Clockify can help a team record work hours, review and approve timesheets, check regular and overtime totals, and export time data for payroll processing in another app. It is a payroll-preparation workflow—not a service that, by itself, withholds taxes, files payroll forms, or pays employees.
How does Clockify payroll preparation work?
Clockify combines time tracking, labor-cost estimates, attendance reporting, approvals, and exports. The practical sequence is to set rates, collect hours and absences, review submitted time, inspect totals, and pass the approved data to the system that runs payroll.
Clockify’s Payroll Management & Time Tracking Software describes calculating earnings from tracked time and then running payroll in other apps. Treat Clockify’s reports and exports as inputs: verify them against your employer’s pay rules and payroll system before processing.
How to manage payroll with Clockify
1. Set employee cost rates
Clockify lets administrators set cost rates for an organization, individual employees, projects, or tasks. These rates can help estimate labor costs or earnings from recorded time; they do not make a complete gross-to-net payroll calculation or establish deductions, withholding, or take-home pay.

2. Collect work hours and absences
Team members can record work with a timer or timesheet. Clockify’s timesheet feature supports entering and submitting time, and its payroll workflow also includes time off and breaks. Choose a consistent method for the team so that hours are recorded against the right people and work.

3. Review, approve, and lock time
Managers can review submitted timesheets, approve or reject them, and lock time to reduce changes after review. Clockify’s help page currently describes time approval as a paid feature on Standard, Pro, or Enterprise; confirm the current plan details in Clockify before relying on approvals for payroll.

4. Check regular and overtime totals
Clockify’s payroll workflow treats hours beyond a configured team capacity as overtime and makes overtime visible in attendance reports. That setting is a reporting mechanism, not a determination of legally owed overtime. Employers need to apply the rules that govern the employee’s location and circumstances; this article does not establish jurisdiction-specific compliance.
5. Export data to the payroll system
After reviewing the hours and reports, export the time data and import it into the app used to run payroll. Check the imported totals and employee records in that downstream system before processing pay. Clockify’s payroll page directs users to run payroll in other apps rather than claiming that Clockify itself pays employees or handles tax filings and deductions.
Can Clockify run payroll?
Clockify can support payroll preparation by collecting time, estimating labor costs, and reporting hours. Its documented workflow sends exported hours to another app to run payroll. The distinction matters: accurate time records are one input to payroll, while tax withholding, deductions, filings, and payment belong to the payroll process and system you use.

Clockify documents a connection to QuickBooks Online for sending tracked time. Its help page lists Clockify Standard, Pro, or Enterprise and QuickBooks Online Essentials, Plus, or Advanced as prerequisites. For an account with QuickBooks Payroll enabled, the article describes a QuickBooks Payroll add-on path; the separate standard integration path does not work when the QuickBooks account has Payroll enabled.

The help article also says user names and customer or project names must match between Clockify and QuickBooks. Integration steps and compatibility can change, so check the current QuickBooks: Clockify integration instructions before connecting accounts.

Clockify says it integrates with 100+ web apps, a first-party figure for which the company does not state a publication year; QuickBooks is among the integrations it features. That count is not an independently audited compatibility guarantee. When comparing tools, assess the parts of the workflow that affect your payroll handoff:
- Time entry: Check whether employees can use the timer or timesheet workflow your team will consistently follow.
- Review controls: Confirm whether approvals, locking, and any audit history meet your review process, and whether the required features are included in your plan.
- Attendance reporting: Check how the tool displays overtime, breaks, and leave, and whether its settings match the rules you need to apply.
- Integration requirements: Verify supported payroll or accounting products, required plan tiers, add-ons, account configuration, and matching employee or project records.
- Export and processing: Confirm the available handoff and how your payroll system imports and validates the time data.
- Payroll responsibilities: Establish which system handles deductions, tax calculations and filings, and employee payment.
Clockify’s payroll page also publishes a customer testimonial from Bojan Cincur, Founder of Zlurad, describing time tracking and workload organization as helpful for billing and payroll. That is a customer statement published by Clockify, not independent evidence of payroll accuracy or error reduction.
