AI can help facilities teams spot equipment problems earlier by analyzing sensor readings, building-management-system signals, run hours, work orders, and asset histories. The practical change is not simply adding an algorithm: teams need usable data, a way to turn credible alerts into maintenance work, and technicians who can act on those alerts.

How AI is used in facilities management

Facilities teams can use analytics and AI to identify unusual readings, changing operating patterns, or combinations of conditions associated with equipment failure. The process can help prioritize inspections and maintenance before a fault interrupts building operations. It does not mean every asset can be predicted accurately, or that AI replaces technicians and established maintenance practices.

A predictive workflow typically follows five steps:

  1. Observe: Collect information from sensors, equipment controllers, building-management systems (BMS), inspections, run-hour counters, and maintenance records.
  2. Interpret: Apply rules or analytics to detect an anomaly, a deterioration trend, or a pattern associated with a known failure mode.
  3. Prioritize: Weigh the signal’s credibility against asset criticality, safety, and the cost or disruption of failure.
  4. Act: Send an actionable finding into the computerized maintenance management system (CMMS) or enterprise asset management (EAM) workflow, where it can become planned work with an assigned technician and relevant parts.
  5. Learn: Record inspection results and repair outcomes so the team can review whether its assumptions and alerts were useful.

Without the last steps, monitoring can produce alerts without changing maintenance decisions. The operating process matters as much as the model.

Predictive maintenance versus preventive maintenance

Approach What prompts the work Where it fits Trade-off
Reactive A fault report, visible failure, or technician observation Low-criticality assets or failures that are difficult to monitor usefully Work begins after a problem is apparent, which can make it disruptive or urgent.

These approaches can coexist in the same building. A team may monitor a critical pump conditionally, service another asset by run hours, and handle a low-impact item reactively. Predictive maintenance is not automatically the best choice for every piece of equipment.

What data and sensors do facilities teams need?

There is no single required sensor package. The useful inputs depend on the equipment and failure modes the team wants to detect. They can include dedicated sensor readings, existing BMS or controller signals, run hours, inspection findings, and the history of work orders and asset failures.

Start by checking what data already exists. In a semiconductor-facility case, JLL describes using IoT sensors at more than 3,000 asset points and AI analysis of analogue gauge readings to make legacy equipment a source of digital data. That example shows that a team may combine connected equipment with retrofit approaches; it does not establish that every analogue asset can be instrumented economically.

Siemens’ Process Technology case describes deploying six of eight planned sensors to track run hours. The company says accumulated data helped identify a recurring water-jet failure pattern and inform maintenance decisions. This is an example of one deployment, not a general sensor-coverage target.

Before adding hardware, identify which signals relate to a specific operational risk. A sensor is useful only if it can capture relevant conditions reliably, communicate in the facility’s environment, and feed a process that someone owns.

Can AI predict HVAC or other equipment failures?

AI-supported monitoring can help identify a developing problem when the asset exposes relevant signals and there is enough information to distinguish meaningful change from normal variation. HVAC equipment may be part of such a program, but the evidence cited here does not establish a universal accuracy rate or guarantee that AI can predict a particular HVAC failure in advance.

Prediction quality depends on the condition being monitored, the availability and quality of readings and maintenance history, and how the team handles alerts. A deviation can justify an inspection without proving that a failure is imminent. Facilities teams should treat predictions as decision support, not as a substitute for technical diagnosis or safety procedures.

What published examples and survey figures show

Vendor case studies illustrate possible operating models and report encouraging outcomes, but their results are specific to the customers and deployments described. They should not be treated as independent industry benchmarks or expected savings for another building.

  • JLL semiconductor client: JLL reports 75% faster maintenance response, 90% improvement in asset-monitoring data accuracy, and 50% less unplanned downtime for one Fortune 100 semiconductor client. JLL also described a target of more than 5x ROI by the end of 2025; that was a target, not a verified realized return. The publication date was not stated in the search result.   • Honeywell U.S. survey, 2025: Honeywell reported that 84% of surveyed U.S. commercial-building decision makers planned to increase AI use in the following year, while 49% said they were already using predictive maintenance. The surveyed buildings had more than 250 occupants; these are survey responses, not a census of U.S. buildings. In the same study, 92% reported difficulty hiring skilled, tech-savvy people.   • Johnson Controls, 2026: In its report summary, 33% of business leaders named ease of integration as the top requested change to their current workplace-management system. A separate Johnson Controls summary says 58% of manufacturing leaders and 55% of facility managers who were planning AI deployments said they were implementing AI-driven predictive-maintenance tools.   • Al-Futtaim Technologies’ Wasl case: The integrator reports a 20% energy-cost reduction in the first year, 60% faster maintenance response, 99.9% system uptime, and management of four towers on one platform. These are case-specific reported results, not a forecast for another property. Read the Wasl case study.

Together, these examples show that organizations are deploying connected monitoring and that some vendors report operational improvements. They do not establish a universal savings percentage or prove that AI alone caused every reported result.

What makes a facilities AI deployment work?

Integration with existing systems

Monitoring should connect to the asset hierarchy, BMS, CMMS or EAM, work-order process, and technician tools the organization actually uses. If alerts remain in a separate dashboard, staff may have to duplicate work or may not act on them. Johnson Controls’ 2026 findings on integration requests reinforce that system fit is a practical concern, not a detail to postpone until rollout.

Useful asset data and coverage

Check whether asset records are complete enough to identify equipment, location, criticality, and maintenance history. Confirm which assets already provide useful signals and which would need new sensors. Poor records or gaps in coverage can limit what an analytics system can infer.

Alert quality and technician workflow

Decide who reviews an alert, how they confirm it, when it becomes a work order, and how false alarms or low-confidence signals are handled. Include mobile access to asset details, the ability to record findings, and time for technicians to learn the process. In JLL’s semiconductor case, the implementation took 18 months and included technician training and feedback sessions—evidence that deployment and adoption can require sustained effort.

Security and operating responsibilities

Connected building equipment introduces questions about access control, cybersecurity, data retention, and responsibility for responding to system alerts. Set ownership and escalation rules before expanding monitoring, especially where a missed or mishandled alert could affect safety or critical operations.

How to evaluate a predictive-maintenance project

  1. Choose a costly failure mode: Identify equipment problems that create substantial downtime, safety exposure, tenant impact, repeat repairs, or emergency expense.
  2. Check available signals: Map relevant BMS/controller data, sensors, run-hour records, inspections, asset histories, and work orders. Identify gaps before selecting a solution.
  3. Test the workflow fit: Verify how alerts connect to the existing asset hierarchy, CMMS/EAM, work orders, parts planning, and technician mobile tools.
  4. Assign ownership: Name who reviews alerts, confirms work, manages false alarms, and records inspection and repair findings.
  5. Set a baseline and measures: Compare results with the pre-deployment baseline using measures such as unplanned downtime, response time, emergency-work share, repeat failures, or energy use. State the period and asset group being measured.
  6. Plan training and governance: Budget implementation support and technician training, and define cybersecurity, access-control, and data-retention requirements.

A pilot focused on a defined asset group and failure mode can reveal whether the signals are useful and whether the work process can handle them. The relevant question is not simply whether a model produces alerts, but whether those alerts lead to better-timed, measurable maintenance decisions.
