sender

SPF is a DNS TXT record that identifies which services are authorized to send mail for your domain. List all services that send as the domain, including an old provider that still sends during a migration. Microsoft states, “You can only have one SPF record per domain.” Publishing separate SPF records can invalidate the policy and cause mail-flow problems.

When adding a service, update the existing SPF policy to include its authorization; do not create a second SPF record or remove an authorization that is still needed. Microsoft’s example for Microsoft 365 is v=spf1 include:spf.protection.outlook.com -all, but it is not a universal policy. Use your providers’ current SPF instructions and account for all senders. 6. Review DKIM, DMARC, and forwarding together

These mechanisms address different parts of email authentication:

  • SPF identifies authorized sending services.
  • DKIM lets a domain sign outgoing messages so receiving systems can check the signature.
  • DMARC tells receiving systems how to handle messages that fail SPF or DKIM checks and can provide reports.

Microsoft recommends using SPF, DKIM, and DMARC together. In its domain-connection setup flow, Microsoft labels the DKIM CNAME records optional while describing DKIM as additional protection. Cloudflare notes that without a DMARC record, receiving systems do not have a domain policy for handling mail that fails SPF or DKIM. Consult the selected provider’s instructions for the records and policy appropriate to your domain: Microsoft, Cloudflare, and Cloudflare’s DMARC guidance.

Forwarding is a routing choice, not a guaranteed authentication fix. Its effect depends on the forwarding service and the message path, so changing MX or SPF alone may not resolve a delivery or authentication problem. Follow the forwarding provider’s instructions and test representative inbound and outbound messages. When available, save full message headers and delivery errors to help identify where the route or authentication check failed.

Choose the route before editing DNS

Use the intended first recipient and migration plan to decide which MX entries belong in the zone. The documentation supports several valid designs, but not a universal ranking among them.

Route design What to verify Migration consideration
Direct mailbox provider The provider’s current MX target and priority; target resolution; any required SPF, DKIM, and DMARC records. For a Microsoft 365 cutover, provision destination mailboxes before changing MX. The change routes new mail; existing messages remain with the old host unless migrated.
Forwarding service first That the forwarding service is the intended MX destination, its documented DNS requirements, and the delivery/authentication behavior for the actual message path. Test forwarding with representative messages; do not assume a generic MX or SPF edit fixes forwarding.
Gateway or archive first That the gateway or archive is intentionally first in the route and that its downstream destination and priorities match the design. Do not remove an entry merely because it is not the mailbox provider; confirm whether it is an intentional hop.

Practical pre-change checklist

  • Identify the authoritative DNS provider and edit the live zone there.
  • Retrieve current, domain-specific record values from the selected email provider.
  • Review all MX destinations and priorities against the intended route before deleting or demoting any entry.
  • Verify target hostnames resolve and, if using Cloudflare, keep both MX and target DNS-only.
  • Set TTL according to the selected provider and allow for caching after edits.
  • Maintain one SPF record containing every legitimate sender.
  • Configure DKIM and DMARC according to the provider’s instructions, and test forwarding separately.
