Start by identifying which Gemini feature failed. A scheduled action in Gemini Apps, a task schedule in Gemini Spark, a Workspace Connected App, and Android screen automation use different controls, limits, and failure modes. Once you know the feature, check account eligibility and activity settings, confirm app connections, distinguish a delayed run from a failed run, and verify any result before trusting it.
The steps below cover tasks that never arrived, ran late, used stale information, could not reach Gmail or another app, tapped the wrong control, or reported success when nothing changed.
Identify the Gemini automation before troubleshooting
The word “automation” describes several products. Use the symptom and the place where you created the task to choose the correct path.

Do not apply the Spark limits to Gemini Apps scheduled actions, or the 10-action limit to Spark. They are separate systems. If you cannot tell which one you used, look for the task in the Gemini settings area where you created it, then continue with that product’s checklist.

Run a quick triage before changing anything
- Classify the failure. Decide whether the automation did not run, ran late, could not access an app, returned an incorrect or old answer, or performed the wrong action.
- Record the account and device. Note whether you are using a personal account or a work/school account, and whether the task was created on the web, in the mobile app, in Spark, or on Android.
- Check timing. A scheduled response may be prepared before its delivery time, and Spark times are approximate. A late or stale result is not necessarily a system outage.
- Check dependencies. List every app the prompt requires. A missing connection, administrator restriction, or disabled setting can prevent the whole request from completing.
- Protect consequential work. For anything that changes mail, calendar entries, files, purchases, or other records, inspect the result yourself before accepting it.
If a Gemini Apps scheduled action did not arrive
Confirm account eligibility and Keep Activity
Scheduled actions require Keep Activity to be on and an eligible Google account. Google is rolling the feature out, so an eligible personal account may not have access yet. Qualifying work or school accounts can also depend on Workspace administration. If the Scheduled actions control is missing entirely, check the account and rollout status before treating the absence as a broken schedule.
Check the action’s status and instructions
- Open Gemini settings and select Scheduled actions, or open the conversation that created the action.
- Find the action and verify that it is active rather than paused.
- Review the schedule, time zone, delivery destination, and wording. Correct any instruction that refers to the wrong date, app, or account.
- Save the change and resume the action if it was paused.
Google says an action can be turned off automatically after inactivity. A schedule that worked previously may therefore need to be resumed or recreated.
Check connected apps and the active-action limit
If the action reads Gmail, Calendar, Drive, Tasks, Keep, or another service, that service must be connected to Gemini. Reconnect it if the connection was removed, expired, or created under a different Google account. Gemini Apps currently documents up to 10 active scheduled actions. Delete or pause an unused action if you have reached that limit.

Allow for preparation and changing data
Scheduled responses are prepared ahead of their delivery time. Information that changes quickly—such as a new message, an appointment, or a market price—can therefore be out of date when the notification arrives. Check the underlying service at delivery time rather than assuming the scheduled text is a live reading.
If a Gemini Spark schedule did not run or arrived late
Verify that the schedule is in Spark
Gemini Spark schedules are not the same as scheduled actions in Gemini chat. Open the Spark schedule list and inspect the task there. Moving a task between products will not make the other product’s controls or limits apply.
Check limits and approximate timing
- Compute-based usage limit: Spark may not start a task after the account reaches its usage allowance.
- Concurrent-task limit: Spark documents a maximum of 15 tasks running at the same time. A task can wait until another finishes.
- Active-schedule limit: Spark documents up to 50 active schedules.
- Traffic: High demand can delay execution.
- Approximate schedule: The stated time is not a guarantee of second-by-second execution.
Check whether the task eventually appears in its run history before creating duplicates. If the schedule remains pending, reduce simultaneous work, pause unneeded schedules, and try a later run after the usage window resets.

When Gemini returns wrong, incomplete, or outdated information
Inspect the sources attached to the response
Google warns that Gemini can hallucinate or use outdated content, including an older email when a newer one exists. Open the sources shown with the response and compare the actual message, file, event, or page with Gemini’s claim. Treat an answer without a verifiable source as a draft, not as proof that an action occurred.

Account for scheduled-content staleness
A scheduled response can be accurate when Gemini prepares it and stale by the time you read it. For changing subjects, ask for the relevant date or time window and then verify the current value directly in the connected service.
Make the request testable
Rewrite an unreliable prompt with a named source, a date range, and an output format. For example, specify the exact Gmail label, the calendar range, or the Drive folder; ask for message dates and links; and request that missing information be called out instead of inferred. This can make an error easier to detect, but it does not guarantee a correct answer.

Check every app in a multi-app request
If one prompt needs several Connected Apps and one or more are disabled, Google says none of the requested actions may be completed. Enable every required service, then run a small single-app test before repeating the full request.
If Gemini cannot access Gmail, Calendar, Drive, or another Connected App
Personal versus work or school accounts
Work and school access can require a qualifying Workspace edition, Keep Activity, and administrator approval. Availability can also vary by location, language, and device. Ask the Workspace administrator whether Gemini and the specific app connection are allowed for your organizational unit.
Reconnect the service and enable Gmail Smart features
- In Gemini’s connected-app settings, confirm that the needed service is listed and connected.
- For Workspace connections, check whether Gmail Smart features in other Google products are enabled. Google’s connection guidance identifies this setting as a prerequisite for some integrations.
- Reload Gemini after changing the setting.
- Start a new conversation and name the service explicitly—for example, Gmail, Drive, Calendar, Tasks, or Keep.
- Confirm that Gemini is signed in to the same account that owns the data and the connection.
Check whether the requested operation is supported
A connection does not grant unlimited control. Google maintains a current list of what each Connected App cannot do. Compare your request with that list before diagnosing a supported limitation as a failure. Reading a message, finding a file, and changing a record can have different permissions even within the same service.

If a work or school account cannot open Gemini
- Update the Gemini mobile app to its latest available version.
- Sign out and back in with the intended work or school account, taking care not to switch to a personal profile.
- If the app is current and access still fails, ask the Workspace administrator to confirm that the account is permitted to use Gemini.
- Test the same account in the web experience, if your organization allows it, to determine whether the problem is account policy or device-specific.
An administrator denial and an outdated mobile app can look similar to the user; checking both avoids unnecessary changes to prompts or schedules.
If an Android screen automation tapped the wrong thing
Monitor the task while it runs
Google acknowledges that screen automation can follow instructions incorrectly, tap the wrong control, or say it finished when the intended task was not completed. Its Android guidance says, “Monitoring your tasks is the most important way to protect against risk while Gemini uses screen automation.” Keep the task visible when the outcome matters.
- Watch each major navigation step and compare the selected account, recipient, item, and amount with your intent.
- Read confirmation requests and clarifying questions carefully; they may reveal that Gemini misunderstood the target.
- Use the available controls to stop the task or take control as soon as it departs from the request.
- After Gemini reports completion, open the destination app and verify the resulting record yourself.
- If a wrong action occurred, use the app’s own undo or correction function where available, then review related records for additional changes.
Guard against prompt injection
Websites, emails, documents, and apps can contain instructions designed to redirect an agent. Those instructions may be unrelated or hostile to your request. Do not let text encountered by the automation override your stated goal. Verify the destination and final outcome yourself, especially for messages, file sharing, payments, account settings, or deletion. Google cautions that safeguards do not guarantee protection against every risk.
Calendar actions that need to be reversed
Calendar changes through Gemini require Keep Activity and a connected calendar. If Gemini creates or edits an event incorrectly, use the undo option in the confirmation notification when it is available, or edit the linked event directly in Calendar. Check the event’s date, time zone, guests, location, and recurrence; correcting only the title can leave a harmful scheduling error in place.
Prevent repeat failures
- Use one clearly named schedule for each outcome instead of overlapping prompts that can create duplicate work.
- Keep the requested source narrow: specify a label, folder, calendar, date range, or account.
- Ask for evidence such as message dates, event details, or file names in the output.
- Prefer a read-only summary before enabling a task that changes data.
- Review active schedules periodically so inactive actions do not consume limits or become confusing.
- For work accounts, document which administrator policy and connected apps the workflow depends on.
- Set a reminder to verify time-sensitive results at the moment you use them, rather than relying on advance-prepared text.
When to stop troubleshooting and escalate
Escalate to a Workspace administrator when a work or school account lacks access, an app connection is disabled by policy, or the required edition is unclear. Escalate through Google’s product support channels when an eligible, active schedule remains missing after its limits, connections, and account settings have been checked. Include the feature name, account type, device, schedule time, affected app, and exact error or incorrect result. Do not include confidential message contents unless support specifically requires them.
For a wrong or high-impact action, stop the automation first, verify the affected service manually, and preserve the confirmation or activity details. A clean record of what Gemini was asked to do, what it displayed, and what actually changed is more useful than repeatedly rerunning the same prompt.
