Connecting an AI assistant to a workplace app creates an authorized path through which the assistant can retrieve company information for a prompt and, in some integrations, perform supported actions. The actual exposure depends on the connected identity, granted permissions, administrator controls, logging and retention settings, processing location, and who can see the conversation. A connection is not a universal data policy: each assistant, app, account type, and deployment must be evaluated separately.
What a workplace-app connection actually does
A connected app gives an assistant a way to call an underlying business system. When an employee asks a question, the assistant may send a search or retrieval request to that system, receive permitted files, messages or records, and use the returned material as context for its answer. The employee may see only the answer, not every source item that was fetched to produce it.
Depending on the integration, the assistant may summarize a document, find a message, extract information from several records, or carry out a defined action such as creating or updating an item. Read access and write access are separate decisions; an integration that can search content is not automatically allowed to change the source system.

A connector can fetch additional permitted source content when the prompt calls for it. That is why the connection itself, rather than only the wording of a prompt, is a security boundary.

The source system remains part of the data path
The original app, the assistant service, and the conversation can each process or retain information. A document can remain in the workplace app while selected passages are sent to the assistant for context; the resulting prompt, response, and app call may then appear in the assistant’s records or compliance systems. Those are distinct locations with potentially different administrators and retention rules.
Whose permissions control what the assistant can see?
The identity used for the connection is the most important distinction. Two products can offer a similarly named “connector” while enforcing access in completely different ways.
Per-user access in Microsoft 365 Copilot
Microsoft describes Microsoft 365 Copilot as surfacing organizational information that the individual user is already permitted to access through Microsoft Graph. In Microsoft’s wording, “Microsoft Copilot only surfaces organizational data to which individual users have at least view permissions.” A user who cannot view a file or message in the underlying system should not gain access merely by asking Copilot about it, assuming the source permissions are correctly configured.

Configured company connections in OpenAI’s Slack and Teams assistant
OpenAI documents a different model for an organization-configured @ChatGPT in Slack and Microsoft Teams. In that setup, the account configured by the organization supplies the connection. OpenAI states: “The connected account’s permissions determine what information the assistant can read and which actions it can take.” The assistant does not automatically inherit every requester’s individual app access. If a shared or service account can read more than the people using the assistant, the assistant may operate across that broader boundary.

Why the distinction matters
- A per-user connection generally follows the requester’s existing source permissions.
- A shared or service connection follows the permissions of the account that was configured, which may be wider or narrower than an employee’s own access.
- The same assistant can behave differently in a personal account, a managed workspace, and an administrator-configured deployment.
- Neither model should be generalized to every vendor or connector; confirm the documented behavior for the exact product and plan.
How administrators govern connectors
Microsoft says organizations control which Copilot connectors are available and who can use them. A connector appearing in product documentation does not mean it is enabled in a particular workplace. OpenAI’s administrator guidance similarly describes workspace and role controls and asks administrators to review requested permissions before enabling an app.
Governance should cover both availability and scope. An administrator can decide whether a connector is approved, which roles or channels may invoke it, which account owns the connection, and whether the integration can only read or can also perform actions. Source-system permissions still matter: enabling a connector does not repair an over-permissive file share or an incorrectly assigned group.
What happens to prompts, responses and returned content?
Conversation records and source records are separate
Treat the assistant conversation and the connected app as two places where company information may be processed. The source app keeps its original record according to its own policies. The assistant may retain the prompt and response, while an app call may be recorded in an audit or compliance log. A generated answer can also be copied into a shared channel, document or ticket, creating another copy outside the original system.
Microsoft documents Purview controls for setting retention policies on Copilot chat interaction data. OpenAI says app calls are logged as part of its compliance logs and that conversations using apps are available through its Compliance API. These statements describe available controls, not one retention period for every plan. Your organization must check the settings and terms that apply to its deployment.

“Not used for training” is only one question
Microsoft documentation says that prompts, responses and data accessed through Graph for Microsoft 365 Copilot are not used to train foundation large language models. Microsoft separately describes enterprise data protection for Microsoft Copilot Chat when a user is signed in with a work or school account and says prompts and responses are not used to train foundation models.
Those statements are tied to the named Microsoft products and account contexts. They should not be extended automatically to consumer versions, another Microsoft service, or a different assistant. Even when training is excluded, you still need answers about retention, logging, processing geography, connected-account scope and conversation visibility.
Processing location can depend on configuration
Microsoft states that Copilot calls may route to another region when capacity is constrained. It also describes additional EU Data Boundary safeguards for EU users and notes an exception involving Anthropic models as a subprocessor. These are Microsoft-specific commitments with configuration and model qualifications; they are not a general promise about every assistant or every Microsoft service. Ask which region, model and subprocessor rules apply to your organization’s deployment.

What employees should check before connecting an app
Use this sequence before authorizing any workplace connector. If an answer is unclear, stop and ask the administrator or help desk rather than experimenting with sensitive data.

- Confirm approval. Verify that the assistant and this particular app connector are approved for company use. Microsoft advises employees to follow organizational guidance and ask an administrator whether a connector is suitable for the data involved.
- Identify the account. Determine whether the connection uses your own account, a service account or an administrator-owned account. This tells you whose permissions govern retrieval and actions.
- Review requested permissions. Read the authorization screen and administrator documentation. Look for access to specific repositories, channels or mailboxes and for write, send, create or delete capabilities.
- Check audience controls. Find out which users, roles, groups or channels can invoke the assistant and whether replies are private or shared.
- Ask about records. Confirm where prompts, responses and app calls are logged, how long they are retained, and whether your organization applies Purview or compliance-log policies.
- Check regional handling. For regulated or location-bound data, establish the processing region, selected model and any documented subprocessor or capacity-routing exception.
- Start with low-sensitivity content. Test the connection using information that is approved for the assistant before asking about payroll, legal matters, credentials, health information or unreleased transactions.
Administrator deployment procedure
A controlled rollout makes the effective data boundary observable before many employees rely on it.
- Inventory the integration. Record the assistant product, connected app, connection owner, account type, enabled actions, intended users and channels.
- Map source permissions. Examine the underlying app’s groups, sharing rules and repositories. Remove broad access that the assistant does not need; conversational search should not become a shortcut around a poorly managed share.
- Limit the connector. Enable only approved connectors and assign access to the smallest practical set of roles or channels. Review both read and write scopes.
- Configure records and retention. Decide how Copilot chat interactions, prompts, responses and app calls are retained. Where applicable, use Microsoft Purview controls and OpenAI compliance-log facilities according to your organization’s policy.
- Test in a non-production channel. OpenAI’s setup guidance recommends testing an organization-configured assistant in a test channel. Use test accounts that represent the least-privileged and ordinary user experiences.
- Verify boundary cases. Ask for a document the test user can view, one it cannot view, and one that was recently removed. Confirm that the assistant’s result matches the intended source permissions and that actions fail safely when unauthorized.
- Monitor after launch. Review connector usage, app calls, shared conversations and permission changes. Recheck settings after a product, model, connector or organizational-role change.
Shared conversations create a second audience
An assistant can retrieve data correctly and still disclose it incorrectly. OpenAI warns that replies in shared conversations are visible to participants. A response posted in a team channel, shared thread or collaborative document should therefore be treated as a disclosure to everyone who can access that location, not only to the employee who typed the prompt.
Before posting, inspect the audience and remove unnecessary source details. Do not paste a generated answer into a broader channel merely because the original source file was restricted. Generated files and shared links need the same audience review as ordinary documents.

The assistant cannot find content
- Confirm that the connector is enabled for the user, role or channel.
- Check the underlying system’s permissions and whether the account used by the connection can see the item.
- Verify that the content type and location are supported by this connector.
- Ask the administrator to review connector configuration and logs rather than granting broad access as a quick fix.
Microsoft recommends confirming access in the underlying system and whether a connector is enabled when content cannot be found.

The assistant returns information the requester should not have
- Stop using the connector for sensitive prompts and preserve the conversation and app-call records for investigation.
- Identify the connection owner and compare that account’s permissions with the requester’s intended access.
- Disable the connector or affected action while administrators correct the source permissions or replace a broad shared account.
- Review other conversations and generated files that may have copied the information to a wider audience.
Do not assume that deleting a source file removes copies already present in assistant logs, chats or shared documents; retention settings determine what remains.
Policies a company should document
- Approved assistants and connectors, including prohibited consumer or unmanaged accounts.
- Whether each integration uses per-user credentials or a shared/service identity.
- Permitted data classifications, repositories and actions for each connector.
- Who may enable, administer, audit and revoke a connection.
- Retention, legal hold and export rules for chats, prompts, responses and app calls.
- Regional processing requirements and the process for reviewing model or subprocessor changes.
- Rules for sharing assistant replies, generated files and links in channels or documents.
- An incident process for over-broad results, accidental disclosure or unintended actions.
What the available vendor statements do—and do not—establish
Microsoft and OpenAI documentation describes product behavior and controls, but vendor documentation is not independent proof that every configuration is secure or suitable. Defaults and features can change. The reliable unit of analysis is always the specific assistant, connected app, account, permission set, region and administrator policy in use at the time.
There is no single industry-wide rule that connecting an AI assistant either exposes all company data or exposes none. A carefully scoped per-user connection may retrieve only content the employee can already view, while a shared account can create a materially wider boundary. Training exclusions, where documented, do not answer retention, logging, geography or audience questions. Those controls must be checked separately.

Connecting an AI assistant to a workplace app turns the assistant into another client of that system. It can retrieve permitted company content and sometimes act on it; the connected identity and its permissions define the reachable boundary. Administrators must control connectors, scopes, actions, retention and audit trails, while employees must verify approval, account identity and conversation audience before using sensitive data. Treat every connection as a governed integration—not as a harmless convenience—and the company can gain useful search and automation without losing track of where its data travels.
