How to choose a CRM for your real estate workflow
Start with the daily work the CRM must support, then compare products against that list. A specialist system may reduce setup when your process depends on property portals, MLS/IDX data, or transaction stages; a general CRM can fit simpler workflows or teams that value broader sales and marketing tools.
Lead capture and routing
List your actual lead sources, such as your website and property portals. Find out whether each source can feed the CRM, whether new leads can be assigned automatically, and how the system handles duplicate or unassigned contacts. Check how the CRM handles calls, texts, emails, reminders, and longer-term follow-up. A feature is useful only if it fits the way agents work and makes it clear who owns the next action. Ask whether communications and tasks can be seen across the team, and whether the workflow works for both new inquiries and contacts who may not be ready to transact soon.

The cited descriptions support Lofty’s inclusion of an IDX website and Follow Up Boss’s real estate lead-management focus, but they do not establish that every product includes each of these capabilities. Confirm the exact features and integrations with the vendor before choosing.
Team operations and field use
For a team, check assignment rules, shared visibility, accountability, reporting, and the number of seats included. For agents working between calls and showings, assess the mobile experience by checking whether it is practical to update notes and tasks on the go. HubSpot’s overview describes mobile use, but the sources do not provide comparative mobile testing.

When a specialist CRM makes sense—and when a general CRM may work
A real-estate-specific CRM is worth considering if your team depends on property portals, MLS/IDX data, property-interest tracking, or transaction-specific processes. A general CRM such as HubSpot may be a better fit if your processes are straightforward or you want broader sales and marketing tools; allow time to configure property-related fields and stages if you need them.
