The University of York has selected Workday HCM and Workday Financial Management for a university-wide HR and finance transformation, with KPMG UK as its implementation partner. The university’s current programme pages schedule phase one for 8 February 2027. York says it expects the project to save £36 million over 14 years, but that figure is a forecast, not a realized saving.
Why did York choose Workday?
York’s timeline says the university selected Workday in August 2025 after a robust evaluation. Workday announced the decision on 10 December 2025. The selection covers Workday HCM for human resources and Workday Financial Management for finance; KPMG UK is the named implementation partner. York has not published bid scores or enough detail to establish how Workday compared with other bidders.
York describes the problem as an ageing, fragmented estate that creates manual and repetitive work and makes processes and reporting harder to manage. Workday’s announcement says York had more than 30 separate HR and finance applications, plus 27 additional systems; that count is Workday’s, not a figure independently quantified by York. Nigel Alcock, York’s Chief Financial and Operating Officer, said: “With critical system deadlines approaching and the complexity of managing numerous applications across HR and finance, we needed a partner that could deliver a scalable, integrated solution.”

York’s stated aims are to simplify processes, automate routine work, improve consistency and reporting, and make roles and accountability clearer. These are intended benefits; the system has not yet launched, so they are not demonstrated outcomes.

When will York move to Workday?
The latest York programme pages schedule phase one for 8 February 2027. York’s timeline records the Workday selection in August 2025, while the university’s current system-change page gives the February 2027 date for replacing outdated and expiring systems. The date is a published plan, not confirmation that deployment has occurred.
An earlier York HR news post, dated 8 December 2025, described a switch by November 2026. The newer programme timeline and system-change page instead specify February 2027; the current published schedule is therefore the one to use.

Which systems and processes are in scope?
York’s system-change page identifies applications to be fully replaced and others that will remain and integrate with Workday. The list spans staff-facing HR tasks as well as financial operations, so this is not simply a payroll replacement.

The university lists work across advertising and recruiting, onboarding, career development, performance and goals, benefits, personal details, payroll, time and attendance, financial strategy, and selling departmental services. York also says the new system will be accessible through a browser or mobile app and will use Duo two-factor authentication.

What savings and benefits does York expect?
York’s FAQ gives a financial forecast of £36 million over 14 years. Charley, a Senior Business Analyst involved in the cost-benefit analysis, describes this as what “we expect” the transformation to save. It is the university’s projection, not an achieved result or an independently audited finding.
York also expects staff to have more direct access to routine tasks, with greater automation and consistency, cleaner data for reporting, and clearer responsibilities. The university says staff are helping analyse and configure processes, but it cannot guarantee every requested feature will be included. Tyrrell, York’s Director of IT, says: “We can’t promise everyone everything – but we will be in a position to continuously refine after we go live.”

For sector context, Workday reported in its 2025 announcement that more than 650 educational institutions across 19 countries use its services, and that Workday Student supports more than 3 million student records worldwide. Those are vendor-reported figures; they do not establish York-specific results or validate its savings forecast.
