AI meeting assistants can expose more than a transcript: depending on the product and settings, they may process audio, recordings, prompts, responses, summaries, participant details, and calendar information. Reduce risk by collecting only what the meeting needs, telling participants what the assistant does, limiting access and retention, checking the provider’s terms and controls, and reviewing generated notes before relying on them.
What privacy risks do AI meeting assistants create?
The risks come from the entire data lifecycle: what the assistant captures, where the data goes, how long it remains available, who can access it, and how people use its output. The exact risks vary by product, feature, account configuration, and organizational policy.
- Unclear or inappropriate capture: Participants may not know an assistant is active, what it captures, or why. Notice, consent, and other legal requirements depend on the circumstances and jurisdiction; consent is not universally the only possible legal basis.
- Persistent records and discovery: Recordings, transcripts, prompts, responses, and summaries can remain subject to product or organizational retention rules. Microsoft says Teams Copilot can work without a meeting recording or transcript, but prompts and responses may still be retained under Microsoft Purview policies and may be discoverable. Microsoft’s Teams Copilot documentation describes that mode.
- Extra copies and broad access: Meeting artifacts can be stored in different locations or copied into connected work systems. Searchable transcripts and recordings can make sensitive conversations easier to find, forward, or share beyond the people who need them.
- Provider and transfer exposure: Cloud processing may involve a provider, subprocessors, and transfers across borders. Organizations should assess these arrangements, security, and applicable transfer safeguards.
- Sensitive information and speaker identification: Health discussions, grievances, or other sensitive topics call for tighter controls. Speaker recognition and similar biometric features can introduce additional risks and may be subject to specific rules.
- Misleading records: A summary can get a name, quotation, decision, or action item wrong. If circulated without review, an error can affect decisions or become part of a formal record.
Does an AI meeting assistant record everything?
No single answer applies to every assistant or mode. Some features process a meeting without saving a recording or transcript; other features require both. Microsoft distinguishes Teams Copilot’s no-transcript/no-recording meeting mode from Intelligent Recap, which requires transcription and recording. Intelligent Recap artifacts may be stored across Exchange, OneDrive, or SharePoint, depending on the artifact. Do AI meeting assistants use meetings to train AI?
That depends on the provider, feature, data category, and applicable terms. Read the statement for the exact service rather than generalizing it to every product or third party. Microsoft says customer data for Intelligent Recap is not logged or used for AI model training or testing. Zoom says diagnostic-data consent does not authorize the use of customer content for AI model training. These are service-specific vendor statements, not independent verification of every deployment.
When reviewing a provider, distinguish customer content from diagnostic data, and look for whether the terms cover the feature you intend to use, its subprocessors, and any secondary uses. The UK Information Commissioner’s Office (ICO) AI and data protection guidance also says organizations must identify a lawful basis for each purpose involving personal data; that guidance does not determine which basis applies to a particular meeting.

How long are AI meeting transcripts and other data kept?
Retention is a setting and policy question, not a universal period. It can differ among recordings, transcripts, chat, prompts, summaries, and other artifacts, and may be affected by administrator settings or legal and records obligations.
As one service-specific example, Zoom’s published retention standard says cloud recordings remain while the end user’s account is active unless auto-deletion is configured; chat is retained for 24 months by default; and AI-feature content follows the relevant service’s retention period, subject to controls and exceptions. Those are Zoom’s terms, not defaults for other assistants or for every type of Zoom data. Check Zoom’s retention standard and your account configuration.

How can you reduce the risks?
Before the meeting
- Choose the minimum capture needed. Decide whether an assistant, transcript, or recording serves a real purpose. Avoid creating a durable record simply because the feature is available. UBC’s institutional guidance advises avoiding recordings unless there is a clear operational or compliance need.
- Explain what will happen. Tell participants which tool will be used, whether it captures audio or creates a transcript or summary, the purpose, who can access the output, and the planned retention. Update relevant privacy notices. The required notice or consent depends on context and jurisdiction.
- Assess the meeting’s sensitivity. Consider external attendees, sensitive subjects, and speaker-identification or other biometric features. Apply stricter limits where those risks arise.
- Review the provider and configuration. Check data roles and purposes, training and secondary-use terms, subprocessors, processing locations, transfer safeguards, deletion behavior, access controls, and security evidence. The ICO recommends documented due diligence and security assessment.
During the meeting
- Use a live-only or no-recording mode if it meets the need, and make the assistant’s active status clear. Verify whether prompts or responses are still retained.
- Where practical, allow the meeting to continue without the assistant, especially if sensitive content arises or an external participant objects.
- Disable speaker identification or other biometric features unless they have been separately assessed and authorized for the situation. UBC’s guidance on informed consent for biometric features is specific to its institutional policy setting, not a universal rule. See UBC’s access and privacy guidance.
After the meeting
- Limit transcript and recording access to people with a legitimate need; avoid uncontrolled forwarding or external sharing.
- Set and enforce a retention period that fits the purpose and records obligations. Delete audio or transcripts when they are no longer needed, consistent with applicable schedules and exceptions.
- Check names, attribution, decisions, and action items in generated notes before distributing them or using them as formal records. Correct errors. The ICO calls for checking AI outputs for accuracy, and UBC likewise advises reviewing summaries and transcripts before relying on them.
How to compare AI meeting assistants
Do not rely on a broad “secure” label. Compare the specific feature and account configuration across these points:
- Capture: live processing only, transcript, audio or video recording, or a combination.
- Stored artifacts: prompts and responses, source transcript, recording, summary, action items, speaker markers, and attendance information.
- Retention and deletion: defaults, administrator controls, user deletion, backups, and legal or safety exceptions.
- Access and discovery: who can see each output, where it is stored, and whether organizational compliance tools can search it.
- Purpose and training: whether customer content or diagnostic data can be used for model improvement, and whether the answer covers the exact feature and its subprocessors.
- Location and transfers: storage region, subprocessors, and transfer mechanisms.
- Transparency and control: participant notices, visible assistant indicators, administrator policies, and the ability to disable the feature.
- Accuracy and sensitivity: review and correction options, and safeguards for biometric or high-sensitivity use.
For example, Microsoft documents Teams Copilot operation without a transcript or recording, with prompts and responses potentially governed by Purview; Intelligent Recap instead requires transcription and recording and stores artifacts in Microsoft 365 locations. Zoom’s retention standard links AI-feature content to the associated service’s retention period. These examples illustrate why feature-by-feature comparison matters; behavior can depend on tenant, configuration, product tier, and policy.

What legal requirements apply?
There is no single legal answer for every employer, country, sector, or meeting. Lawful basis, notice, consent, recording, employment, biometric-data, and international-transfer requirements depend on the facts and applicable law. The ICO’s guidance says organizations must identify a lawful basis for each purpose involving personal data, explain AI use and its purpose in privacy notices, and check outputs for accuracy. It also highlights that sharing personal data for model training can require consideration of both a lawful basis and, where relevant, a special-category condition.
