Use a UPI QR code at the counter, a payment link when the customer is somewhere else, and card acceptance when shoppers expect to pay by card. These methods solve different checkout situations, and many small businesses use two or all three. A QR standee is only a way to display a merchant QR; a payment link is a provider-generated web address; and card acceptance may require an online gateway or a card-present terminal. Fees, supported instruments, settlement and reconciliation depend on the provider and your merchant category.

The short answer

Method Best fit What the customer does Main checks before choosing
Merchant UPI QR In-person sales at a shop, stall, clinic, office or delivery hand-off Opens a UPI app, scans the displayed code, verifies the payee and amount, then authorises the payment Confirm that it is a merchant QR connected to the correct account, which instruments are supported, how you receive confirmation and how transactions are reconciled
Payment link Remote orders, invoices, deposits and follow-up collections Opens a URL on a phone or computer and pays on the provider’s checkout page Check enabled payment methods, expiry, partial-payment rules, provider and instrument fees, refunds and settlement conditions
Card acceptance Customers who prefer cards, online checkout, subscriptions or higher-value purchases Enters card details online or taps/inserts/swipes at a card-present terminal Check card networks and card types, gateway or terminal requirements, fees, taxes, settlement and chargeback/refund handling

There is no universally cheapest or best option. The right choice follows the customer’s location and preferred instrument, then your provider’s written terms. A business serving walk-in customers may need only a merchant QR; a service business that invoices remotely generally needs links; and a retailer competing for card-paying customers should add card acceptance rather than assuming every QR can take every card.

What a merchant UPI QR code actually is

Unified Payments Interface (UPI) is “an instant payment system developed by the National Payments Corporation of India (NPCI), an RBI regulated entity,” according to NPCI’s UPI Frequently Asked Questions. A merchant QR encodes payment information so a customer’s UPI app can identify the payee and initiate a transaction.

How an in-person QR payment works

  1. Obtain a merchant QR from your bank, payment provider or authorised aggregator after completing its merchant onboarding.
  2. Display the approved code where the customer can see and scan it. Confirm that the name shown in the payer’s app matches your business before accepting the payment.
  3. The customer scans with a compatible UPI app, checks the amount and payee, and enters the UPI PIN or uses the authentication method required by that app.
  4. Verify success in the provider dashboard, merchant app, soundbox, SMS or other channel supplied to you. Do not release goods solely because a customer shows a screenshot.
  5. Record or reconcile the transaction against the order, invoice or table number using the reference supplied by the provider.

NPCI material refers to merchant QR acceptance standees or stickers. The physical standee is not the payment account: it does not issue a QR, open a settlement account or turn a personal code into a merchant facility. Use the QR supplied or approved for your merchant account, and replace a damaged or altered display through the provider rather than printing an unknown code.

When QR is the natural choice

  • The buyer and seller are together and the amount can be confirmed before payment.
  • You want a low-friction checkout without typing a long account number or sharing a URL.
  • You can provide a reliable way to confirm payment, especially during busy periods or when several orders arrive at once.

A static displayed QR may require the customer to enter the amount. A dynamic QR or integrated checkout can carry an amount or order reference, but availability and reconciliation features are provider-specific. Ask what happens when a customer pays the wrong amount, repeats a payment or pays after an order is cancelled.

How payment links differ

A payment link is a URL generated by a payment provider and sent by message, email, invoice or another channel. It is designed for a customer who is not necessarily at your counter. The customer opens the link, reviews the merchant and amount, chooses an available method and completes authentication on the provider’s checkout.

Features you may see

Razorpay’s payment-link documentation describes settings for an amount and description, an optional expiry and international currencies. It also states that its UPI payment links do not allow partial payment. Those are features of that provider’s product, not a definition that applies to every link service. Another provider may support partial payments, reminders, multiple instalments or different expiry controls.

When a link is better than a QR

  • You are collecting an advance before beginning work and the customer is at home.
  • You send an invoice after a consultation, delivery or repair.
  • You need an auditable URL tied to a particular amount, description or order.
  • You sell through chat or social channels without a full online store.

Use a fresh link or a clearly identified invoice for each collection when reconciliation matters. Tell the customer the expected amount and the business name they should see at checkout. Expired, duplicated or forwarded links can create confusion, so set an expiry where the provider supports it and close or cancel links that are no longer valid.

What “card payments” covers

Card acceptance is an instrument and an acceptance route, not one single product. Online card payments normally run through a gateway checkout. In-person card payments use a card-present terminal that accepts the networks and card types enabled for your merchant account. A provider may bundle cards, UPI, net banking and wallets in one gateway, but each instrument can have different fees, risk rules and settlement treatment.

Online card checkout

An online gateway is useful when your customer is remote and wants to pay by credit or debit card rather than UPI. Confirm whether the checkout accepts domestic and international cards, which networks are enabled, whether recurring payments are supported, and how failed, reversed or disputed transactions appear in your reports.

Card-present acceptance

A terminal suits a shop, restaurant, clinic or field seller where the customer has a physical card or phone. Check connectivity, receipt options, replacement procedures, rental or device charges and what happens during an outage. A QR standee cannot substitute for a terminal when a customer expects to tap or insert a card.

Can a customer pay by credit card through a UPI QR?

Sometimes, but the supported case is narrower than the phrase suggests. NPCI documents that a RuPay credit card can be linked to a UPI app and used to pay a merchant QR, with the transaction authenticated by the UPI PIN. This does not mean that every merchant QR accepts every credit card, Visa or Mastercard, or every card-linked wallet. It also does not mean that a QR display automatically provides card acceptance.

What the merchant should verify

  • Whether the QR is a merchant QR eligible for RuPay credit-card-on-UPI transactions.
  • Whether your provider enables that instrument for your business category and account.
  • How the transaction is labelled in reports and whether its fee differs from an ordinary bank-account UPI payment.
  • Whether refunds, reversals and customer support follow the UPI route or a separate card process.

If a customer asks to pay by card, offer the card route your provider explicitly supports. Do not promise that scanning your QR will work with any card app.

Fees: why a simple QR-versus-link answer is unsafe

Do not tell customers or staff that “UPI is free” without defining the route and provider. The official UPI material explains the payment system and QR flow; it is not a universal merchant price list. Provider pages show that gateway pricing can include platform or technology fees and can vary by instrument, merchant category and service.

What published provider terms illustrate

  • Paytm for Business publishes different pricing categories for payment sources and merchant or SME segments. Its page lists credit and debit cards among gateway sources, so a card transaction should be checked under the applicable instrument terms rather than assumed to have a QR fee.
  • Cashfree describes a platform fee for certain services as mutually agreed. That wording means the amount is governed by your commercial agreement, not a single public rate that applies to every merchant.
  • Razorpay partner terms distinguish an MDR component from a technology fee and give instrument-specific examples. Those examples are contractual illustrations for the relevant arrangement, not a market-wide quote for an individual shop.
  • Paytm support says there is no extra amount specifically for accepting a payment through its payment link. Read that narrowly: it does not establish that every payment instrument processed through the link has no provider, platform, tax or other applicable charge.

Build a complete cost view

Ask for a written schedule that identifies the transaction charge, any platform or technology fee, taxes, terminal or rental charges, refund fees, chargeback costs and minimums. Ask whether a quoted rate is promotional, category-dependent, one-time or recurring. Compare the same transaction type and tax treatment across providers; comparing a basic bank-account UPI payment with a card gateway transaction can produce a misleading “winner.”

Settlement and reconciliation questions

There is no neutral, apples-to-apples settlement schedule established across QR, links and cards. Settlement can depend on risk review, business category, transaction type, weekends, holidays, refunds and reserves. Before enabling a method, ask the provider:

  1. What is the written settlement cycle for this exact merchant account and instrument?
  2. When does the clock start: authorisation, successful capture or provider confirmation?
  3. Are there holds, rolling reserves or enhanced checks for new, international or high-value transactions?
  4. Which reference number appears in the dashboard, bank statement and customer receipt?
  5. How are partial refunds, full refunds, reversals and chargebacks represented?
  6. Can you export a report that joins the payment reference to your invoice or order number?

Reconciliation matters as much as the headline rate. A method that is slightly cheaper but requires manual matching of anonymous payments can cost more staff time and create unresolved orders.

How to choose for common small-business situations

Walk-in shop or market stall

Start with a merchant UPI QR that is clearly visible and linked to the correct settlement account. Add a card-present terminal if customers regularly ask to tap or insert cards, or if your average ticket makes card acceptance commercially important. Use a dynamic QR or order reference when multiple staff members need to match payments to sales.

Consultant, tutor or home-service professional

Use payment links for deposits, invoices and remote follow-ups. A QR can remain useful when a customer is physically present, but do not send a photograph of a counter QR as a substitute for an invoice link if you need a specific amount, description or expiry.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Online seller without a full store

A gateway-generated link can provide a hosted checkout and a record of the order. Verify which methods open for the customer, especially cards, UPI and international currencies, and test the customer receipt and merchant report before sending links at scale.

  • Stable Base Extended: Allows your book to be more stable on the table.

Restaurant or delivery operation

Use QR at the table or hand-off point and a link for phone orders or unpaid invoices. Establish a confirmation process so staff do not accept a screenshot or confuse two similar amounts. If delivery staff collect payments, give them a provider-approved display or device and a way to identify the order.

Setup checklists

Merchant QR checklist

  • Complete merchant verification and connect the intended bank account.
  • Confirm the displayed business name by making a low-value test payment and checking the settlement report.
  • Print or display only the provider-approved QR; protect it from stickers or overlays placed by third parties.
  • Decide how staff will verify success and record the payment reference.
  • Document the process for wrong amounts, duplicate payments and refunds.

Payment-link checklist

  • Enable only the payment methods you can support and reconcile.
  • Set the amount, description and expiry according to the provider’s controls.
  • Check whether partial payments are allowed; some UPI-link products explicitly disallow them.
  • Send the link through a channel where the customer can verify your business identity, and never ask for a UPI PIN or card security code in a chat.
  • Close or replace expired, cancelled or overpaid links and retain the provider reference with the invoice.

Card-acceptance checklist

  • List the card networks, debit or credit types and domestic or international use cases you actually need.
  • Choose gateway checkout, card-present terminal or both.
  • Review MDR, technology or platform fees, taxes, device costs, settlement, refunds and chargebacks in writing.
  • Test a successful payment, a failed payment, a refund and the corresponding report entry.
  • Train staff not to store prohibited card data or bypass the provider’s authentication flow.

Common failure modes and fixes

“The customer paid, but I cannot find it.”

Search by provider reference, exact amount and transaction time rather than the customer’s screenshot. Check whether the payment is pending, reversed or settled to a different account. Escalate with the reference and proof of the order; do not ask the customer to pay again until the status is clear.

“The QR was scanned, but the card did not work.”

Confirm whether the customer is using a RuPay credit card linked to a UPI app and whether your merchant account supports that route. Other card networks may require your separate gateway or terminal. Never describe a generic QR as universal card acceptance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“The link expired or the amount was wrong.”

Generate a new link with the corrected amount and description, then mark the old link as cancelled where the provider allows. For an overpayment or duplicate payment, follow the provider’s refund process and retain both references in your records.

“The fee is higher than expected.”

Compare the invoice with the agreed instrument, merchant category, tax and any platform or technology charge. A support statement about no extra link fee does not erase an applicable fee on the underlying card or other payment method. Request the current written terms if the account or category has changed.

A practical decision framework

  1. Locate the customer. At the counter points to QR or a card-present terminal; remote points to a payment link or online gateway.
  2. Identify the preferred instrument. UPI, RuPay credit card on UPI, debit card and credit card are not interchangeable categories.
  3. Choose the record you need. If an invoice, expiry or exact amount must travel with the request, favour a link or integrated checkout.
  4. Check operational capacity. Select the method your staff can verify, refund and reconcile without unsafe workarounds.
  5. Validate the commercial terms. Obtain current fees, taxes, settlement timing, eligibility and support commitments for your own account.
  6. Combine methods where customers differ. A QR plus payment link is common for mixed in-person and remote sales; add cards when card demand or ticket size justifies the separate acceptance route.

The durable distinction is simple: QR is a scan at a physical interaction, a link is a remote checkout request, and card acceptance is a card-specific route that may be online or terminal-based. Select the method by customer context, then confirm the exact capabilities and written economics with your provider.
