For recurring data cleanup and combining sources, Power Query is often a better fit than doing the same preparation by hand before each PivotTable. For relationships and reusable calculations across tables, use Excel’s Data Model with Power Pivot. For quick summaries, filtering, grouping, and drill-down, PivotTables remain a strong choice—not an obsolete one.
The practical alternative is usually a workflow: prepare data with Power Query, model it when needed, then analyze it with a PivotTable or PivotChart.
Which Excel tool fits the work?

Use Power Query when data preparation is the repetitive part
Power Query is the stronger alternative when the job begins before analysis: importing files or other sources, standardizing columns, filtering or reshaping rows, and combining recurring inputs. Instead of repeating those operations manually each time, build a query and refresh it when the source data changes. Microsoft describes Power Query as the experience for connecting to, shaping, combining, and loading data.
Power Query can load prepared results to a worksheet or to the Excel Data Model. That makes it useful alongside PivotTables: query the source, load the cleaned result, then summarize it. It is not itself a substitute for deciding which measures, relationships, or report layout the analysis needs.

When combining multiple tables
Use Power Query when recurring files or tables need consistent preparation before they can be analyzed together. If the tables represent related entities—such as transactions and customers—rather than rows that should simply be appended, consider loading them to the Data Model and defining relationships instead of forcing them into one flat range.
Use Power Pivot and the Data Model for multi-table analysis
When a report depends on relationships among tables or calculations that should be reused, the Excel Data Model with Power Pivot offers capabilities beyond a basic PivotTable source range. Power Pivot supports relationships, DAX calculations, KPIs, and hierarchies. You can build a model and use PivotTables or PivotCharts to explore and present its results.

This is complementary to Power Query, not a choice between mutually exclusive tools: Power Query prepares and loads data; Power Pivot adds modeling capabilities; PivotTables provide an interactive way to summarize and inspect it.

Keep PivotTables for fast exploration
PivotTables are still well suited to quickly summarize, aggregate, filter, group, and drill into structured data. If the source is already clean and the main question is how totals or categories change when you rearrange fields, switching tools may add complexity without solving a real problem. PivotCharts can present the same summarized analysis visually.

Prepare a reliable source
- Use a list-shaped range with labels in the first row.
- Keep data types consistent within each column.
- Avoid blank rows or columns inside the source range.
- Consider formatting the source as an Excel Table; refreshing a PivotTable based on a table can include new and updated rows.
After source data changes, refresh the PivotTable to bring the updates into the summary.
Choose a workflow for your recurring report
- Start with the source. If it arrives in a repeatable but messy form, use Power Query to connect, transform, or combine it.
- Decide whether the data needs a model. If analysis spans related tables or needs reusable calculations, load it to the Data Model and use Power Pivot features where available.
- Build the analysis view. Use a PivotTable or PivotChart for interactive summaries and drill-down, including when the source is the Data Model.
- Refresh and validate. Refresh the query and report after source updates, and check that the result reflects the intended rows, relationships, and calculations.
Check your Excel version and platform
Power Query and Power Pivot capabilities are not identical across Excel editions. Microsoft describes the full feature set for Excel on Windows with Microsoft 365 Apps for enterprise. Excel for Mac has some Power Query support and many basic analysis features, but differs from Windows; Power Pivot availability and capabilities also depend on platform and plan. Check Microsoft’s current feature and platform guidance and your installed Excel version before following Windows-specific steps.

Connect Excel to a Power BI semantic model when one is provided
If your organization publishes a Power BI semantic model and grants you access, Excel can connect to that shared model for analysis. Microsoft documents an Analyze in Excel route and supported connected-table workflows; Excel analysis can still use PivotTables. This approach depends on access, licensing, and workspace configuration, so it is not a general replacement for local PivotTable or Power Query work. The documented 500,000-row maximum applies to a live-connected summarized export route, not to Excel as a whole.
