Before placing irreplaceable work in a cloud app, read the agreement and every incorporated export, retention, deletion, and shutdown policy. Confirm five things: how much notice you receive, how long export remains available, what the export actually contains, what conditions restrict retrieval, and when deletion reaches live systems and backups. Run an export while your account is active, open representative files without the app, and keep an independent copy.
Why a shutdown policy deserves a place in your storage decision
A cloud app can stop operating, remove a major feature, suspend your account, or end your subscription. Those events do not automatically give you a complete, usable copy of your work. A promise to make “data available” may cover only selected records, may expire quickly, or may require payment and a written request.
Shutdown language is also different from ordinary cancellation language. A provider might promise advance notice before discontinuing a material function while reserving immediate suspension for emergencies, legal demands, security risks, non-payment, or other stated circumstances. A policy can therefore be reassuring without being a guarantee that you will have unlimited time or unrestricted access.

- Get NVMe solid state performance with up to 1050MB/s read and 1000MB/s write speeds in a portable, high-capacity drive(1) (Based on internal testing; performance may be lower depending on host device & other factors. 1MB=1,000,000 bytes.)
- Up to 3-meter drop protection and IP65 water and dust resistance mean this tough drive can take a beating(3) (Previously rated for 2-meter drop protection and IP55 rating. Now qualified for the higher, stated specs.)
- Use the handy carabiner loop to secure it to your belt loop or backpack for extra peace of mind.
- Help keep private content private with the included password protection featuring 256‐bit AES hardware encryption.(3)
- Easily manage files and automatically free up space with the SanDisk Memory Zone app.(5). Non-Operating Temperature -20°C to 85°C
- The master customer or SaaS agreement.
- Your order form, plan terms, and any service-specific conditions.
- The data processing agreement (DPA).
- Export, portability, retention, deletion, backup, and acceptable-use policies incorporated by reference.
- Any private-cloud, enterprise, regional, or product supplement.
Check the agreement’s precedence clause. If the DPA, product supplement, and master agreement use different periods, the precedence language determines which one governs. Save copies of the terms and record the date, geography, plan, product edition, and version that apply to your account. Online policies can change while your stored data remains the same.
Check what shutdown notice really covers
Distinguish a full closure from a material feature removal
Look for separate commitments covering an entire service, a material functionality, and a change that merely affects convenience. A notice promise for a feature does not necessarily mean the provider will give the same notice before closing the company or terminating an individual account.
Read every exception
Emergency, safety, security, legal, intellectual-property, litigation, and regulatory exceptions commonly allow shorter notice. The policy may say that only as much notice as reasonably practicable will be provided in those cases. Suspension for non-payment or an alleged policy violation can also follow different rules from a provider-initiated product sunset.
Illustrative wording, not an industry rule
The AWS Customer Agreement says: “We will provide you at least 12 months’ prior notice before discontinuing a material functionality of a Service that we make generally available to customers and that you are using.” The same agreement lists exceptions involving emergencies or risk of harm, claims or litigation, loss of third-party intellectual-property rights, and compliance with law. It also identifies a post-termination retrieval period with conditions. This is a provider-specific contract promise; verify the current agreement and the contracting entity for your account.

Measure the export window and the access you retain
Find the exact trigger for the clock. “Termination” might mean cancellation by you, non-renewal, expiry, suspension, or termination by the provider. Determine whether export is possible before cancellation, after termination, or both.
Then identify the practical access method:
- Can an administrator start the export from the normal console?
- Must you submit a written request or open a support ticket?
- Does the account need to be paid up?
- Does the live application remain readable while an archive is prepared?
- Are downloads throttled, size-limited, or split into several archives?
- Do different termination reasons produce different rights?
A stated number of days is not useful if the account is locked immediately or if the provider can take several days to prepare the archive. Ask whether the period is calendar days, whether it starts at notice or at the termination timestamp, and whether support can extend it.
Inspect what the export includes
“Export available” does not establish that the archive contains everything you need. Make a field-by-field inventory before relying on it.

Content and relationships
- Documents, spreadsheets, media, and other primary files.
- Attachments embedded in records or comments.
- Comments, discussions, approvals, and activity history.
- Versions, deleted-item history, and timestamps.
- Links between projects, folders, tasks, users, and permissions.
Metadata and configuration
- File names, paths, owners, labels, custom fields, and creation or modification dates.
- Sharing rules, access-control lists, groups, automations, templates, and integrations.
- Audit logs and billing or retention metadata when those records are part of your obligations.
Policies often describe personal data rather than every business record. A DPA may govern deletion of personal data while a product export guide covers files and configuration. Read both scopes instead of assuming one document answers every question.

Evaluate formats and real portability
Record the formats offered: original files, PDF, CSV, JSON, XML, database dump, or a proprietary archive. A format can be machine-readable yet still omit relationships or require undocumented identifiers. Conversely, a visually complete PDF may be unsuitable for migration.
Portability means more than downloading bytes. Select a representative project and verify that another system, a standard desktop application, or a script can open it. Check character encoding, date and time zones, attachment links, version ordering, and whether permissions can be reconstructed. If the provider offers an import tool, test a round trip with non-production data and compare counts and checksums.
Understand deletion, retention, and backups
Locate the deletion policy and identify when deletion starts, when it is expected to finish, and which data types it covers. A provider may delete active-account data on one schedule, archived backups on another, and security or billing records under separate rules.

Confirm whether the policy covers subprocessors and replicated regions. “Deleted” may mean inaccessible through the application while encrypted backup copies await scheduled rotation; the policy should explain that distinction or the provider should answer it in writing.

Provider examples: useful comparisons, not universal standards
The following figures illustrate how widely terms can differ. They belong to the cited documents and products only.
| Provider/document | What it says | Important qualification |
|---|---|---|
| AWS Customer Agreement | At least 12 months’ prior notice before discontinuing a material functionality made generally available and used by the customer; a 30-day post-termination retrieval period is also described. | Notice has emergency, legal, intellectual-property, and compliance exceptions. Retrieval is subject to conditions, including payment, and a termination exception. Check the current agreement and contracting party. |
| Front SaaS Services Agreement | Customer Data is available for electronic retrieval for 30 days after termination. | After that period, deletion follows the provider’s Data Deletion Policy. The agreement also reserves suspension or termination rights in specified circumstances. |
| Freshworks terms dated May 31, 2023 | A 14-day export period is described after specified account closures; ordinary-course deletion may occur after retention of up to three months. | Export is conditional, including on payment status. The document is dated and must not be treated as a verified current commitment without checking the live contract. |
| Dataiku Cloud Terms | Up to 60 days after termination or expiry; on written request, access may be provided for up to 30 days solely for export. | The extra access cannot extend beyond the 60-day limit. Applicability depends on the live agreement and product. |
| SAP cloud DPA example | Remaining personal data is described as deleted within a reasonable time not exceeding six months, unless law requires retention. | This is a DPA example, not a universal SAP rule. A separate RISE with SAP private-edition supplement permits a requested final export and gives two weeks to verify usability. |
| Zendesk deletion policy updated June 3, 2026 | Provides product-specific timelines for Sunshine Conversations. | It contains explicit scope exclusions, showing why product and data type must be checked. |
| Google Workspace DPA dated 2017 | Describes export during the term and up to 180 days for deletion in a specified non-payment or free-trial scenario. | This is an old, scenario-specific document, not a current general Google Workspace commitment. |
| Runway Ledger sunset policy, updated May 8, 2026 | Describes 30 days’ notice and an automatic JSON export for that service. | It is a service-authored example, not an industry norm or independent verification. |
Test an export before storing irreplaceable work
- Create a small test workspace containing each important kind of item: a document, attachment, comment thread, custom field, version, and permission rule.
- Run the provider’s normal export process while the account is active. Record the start time, completion time, archive size, and any warnings.
- Unpack the archive on a separate computer. Open representative files with software that does not require the cloud service.
- Compare record counts, attachment counts, folder paths, timestamps, versions, and key metadata with the live workspace.
- Check whether links, formulas, embedded media, and access relationships survived. Note anything that became a flat file or lost context.
- Document the procedure, required administrator role, export format, and any support involvement so another person can repeat it.
If the export omits required material, ask the provider for a complete schema, an alternative format, or paid migration assistance before committing more data. Treat an unanswered question as a risk rather than an implied promise.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Build a backup and migration plan
Download important work periodically instead of waiting for a shutdown announcement. Keep a local copy and an independent second backup. A portable external SSD can hold a downloaded archive, but one drive is not a complete backup plan: it can fail, be lost, or preserve an export that already omitted data.

Questions to put in writing to the provider
- Which agreement and policy govern my product, plan, region, and contracting entity?
- What event starts the export clock, and exactly how many calendar days are available?
- Can an administrator export before cancellation and after termination?
- Does payment status, suspension reason, or a written request change retrieval rights?
- Which files, attachments, versions, comments, metadata, permissions, logs, and configuration are included?
- Which formats are supplied, and are schemas or import tools documented?
- What are the archive-size, rate, and support limits?
- When are active data, replicas, backups, and subprocessors’ copies deleted?
- Which legal, dispute, security, accounting, or regulatory exceptions delay deletion?
- Are assistance or conversion charges possible, and can the provider confirm them before termination?
Warning signs and practical responses
The policy says only “commercially reasonable” assistance
Ask for a concrete period, delivery method, data scope, and responsible team in the order form or a written support response.
The export is proprietary
Require a machine-readable alternative or budget for conversion. Preserve the original archive and a documented interpretation of its schema.
Deletion language covers only personal data
Request separate terms for business content, attachments, logs, and configuration. Do not assume the DPA governs every object in the application.
Free tools Windows power users keep installed
One-click scans. No signup required.
Access ends when billing stops
Keep payment current through the export period if the contract makes retrieval conditional, and schedule the export before cancellation.
No one has tested restoration
Perform a sample restore now and repeat it after significant product or workflow changes. A successful download that cannot be opened or reconstructed is not a usable backup.
