If a medical device is backordered or unavailable, contact the clinician responsible for your care and the organization supplying the device immediately. Give them the exact device and model, when you need it, and what treatment or daily function depends on it. Ask for a confirmed availability date and a patient-specific contingency plan. Do not replace it yourself with another model, a used device, or an online purchase.
If the delay could create an immediate safety or treatment risk, follow the device’s emergency instructions and contact your treating team or local urgent or emergency service. The FDA’s shortage list and reporting channels can help identify a broader supply problem, but they do not provide emergency care or guarantee an individual delivery.
What to do first when a device is delayed
Use this sequence for a backorder, missed shipment, allocation notice, repair delay, or statement that a product is temporarily unavailable. Keep notes of names, dates, reference numbers, and promised follow-up times so the care team and supplier are working from the same facts.

Contact the care team and supplier promptly
Call the clinician, clinic, hospital, home-care team, or other professional responsible for the device, and contact the supplier or dispensing organization. Explain the situation in one sentence: identify the device, model or product identifier if known, order or prescription date, date you need it, and the treatment or daily activity that depends on it.

Ask the supplier what is actually delayed: the complete device, a particular component, a repair, shipping, or an internal approval. Ask whether the availability estimate is confirmed or only provisional, and whether it can check another authorized distribution source. A supplier’s general website status may not reflect inventory reserved for a particular patient or region.
-
Ask the clinician to set the urgency
Tell the clinician exactly how much supply you have left, whether the current device is working, and what happens if you cannot use it. Ask when the delay becomes clinically unsafe for you. There is no universal deadline that applies to every device or patient; the responsible professional must interpret the risk in your case.
-
Request a written contingency plan
Ask whether there is a clinically suitable alternative device, a temporary care plan, a safe way to bridge the delay, or an appointment where the device can be assessed. Request specific instructions for what to do if the promised date slips again, including whom to call after hours. Do not alter settings, adapters, accessories, treatment schedules, or maintenance routines unless the qualified professional instructs you.

Confirm what is reserved and when it will arrive
Have the supplier confirm the exact model, quantity, configuration, shipping method, and expected handoff date. If the item is being sourced elsewhere, ask whether that source is authorized and whether your clinician or device professional has approved the configuration. Record the representative’s name and any reference number.
-
Keep the care team updated
Send the clinician the supplier’s latest information, especially if the estimated date changes or your remaining supply is running low. A contingency may need to change as the actual inventory picture changes.
Why a medical device may be unavailable
A “backorder” does not identify the cause or tell you how long the interruption will last. The FDA says shortages can result from “manufacturing and quality problems, geopolitical issues, natural disasters, delays, public health emergencies (PHEs), and discontinuations.” See the FDA’s Medical Device Supply Chain and Shortages page for the agency’s explanation.
Manufacturing or quality problems
A production line may be paused while a manufacturer corrects a process, investigates a defect, or addresses a quality-system issue. A delay in one component can hold up an otherwise complete device.

Transportation, geopolitical, or natural-disaster disruption
Ports, roads, factories, and raw-material suppliers can be affected by disasters or international events. A product may exist somewhere in the network but still be unavailable in your region.
Public-health emergencies and demand changes
During a public-health emergency, demand can rise abruptly while staffing, materials, or transportation remain constrained. Allocation rules may send limited inventory to particular facilities or uses.
Discontinuation or a product transition
A manufacturer may permanently discontinue a model or move customers to a new version. That does not automatically make the replacement clinically interchangeable for you; your clinician or device professional must assess any change.
How to check whether a device is in an FDA-listed shortage
The FDA maintains a public Medical Device Shortages List. The page displayed an update date of June 16, 2026 when checked, but entries and estimated durations can change. The list covers categories or product codes that FDA has determined to be in shortage; it is not a real-time inventory system for every model, supplier, or locality.

-
Identify the device category or product code
Use the model name, labeling, prescription, or supplier documentation to identify the category. If you are unsure, ask the supplier or clinician rather than guessing from a similar-looking product.
-
Read the entry and its estimate carefully
Note the product code, affected scope, and any estimated duration shown. An estimate is an agency or manufacturer assessment for the listed category, not a promise that your order will ship on that date.
-
Compare the list with your local information
Ask the supplier whether your specific model and configuration are affected and whether inventory exists at an authorized source. A category absent from the list can still be unavailable locally or at the model level.

“The FDA also recognizes that regional supply interruptions do occur, and that local shortages or interruptions in a device can result in negative impacts to health care delivery.” — U.S. Food and Drug Administration, Supply and Shortages of Medical Devices: Frequently Asked Questions

The FDA’s frequently asked questions explain this limitation. Therefore, not seeing your device on the list is not proof that your model is available where you live.
Can you use a different device while yours is delayed?
Only after the treating clinician or a qualified device professional determines that the alternative is suitable for your particular patient, intended use, and setup. A different brand or model can have different interfaces, settings, consumables, software, alarm behavior, power requirements, or maintenance procedures. Even a product advertised as “compatible” may not be appropriate for your prescription or equipment.
Questions for the clinician or device professional
- Is the proposed device suitable for the medical purpose and my current treatment plan?
- Will it work with my accessories, supplies, power source, software, or other equipment?
- Does it require a new prescription, fitting, calibration, programming, or training?
- What temporary plan applies if the substitute is also delayed?
- Who provides setup, troubleshooting, maintenance, and after-hours support?
Do not independently switch devices, borrow a used device, modify an adapter, or buy from an unverified online seller. The FDA supply pages describe monitoring and reporting; they do not approve a substitute for an unspecified patient or device.
How to report a broader supply problem
The FDA invites affected patients, providers, facilities, and other stakeholders to report medical-device supply issues. You can email deviceshortages@fda.hhs.gov or use the instructions on Notify the FDA About a Medical Device Supply Issue.

- Manufacturer, device name, model, catalog number, or product code, if available

- The effect on treatment, patient care, or essential daily function

Section 506J of the Federal Food, Drug, and Cosmetic Act concerns manufacturer notifications for certain listed devices. During or in advance of a public-health emergency, manufacturers may be required to notify FDA about a manufacturing interruption or permanent discontinuance likely to cause a meaningful domestic supply disruption. FDA also encourages voluntary notifications at other times. Details are available on Notify the FDA About an Interruption or Permanent Discontinuance in Device Manufacturing (506J Notification).

This framework helps FDA assess national supply conditions and potential disruption. It is not an individual access remedy, a reservation system, a delivery deadline, or a guarantee that a patient will receive a particular model.
When a delay may be an immediate safety problem
Contact the treating team or local urgent or emergency service without waiting for an FDA response if the device is essential to immediate safety or treatment, the device has failed, you are about to run out of a required supply, or your clinician has told you not to continue without it. Follow any emergency instructions supplied with the device and state clearly what device is involved, what has changed, and what instructions you have already received.
The sources do not define one universal urgency threshold or emergency protocol. Your care team must decide whether you need an urgent visit, replacement equipment, supervised use of another device, or another intervention.
Prepare a concise call or message
Use a factual script so the supplier and clinician can act quickly:
“I am waiting for [device and model]. It was ordered on [date], and I need it by [date]. I have [amount of working supply or current status]. It supports [treatment or daily function]. Please confirm what is delayed, the most reliable availability date, whether an authorized source has inventory, and what my clinician-approved plan is if it is not available.”
Ask the office to document the plan in your record and ask the supplier to send confirmation through its normal secure channel. Keep copies of messages, delivery notices, and revised estimates.

- Do not assume a device is safe because it has the same general purpose or looks similar.
- Do not change settings, prescriptions, accessories, or cleaning procedures without professional instructions.
- Do not rely on an FDA list entry—or its absence—to determine your personal delivery date.
- Do not wait for a shortage report to be answered before addressing an urgent care need.
- Do not post or email unnecessary sensitive health information when reporting a supply problem.
Key questions to resolve before the next update
Before ending a call, make sure you know who owns each next step. Confirm the exact item being sought, the date and time of the next update, the amount of supply you can safely use under your clinician’s instructions, the after-hours contact, and the trigger for escalation. If any answer is unclear, ask the clinician to restate the plan in patient-specific terms.
