To prevent two people from issuing invoices with the same number, allocate each number from one authoritative, shared log—or use invoicing software that assigns numbers when invoices are issued. A spreadsheet cell showing the “next” number is not a reservation: two people can read it before either records a change. HMRC’s UK VAT guidance requires a sequential number that uniquely identifies the invoice, but the exact rules depend on the country, tax and document type.
Why a “next invoice number” cell can fail
A cell containing the next number is only a display of a value. If two salespeople copy the same template or read that cell at the same time, both can use the same number before anyone updates it. A formula based on a row number has the same limitation: it can calculate a value, but it does not reserve that value across simultaneous users.
For a VAT invoice in the UK, HMRC says the invoice number must form part of a sequential series and uniquely identify the document. The number can contain letters as well as digits, and a business may operate more than one series. See HMRC’s VAT Traders’ Records Manual, VATREC5010. The practical control is therefore not merely to calculate a plausible number, but to ensure each issued document receives a distinct identifier and that the record can be reconciled.

Use one authoritative log for each series
For a small team using a spreadsheet or paper process, keep a single authoritative log for each numbering series. Record the invoice identifier, issue date, customer or reference, status (issued or void), and the person who issued it. These fields are a recommended control design, not a universal legal checklist.

- Before creating or sending an invoice, check the shared log and allocate the next number in the appropriate series.
- Record the allocation in that log, then create and send the invoice using that identifier.
- Keep the invoice record linked to the log entry so issued documents can be checked against the sequence.
- If an invoice is cancelled or spoiled, retain its number in the log, mark it void, and record why. Do not delete the entry or silently reuse the number.
HMRC says a cancelled or spoiled invoice may be retained in the accounting records, or a break in the sequence may be explained. That is not the same as permission to erase a number without a trace. The European Commission also notes that sequential numbering is common business practice and facilitates completeness checks; its explanatory document describes automatic generation by e-invoicing systems as a way to support that control. Prevent two users from allocating the same number
A shared file alone does not necessarily prevent collisions. If two people can read the same “next number” and act before either entry is committed, both may proceed with the same value. Avoid concurrent use of a manually updated next-number cell unless the tool or process actually prevents a second allocation.

- One allocator: Assign a person or control point to issue numbers, while others prepare invoice details. This is simple but can slow work when that person is unavailable.
- Controlled shared log: Require users to record the allocation before generating or sending the invoice, and coordinate access so only one person allocates at a time. This depends on people following the process.
- Configured invoicing software: Use a system that assigns and commits identifiers as invoices are issued. This is a more suitable option when several people issue documents concurrently, but confirm how the product handles numbering, voids, series and local rules.
Software can support more complex configuration. For example, SAP Business ByDesign documentation shown as August 2026 describes invoice numbering configuration by company, tax country and document type, with further criteria potentially required by local rules. This documents a capability in that product; it does not establish comparative cost, error rates or performance against a spreadsheet.

Choose prefixes and separate series carefully
Prefixes can distinguish legitimate numbering series—for example, by location or document type—but should not be added merely to disguise duplicate allocations. Decide why a separate series is needed, document the reason, and verify that the applicable rules allow the arrangement before using it.

Rules vary by jurisdiction. HMRC allows one or more series that uniquely identify invoices. French tax guidance describes a unique, chronological and continuous sequence for each series, requires safeguards against duplicate numbers on invoices issued in the same year, and allows separate series when justified. See France’s DGFiP guidance. India’s GST invoice rules describe serial numbers that may use one or multiple series, must be unique for a financial year, and may contain specified letters, digits and punctuation. See India’s CBIC GST rules; check for current amendments.
These examples are not a universal numbering specification. In particular, do not assume every country requires a gapless sequence or permits the same prefixes and series. Check the rules for your jurisdiction, tax type and document type.

Keep invoice numbers distinct from internal references
The invoice number identifies the invoice document. A spreadsheet row number, customer account number or purchase-order reference may help with internal tracking, but should not be mistaken for the invoice’s identifying number. Keep those values in separate fields so staff can tell which identifier belongs on the invoice and which is only an internal or customer reference.

A log is a reasonable fit when one person controls issuance and the volume is manageable. As concurrent users or reconciliation needs grow, configured software is a more dependable way to make allocation part of issuing the invoice—provided its settings and records meet your requirements.
