To transcribe a phone recording on a computer, share or export the audio file to a place the computer can access, upload it to a transcription tool that accepts its format, then check the text against the recording. In Word for Microsoft 365, use Transcribe and Upload audio. If the phone already created a transcript, copying or exporting that text may be quicker.
How to transcribe a phone recording on your computer
- Check the phone first. Open the recording app and see whether it already has a transcript or an option to export one. The steps and features differ by phone and app.
- Move an audio copy to the computer. Use the recording’s Share or Export action and choose a destination available to you, such as a cloud drive, email, or local transfer. Confirm that the audio file is present on the computer before continuing; there is no single transfer path that applies to every phone and computer.
- Check the file format. Word’s documented upload formats are WAV, MP4, M4A, and MP3. If your recording has another format, Word may not accept it; choose a tool that supports it or find a conversion method appropriate to your device and file.
- Upload and wait for the transcript. In Word, open the Transcribe pane and select Upload audio, then choose the file. Microsoft says processing can take up to roughly the recording’s duration, depending on internet speed, and advises keeping the pane open while it runs.
- Review the transcript. Play the recording alongside the timestamped text. Correct names, numbers, technical terms, punctuation, speaker changes, and sections that are muffled or hard to hear.
Microsoft describes Word Transcribe as converting speech to text with speakers individually separated. That feature does not remove the need to proofread: a transcript can mishear a word even when the surrounding sentence looks plausible. Before choosing Word: availability, limits, and storage
Microsoft’s current support documentation describes Word Transcribe as available in Word for Microsoft 365 on Windows for commercial tenants; it also documents availability in Word for the web for Government tenants. The web workflow requires an internet connection and a current version of Edge or Chrome. These details depend on the account and service availability, so check that Transcribe appears in your Word account before relying on it.

As stated in Microsoft Support documentation accessed October 7, 2026, Microsoft 365 subscribers can upload up to 300 minutes of audio per month; users with a Copilot license have a documented maximum of 30,000 minutes per month. These are account-dependent upload caps, not general free allowances. Microsoft says uploaded recordings are stored in OneDrive’s Transcribed Files folder. Consider that storage location before uploading sensitive recordings, and consult Microsoft’s current Word Transcribe documentation for account-specific details.

When the phone can produce the transcript itself
iPhone Voice Memos
For an eligible iPhone, using Voice Memos may avoid transferring audio to the computer. Apple says transcription is available on iPhone 12 or later in listed languages: English variants, Spanish, Portuguese, Italian, French, German, Japanese, Korean, Simplified Chinese, and Traditional Chinese. Apple also notes regional availability limits.
To copy text from a memo, open it, tap More, choose View Transcript, and select the text; for the full transcript, choose Copy Transcript and paste it into a document. See Apple’s Voice Memos transcription instructions for the supported-device and language details.

Google Pixel Recorder
Pixel Recorder can provide a transcript and lets users edit or re-transcribe it. Google says recordings remain on the Pixel phone or tablet unless the user turns on backup, shares them, copies them to another app, or saves them elsewhere; they do not automatically sync to a Google Account by default. Recorder’s share flow can send audio or transcript files, and transcript text can be shared to Google Docs or saved as a .txt file. These instructions apply to Pixel Recorder, not every Android phone.

If upload is not practical: use voice typing as a fallback
Google News Initiative describes a workaround: open Google Docs Voice Typing on the computer, start it, and play the phone recording near the computer microphone. This is not a direct audio-file import. It depends on the playback being clear enough for the microphone to capture; if a passage is unclear, the training material suggests listening to it and repeating the words more clearly into the computer microphone.
Use this route when direct upload is unavailable or inconvenient, not as a substitute when a supported file-upload workflow is available. Google’s instructions are in its Voice Typing training guide.

Advanced route for calls, voicemail, or development workflows
For a developer or organization building a transcription workflow, Google Cloud Speech-to-Text documents a phone_call model for audio captured on a phone, such as a call or voicemail, with an optional enhanced model. Google’s tutorial says to set the model field in the RecognitionConfig payload to phone_call for this kind of audio. This requires a configured Google Cloud project, credentials, and a development environment; Google identifies the service as billable. It is more setup than most people need for a one-off memo. How to choose a route
- Use an existing phone transcript when the recording app supports it, the device and language are eligible, and copying or exporting the text is sufficient.
- Upload the audio to Word when your account has Transcribe, the file is in a supported format, and OneDrive storage is acceptable for the recording.
- Try Docs Voice Typing when you cannot use direct upload and can play a clear recording near the computer microphone.
- Consider a cloud API when you need a repeatable technical workflow for phone calls or voicemail and can handle setup, credentials, and billable use.
The official materials cited here do not establish a comparative accuracy benchmark across these routes. Regardless of which one you choose, check the transcript against the audio before using it as a record of what was said.
