Top 12 Professional Services Automation Tools 2026 include Kantata for complex services operations, Certinia for Salesforce-centric firms, NetSuite SuiteProjects Pro for NetSuite customers, BigTime for finance-led teams, Scoro and Productive for agencies, Rocketlane for onboarding, and Hello Bonsai for freelancers. The best PSA platform depends on your billing model, resource-planning needs, financial complexity, existing systems, and implementation capacity.
Professional services automation (PSA) software connects the commercial and operational lifecycle of client work: selling an engagement, estimating effort and rates, staffing the project, recording time and expenses, monitoring budget and margin, billing the customer, and forecasting revenue and capacity. The 12 products below are therefore organized by best fit rather than treated as interchangeable products.
Key takeaways
- Kantata is the strongest general fit for mid-market and enterprise services firms with sophisticated resource management, forecasting, and project-financial requirements.
- Certinia Professional Services Cloud is the natural PSA shortlist candidate for organizations already committed to Salesforce, while NetSuite SuiteProjects Pro is the corresponding ERP-connected option for NetSuite customers.
- BigTime is especially suitable for firms prioritizing time, expenses, WIP, billing, utilization, and financial reporting; Scoro and Productive are stronger agency-oriented all-in-one choices.
- Rocketlane specializes in client-facing onboarding and implementation delivery, so it should not automatically be compared with finance-first enterprise PSA suites.
- Hello Bonsai is a lightweight option for freelancers and micro-firms, not a functional equivalent of Kantata, Certinia, Deltek Vantagepoint, or NetSuite.
- Public prices are starting signals rather than guaranteed quotes because annual billing, minimum seats, modules, integrations, implementation, and geography can materially change total cost.
What is PSA software?
PSA software connects people, projects, and financial outcomes in one operating model. A typical PSA platform may include opportunity and quote data, statements of work, project planning, resource allocation, skills and availability, time and expense capture, rates, budgets, billing, work in progress, revenue forecasting, portfolio reporting, and integrations with CRM, accounting, ERP, HR, and business-intelligence systems.
The complete operating cycle is usually:
- Sell the work through an opportunity, quote, or statement of work.
- Estimate roles, hours, costs, rates, scope, and expected margin.
- Assign people according to availability, skills, location, and utilization targets.
- Deliver the engagement and monitor milestones, risks, dependencies, and scope changes.
- Capture billable and non-billable time and expenses.
- Compare actual cost and effort with the budget and forecast.
- Generate invoices for time, milestones, retainers, expenses, or fixed-fee work.
- Forecast or recognize revenue according to the organization’s accounting process.
- Analyze utilization, backlog, capacity, profitability, receivables, and future staffing requirements.
Scoro’s official product overview illustrates the broad PSA model by combining estimating, project profitability, resource planning, time tracking, invoicing, expenses, CRM, and reporting. PSA products vary substantially in how deeply they handle accounting, revenue, compliance, and resource optimization.

What is the difference between PSA and project-management software?
Project-management software primarily organizes tasks, deadlines, documents, and collaboration. PSA software adds the operational and financial controls required to manage a services business as a business, not merely as a collection of projects.
| Capability | Project-management tool | PSA platform |
|---|---|---|
| Tasks and deadlines | Usually included | Included |
| Team collaboration | Usually included | Usually included |
| Time tracking | Sometimes included | Usually central |
| Resource capacity planning | Sometimes limited | Core capability |
| Skills, availability, and utilization | Often limited | Commonly supported |
| Billable rates and cost rates | Rare or basic | Common |
| Project margin and profitability | Often limited | Core capability |
| WIP and invoice conversion | Rare | Common |
| Revenue forecasting or recognition | Rare | Available in mature platforms |
| CRM-to-delivery handoff | Varies | Common selection criterion |
| Accounting or ERP integration | Varies | Important selection criterion |
A project-management product can be an appropriate lighter operational tool, but a task board should not be labeled a full PSA platform unless it supports the people, project, and financial processes the buyer actually needs.
How were the 12 PSA tools selected?
The shortlist reflects product scope, resource and capacity management, time and expense tracking, billing and financial controls, reporting, integrations, industry fit, implementation burden, pricing transparency, and current market relevance. The rankings are editorial best-fit recommendations, not the result of hands-on testing or a claim that one vendor is objectively best for every firm.
The list intentionally includes different classes of products:
- Enterprise and complex-finance PSA: Kantata, Certinia, NetSuite SuiteProjects Pro, Deltek Vantagepoint, and Polaris PSA.
- Mid-market financial and operational PSA: BigTime, Scoro, Accelo, and Projectworks.
- Agency and creative-services PSA: Productive and Scoro.
- Client onboarding and implementation PSA: Rocketlane.
- Lightweight PSA alternative: Hello Bonsai.

|---|---|---|---|---|
| Kantata | Mid-market and enterprise services firms | Resource management, delivery, forecasting, and project financials | Complex implementation and quote-led pricing | Quote required |
| Certinia Professional Services Cloud | Salesforce-centric organizations | Salesforce-native PSA and financial management | Requires Salesforce ecosystem maturity | Quote required |
| NetSuite SuiteProjects Pro | Existing NetSuite customers | ERP-connected projects, resources, and financials | Best value when NetSuite is already central | Quote and product verification required |
| Deltek Vantagepoint | Architecture, engineering, consulting, and government contracting | Industry-specific project accounting and business management | Specialized and enterprise-oriented | Quote required |
| Polaris PSA | Firms needing quote-to-cash visibility | Resource planning, time, billing, and profitability | Validate package and integration scope | Conflicting public signals of about $29–$49/user/month |
| BigTime | Mid-market IT, engineering, accounting, and consulting firms | Time, expenses, WIP, billing, utilization, and reporting | May feel finance-led rather than collaboration-led | About $20/user/month in comparison coverage |
| Scoro | Agencies and consultancies | CRM, quoting, delivery, resources, time, profitability, and invoicing | Test depth of complex accounting controls | Official starting signal around $19.90/user/month |
| Productive | Creative and digital agencies | Project operations, workload, budgets, and profitability | Verify accounting and revenue depth | About $10/month annually in secondary coverage |
| Rocketlane | SaaS onboarding and implementation teams | Client-facing delivery and onboarding | Not a finance-first PSA for every firm | About $19/user/month annually in secondary coverage |
| Accelo | Small and midsize service businesses | Connected sales, service, projects, time, and billing | Financial reporting may be less deep | Pricing generally by request |
| Projectworks | Smaller and midsize consultancies | Resources, time, projects, and financial data | Validate regional finance requirements | About $17.10/user/month annually in secondary coverage |
| Hello Bonsai | Freelancers and micro-firms | Clients, contracts, projects, time, and invoices | Not designed for complex resource planning | About $15/user/month in secondary coverage |
Pricing in the table is not directly comparable. Some amounts are annual-billing or per-user starting points, some are package signals, and enterprise products may add minimum seats, implementation, integrations, storage, finance modules, or partner services.
Which PSA tool is best for complex services operations?
1. Kantata — best for sophisticated resource management
Best for: Mid-market and enterprise professional-services organizations with complex staffing, utilization, forecasting, and project-delivery requirements.
Kantata combines the product lineages formerly associated with Mavenlink and Kimble. Kantata describes the merger as creating a PSA offering with both open-infrastructure and Salesforce-platform options. Its product family includes Kantata OX, associated with the Mavenlink lineage, and Kantata SX, associated with the Kimble and Salesforce-native lineage, alongside resource management, financial management, business intelligence, project management, collaboration, integrations, and workflows.

Read Kantata’s product-transition overview when determining whether Kantata OX or Kantata SX better matches the firm’s platform strategy.
Why consider it: Kantata is a strong candidate when capacity, skills, utilization, project forecasting, and delivery economics matter as much as task management.
Main drawbacks: Implementation and configuration can be heavy, pricing is sales-led, and a small firm may pay for capabilities it will not use.
Avoid Kantata if: The firm mainly needs proposals, simple timesheets, and invoices.
2. Certinia Professional Services Cloud — best for Salesforce-centric organizations
Best for: Organizations already standardized on Salesforce or willing to make Salesforce the central operating platform.
Certinia’s professional-services overview positions Professional Services Cloud as Salesforce-native and connects resource planning, project delivery, financial management, billing, revenue and cost data, customer success, analytics, and Salesforce records and workflows. Certinia targets consulting, IT services, software, IT hardware, and tax-and-audit organizations.
Why consider it: A Salesforce-centric company can keep customer, opportunity, delivery, and financial workflows in a closely connected platform rather than building a fragile collection of integrations.
Main drawbacks: Salesforce and Certinia licensing must be assessed together, and implementation usually requires experienced administrators or partners. The product is less attractive to a small business seeking a transparent, self-serve price.

3. NetSuite SuiteProjects Pro — best for existing NetSuite customers
Best for: Firms that already use Oracle NetSuite as their financial system and want project, resource, billing, and financial operations connected to the ERP.
NetSuite SuiteProjects Pro belongs on the shortlist primarily because of its ERP connection. The available 2026 comparison coverage identifies it as a PSA option, but the dossier does not provide enough current official product documentation or public pricing to verify detailed 2026 package claims. Buyers should confirm the current product name, included modules, revenue-recognition capabilities, regional availability, and licensing directly through Oracle NetSuite’s current project-services resources.
Why consider it: An existing NetSuite customer may gain more from connected project accounting than from adopting a separate standalone PSA system.
Recommended Free Tools
Main drawbacks: SuiteProjects Pro is a weak standalone value proposition for a buyer that does not want NetSuite. ERP-connected implementations can also require substantial data, process, integration, and finance work.
Do not assume: NetSuite’s presence automatically means every PSA feature is included. Confirm licensing, billing, revenue, reporting, and implementation scope in the quote.
4. Deltek Vantagepoint — best for architecture, engineering, and government contracting
Best for: Architecture, engineering, consulting, government-contracting, and other project-based firms with specialized accounting, compliance, auditability, and resource requirements.

- Kid Friendly Features and Parental Controls: This tablet includes the Google Kids Space app, which allows parents to manage app access and screen time through Family Link for a safe experience. Other features include GPS, wireless screen mirroring, eye protection mode and Bluetooth 5.2.
Deltek Vantagepoint is a vertical, industry-oriented business-management and PSA candidate rather than a lightweight agency application. It is most compelling where project accounting, compliance, indirect rates, government requirements, CRM, resource planning, and financial management need to work together.

Why consider it: Specialized workflows can outweigh the convenience and lighter interface of a general agency PSA.
Main drawbacks: Vantagepoint may be excessive for a conventional marketing or design agency, and configuration and implementation should be evaluated with an experienced Deltek partner.
Important distinction: Deltek Vantagepoint and Polaris PSA should not be treated as simple product tiers of the same system. They address overlapping but different operational needs.

5. Polaris PSA — best for quote-to-cash visibility
Best for: Services firms prioritizing resource allocation, time tracking, billing, profitability, and quote-to-cash visibility.
Polaris PSA is evaluated around resource allocation, planning, billing, invoicing, project planning, and project tracking. Capterra’s PSA category listing displays a $29 per-user-per-month starting signal, while another 2026 comparison reports a $49 per-user-per-month starting point. The conflicting signals make a current vendor quote essential.
Why consider it: Polaris is a candidate for firms that need structured resource and billing workflows rather than a basic project board.
Main drawbacks: Exact pricing may vary by edition, billing cadence, modules, minimum seats, and integrations. Validate accounting connectivity and reporting depth before treating Polaris as a financial-system replacement.
6. BigTime — best finance-first mid-market PSA
Best for: Mid-market IT, engineering, accounting, and consulting firms that want time, expense, WIP, billing, utilization, project profitability, and financial reporting connected.
BigTime’s July 1, 2026 comparison describes general-ledger-connected reporting, utilization and project-profitability dashboards, billing-cycle analytics, and a Data Hub for Power BI and Tableau. The same comparison gives a starting price signal of approximately $20 per user per month.
Why consider it: BigTime is especially attractive to finance and operations leaders that have outgrown spreadsheets but do not want an extended enterprise implementation. Demonstrate time and expense capture, WIP-to-invoice conversion, AR aging, utilization, project profitability, QuickBooks and Sage connectivity, and Power BI or Tableau access.
Main drawbacks: BigTime may feel more finance-led than collaboration-led. A firm that needs Salesforce-native workflows or highly customer-participatory delivery may prefer Certinia or Rocketlane.

7. Scoro — best broad all-in-one PSA for agencies and consultancies
Best for: Agencies and consultancies wanting CRM, quoting, project delivery, resource planning, time, expenses, profitability, reporting, and invoicing in one system.
Scoro’s official product page presents the platform for consultancies, agencies, IT, architecture, and engineering firms. Scoro lists estimating, role- and effort-based planning, project budgets, capacity planning, retainers, time tracking, expenses, invoicing, cost management, CRM, dashboards, and its ELI AI assistant. The official page displays a starting-plan signal around $19.90 per user per month and a 14-day free trial.
Why consider it: Scoro can reduce the need to connect separate CRM, quoting, project, resource, time, and invoicing tools.
Main drawbacks: Broad all-in-one coverage does not necessarily equal specialized enterprise accounting. Test multi-entity, multi-currency, WIP, revenue, audit, tax, and ERP requirements rather than relying on the feature list.
Best fit: A growing agency or consultancy that wants operational and commercial visibility without immediately adopting an ERP-connected enterprise suite.
8. Productive — best agency-oriented end-to-end PSA
Best for: Creative agencies, digital agencies, and other project-based service businesses needing resource planning, project operations, budgeting, time tracking, workload visibility, and profitability.
The Digital Project Manager’s 2026 comparison places Productive first in its comparison and describes coverage across project management, time tracking, sales pipeline, profitability, workload, capacity, and efficiency reporting. The comparison reports a starting signal from about $10 per month when billed annually, but the amount should be checked against the current official Productive website before publication or purchase.

Main drawbacks: Buyers with complex revenue recognition, project accounting, or ERP requirements may need a finance-system integration or a different PSA. Confirm support for retainers, fixed-fee work, change orders, and the firm’s accounting platform.
9. Rocketlane — best for onboarding and implementation delivery
Best for: SaaS onboarding, implementation, professional-services delivery, and client-facing project teams.
Rocketlane emphasizes customer-participatory delivery: plans, milestones, dependencies, requests, templates, and repeatable onboarding workflows can be shared with clients. 2026 comparison coverage reports a starting signal of about $19 per user per month when billed annually and characterizes Rocketlane as delivery-focused and client-facing.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Why consider it: Rocketlane is a strong choice when customers need visibility into implementation progress and delivery teams need repeatable onboarding processes.
Main drawbacks: Rocketlane should not automatically be treated as a complete finance-first PSA. Ask for a demonstration of time, billing, revenue, utilization, WIP, accounting, CRM, and support integrations if those functions are central to the purchase.
Best alternative: A finance-led services firm may be better served by BigTime, while a Salesforce-centric enterprise may prefer Certinia.
10. Accelo — best for connected quote-to-cash service operations
Best for: Small and midsize service businesses that want sales, service delivery, projects, time, and billing connected.
BigTime’s 2026 comparison categorizes Accelo for small to midsize service businesses and describes its financial reporting as more limited than BigTime, Scoro, or Certinia. The Digital Project Manager’s 2026 comparison positions Accelo around quote-to-cash profitability and reports pricing as available on request.
Why consider it: Accelo can suit a service business that wants CRM and service operations to flow into delivery and billing.
Main drawbacks: Reporting and financial depth may not match an enterprise PSA. Verify current packaging, roadmap, integrations, project accounting, and reporting before selecting it for complex services operations.
11. Projectworks — best for growing consultancies
Best for: Smaller and midsize consulting and professional-services firms linking resources, time, projects, and financial information.
The Digital Project Manager’s 2026 comparison positions Projectworks around connecting resource and financial data and reports a starting signal of approximately $17.10 per user per month when billed annually, with a 21-day trial and free demo. Projectworks also maintains an official pricing page, which should take precedence when validating current plans.
Why consider it: Projectworks may offer a middle path for a growing consultancy that needs more than basic project management but is not ready for a heavyweight enterprise suite.
Main drawbacks: Validate accounting, tax, currency, regional invoicing, payroll, and integration requirements. Projectworks should not be presented as feature-equivalent to Kantata, Certinia, or NetSuite.

12. Hello Bonsai — best lightweight PSA alternative
Best for: Freelancers, independent consultants, and very small professional-services firms needing client management, proposals, contracts, projects, time, and invoices.

Why consider it: Hello Bonsai offers lower complexity and is likely to be faster to adopt than an enterprise PSA. A solo operator can manage basic client and project administration without implementing sophisticated resource, accounting, or portfolio controls.
Main drawbacks: Hello Bonsai is not designed for advanced resource forecasting, utilization management, multi-level project accounting, WIP, revenue recognition, complex approval chains, or enterprise reporting.
Editorial verdict: Treat Hello Bonsai as a lightweight PSA alternative, not as a direct competitor to Certinia, Kantata, Deltek Vantagepoint, or NetSuite.

How much does PSA software cost in 2026?
PSA software pricing in 2026 ranges from lightweight self-serve plans to quote-based enterprise contracts, but public starting prices are not apples-to-apples. Per-user rates may require annual billing, higher plans, minimum seats, paid modules, implementation, integrations, or separate financial and CRM products.

| Scoro | About $19.90/user/month | Signal displayed on the official site; confirm plan, billing cadence, and add-ons |

Also budget for data cleanup, migration, workflow design, training, implementation consulting, accounting reconciliation, integrations, support, and ongoing administration. A low subscription price can become poor value if the platform cannot model the firm’s billing or financial process without manual workarounds.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How long does PSA implementation take?
PSA implementation may take a few weeks for a lightweight deployment or many months for an enterprise rollout. The duration depends on data quality, integrations, business units, historical migration, approval workflows, finance requirements, and the organization’s ability to enforce new processes.

1. Does the platform match your services operating model?
Document whether the firm sells time and materials, fixed-fee projects, milestones, retainers, managed services, staff augmentation, subscription-plus-services engagements, outcome-based work, or government contracts. A tool that handles retainers well may not support complex fixed-price revenue processes.
2. How much financial control is necessary?
List requirements for multiple legal entities, currencies, WIP, accruals, revenue recognition, deferred revenue, project accounting, cost and billing rates, intercompany work, audit trails, government cost structures, tax, and ERP integration. A PSA integration with an accounting system is not automatically an accounting replacement.
3. How deep must resource management be?
Evaluate availability, skills, role-based planning, soft and hard bookings, capacity forecasting, utilization targets, scenario planning, bench visibility, contractor management, time zones, conflict detection, and assignment changes. Basic staffing calendars may be enough for a small agency; enterprise services firms may need scenario planning and forecast models.
4. Which system owns financial truth?
Ask which platform is authoritative for customers, projects, rates, invoices, payments, revenue, corrections, and reporting. Determine what happens when an invoice changes after export and whether the PSA can reconcile with the general ledger.
5. Can executives and finance users trust the reports?
Users should be able to drill from an executive KPI to the project, invoice, person, and time entry behind it. Ask whether utilization and profitability are calculated consistently, whether raw data can be exported, whether an API is available, and whether Power BI or Tableau integration is supported. BigTime’s current reporting materials specifically highlight accounting-connected reporting, project profitability, utilization, WIP, AR aging, and Power BI/Tableau access.
How should you run a PSA vendor demonstration?
Require every shortlisted vendor to demonstrate the same end-to-end scenario. A feature checklist hides the most important differences; a realistic workflow exposes them.
- Create a lead or opportunity.
- Convert the opportunity into a proposal or project.
- Estimate roles, hours, costs, billing rates, and expected margin.
- Allocate people according to skill and availability.
- Change the project scope and show the impact on staffing, budget, and forecast.
- Capture billable and non-billable time.
- Submit and approve expenses.
- Compare budget, actuals, forecast, utilization, and margin.
- Generate an invoice for the chosen billing model.
- Show dashboards for utilization, backlog, project profitability, and capacity.
- Export or integrate the information with accounting and BI tools.
- Correct a timesheet, reverse an invoice, and handle a change order.
Ask the vendor to show the workflow using your own rate cards, project types, approval rules, accounting system, and sample data where possible. Also ask which steps require a separate module, custom development, partner configuration, or manual export.
What are the main PSA implementation risks?
Bad processes become visible
A PSA platform cannot fix inconsistent project codes, rate cards, approval rules, time-entry expectations, or definitions of billable time, utilization, margin, revenue, cost, capacity, forecast, and backlog. Implementation often reveals those organizational problems before software automation can help.

Maximizing billed hours can leave no capacity for sales support, training, innovation, management, vacation, quality assurance, or business development. Define productive utilization in the context of the firm’s strategy instead of rewarding the highest possible percentage.
Time tracking requires governance
Even a strong PSA will produce poor reports when employees submit late timesheets, guess at hours, omit internal work, use inconsistent project codes, or split time across too many projects. Establish ownership, deadlines, approval rules, and correction procedures before rollout.
Integrations require ownership decisions
Decide where invoices are created, where payments are recorded, where revenue is recognized, how corrections synchronize, and which system owns customer, project, and rate records. “Integrates with accounting” is not a sufficient answer.
AI features need evidence
Scoro describes its ELI AI assistant, while BigTime describes AVA and an Insights Engine in its comparison materials. Treat those as product-positioning claims until a vendor demonstrates what data the AI uses, whether the output is predictive or generative, whether forecasts are explainable, whether actions are auditable, whether the feature is generally available, and whether customer data is used for model training.
How do you know whether your firm needs full PSA software?
A spreadsheet, accounting system, and project-management tool may remain sufficient for a small firm with few projects, simple billing, stable staffing, and little need for forward capacity planning. Full PSA becomes more compelling when disconnected tools cause recurring operational problems.
- Leaders cannot see future capacity or who is available for a new engagement.
- Project managers cannot reliably compare budget, actual effort, cost, and margin.
- Timesheets arrive late or require repeated manual reconciliation.
- Sales promises work that delivery teams cannot staff.
- Finance manually moves data between CRM, project, time, billing, and accounting systems.
- Different teams calculate utilization, profitability, backlog, or revenue differently.
- Fixed-fee, milestone, retainer, or change-order billing is difficult to administer.
- Growth adds legal entities, currencies, rate cards, approvals, or compliance requirements.
Do not buy enterprise PSA solely because the organization has many tasks. Buy it when the firm needs a connected model of people, projects, and financial outcomes.
How should you build a shortlist?
Start with two or three candidates that match the operating model, then eliminate products that fail a must-have financial or integration requirement. A practical shortlist might look like this:
- Salesforce-centric enterprise: Certinia and Kantata SX.
- NetSuite-centered finance operation: NetSuite SuiteProjects Pro plus one standalone alternative for comparison.
- Architecture, engineering, or government contracting: Deltek Vantagepoint.
- Finance-led mid-market consultancy: BigTime, Projectworks, and Scoro.
- Creative or digital agency: Productive, Scoro, and Accelo.
- Client onboarding and implementation: Rocketlane, with BigTime or another finance-led platform if billing depth is essential.
- Solo consultant or micro-firm: Hello Bonsai, unless the firm is close to needing shared capacity planning or project accounting.
Use a weighted scorecard rather than a feature-count contest. One workable starting point is 25% financial and billing fit, 20% resource and capacity management, 15% reporting and data access, 15% integration fit, 10% usability and adoption, 10% implementation effort, and 5% pricing transparency. Change the weights when the firm’s operating model makes another criterion more important.
Implementation checklist
- Define the authoritative system for customers, projects, rates, invoices, payments, and revenue.
- Clean project codes, customer records, employee records, rate cards, cost rates, and historical data.
- Document billing models, approval rules, write-offs, credit notes, change orders, and invoice corrections.
- Decide which historical projects and financial records must be migrated.
- Map CRM, accounting, ERP, HR, payroll, support, and BI integrations.
- Define billable, non-billable, internal, vacation, training, and business-development time.
- Set utilization, capacity, margin, backlog, and forecast definitions that every department will use consistently.
- Assign executive ownership, finance ownership, operational ownership, and system-administrator responsibility.
- Pilot with representative project types before rolling out to every business unit.
- Train managers and consultants on time entry, approvals, staffing, scope changes, and corrections.
- Measure adoption and reconciliation quality after launch rather than declaring success at go-live.
Frequently Asked Questions
What is PSA software?
PSA software connects sales, project delivery, resource planning, time and expenses, billing, project financials, revenue forecasting, and reporting. PSA software is designed to connect people, projects, and financial outcomes rather than only organize project tasks.
Is PSA software the same as project-management software?
No. Project-management software usually focuses on tasks, deadlines, documents, and collaboration, while PSA software adds resource capacity, utilization, billable rates, project margin, WIP, billing, revenue, and accounting or ERP integration.
Which PSA software works best with Salesforce?
Certinia Professional Services Cloud is the strongest Salesforce-native candidate because it is built on Salesforce and connects professional-services delivery with financial-management workflows. Kantata SX is another candidate for organizations evaluating a Salesforce-oriented Kantata option.
Which PSA software is best for agencies?
Scoro and Productive are the strongest agency-oriented candidates in this list. Scoro emphasizes CRM, quoting, resources, projects, time, profitability, and invoicing, while Productive emphasizes agency workload, capacity, project operations, budgets, and profitability.

Can PSA software replace accounting software?
Usually not automatically. PSA software may manage project financials, WIP, billing, and revenue data while integrating with an accounting or ERP system. Buyers must determine which system owns invoices, payments, revenue recognition, tax, the general ledger, and corrections.
How long does PSA implementation take?
Implementation can take a few weeks for a lightweight deployment or several months for an enterprise rollout. Secondary 2026 comparison estimates range from about two to four weeks for Rocketlane to six to twelve months for Kantata and Certinia, but actual duration depends on integrations, data quality, finance requirements, and organizational scale.
The Bottom Line
There is no universally best professional services automation platform in 2026. Choose Kantata for sophisticated enterprise resource and delivery management, Certinia for Salesforce-native operations, NetSuite SuiteProjects Pro for an existing NetSuite environment, Deltek Vantagepoint for specialized architecture, engineering, and government-contracting needs, BigTime for finance-led mid-market control, Scoro or Productive for agencies, Rocketlane for client-facing onboarding, and Hello Bonsai for lightweight solo operations. Shortlist two or three products, run the same end-to-end demo, and validate billing, accounting, reporting, implementation, and adoption before signing.
