Short answer: Titan Mail is a focused business-email service whose available mailbox tiers depend on the provider managing your domain. Microsoft’s closest email-only comparison is Exchange Online, not the entire Microsoft 365 suite. Titan can cover straightforward mail, calendar, alias, forwarding, and mailbox administration; Exchange Online offers the larger administrative surface, identity integration, policy tooling, reporting, and migration options. Choose by required mailbox capacity, the applications you need beyond email, administrative complexity, and the price available in your country.
The storage numbers look similar at the top end: Titan’s documented tiers list 10 GB, 50 GB, and 100 GB per account, while Exchange Online lists 50 GB and 100 GB mailboxes. Those figures are not automatically interchangeable. Titan says the domain’s selected plan determines storage, and Microsoft 365 suites have separate packaging and archive entitlements. Confirm the exact offer and SKU before moving users.
What is actually being compared?
Titan Mail and Microsoft 365 can both provide a custom-domain business inbox, but they are packaged differently. Titan is presented through a domain provider’s plan for that domain. Its support documentation describes Pro, Premium, and Ultra feature tiers, yet also warns that mailbox space depends on the plan selected for the domain. A tier name seen in a general feature table is therefore not a guarantee that every registrar, host, or reseller offers the same capacity.

Microsoft describes the service this way: “Microsoft Exchange Online is a hosted messaging solution that delivers email, calendar, contacts, and tasks from PCs, the web, and mobile devices.” The statement appears in Microsoft Learn’s Exchange Online service description.
Mailbox storage: the numbers and the qualifications
Titan’s published feature table lists storage per account, while its storage article makes the important qualification that the domain’s plan controls the available space. Microsoft’s U.S. Exchange Online page lists mailbox capacities by plan. The table below keeps those qualifications attached to every figure.

How quota exhaustion affects Titan users
Titan states that a mailbox over its storage quota cannot send or receive email. Its documented remedies are to upgrade the domain plan or delete messages. This is an operational issue, not merely a planning statistic: an account that reaches its limit can stop accepting new mail as well as sending outgoing messages.

- Check the mailbox’s current usage before migration and before assigning a lower-capacity tier.
- Identify large attachments, old conversations, and shared or catch-all addresses that may consume the allowance.
- Keep an escalation path: know which higher plan the provider can sell and who is authorized to approve it.
- If an upgrade is unavailable, establish a deletion or retention process before users approach the limit.
The supplied Microsoft plan page establishes mailbox capacities but does not provide a single universal quota-remediation procedure for every Microsoft 365 SKU. Review the exact license’s mailbox and archive terms, retention requirements, and regional documentation before promising additional space.

Titan is consequently a reasonable fit when the requirement is a branded mailbox with a compact set of built-in services. Microsoft becomes a different proposition when the organization also wants the applications and services included in a particular Microsoft 365 suite. Compare the actual subscription contents, not the umbrella name.
Titan’s administrator controls
Titan’s admin feature documentation describes a mailbox-oriented console. The documented actions include:
- Create user accounts and reset passwords.
- Manage aliases attached to mailboxes.
- Suspend or unsuspend accounts when a user leaves, is locked out, or returns.
- Delete mailboxes when an account is permanently removed.
- Configure internal forwarding.
- Set catch-all behavior for addresses that do not match a named mailbox.
- Import email data when bringing existing mail into Titan.
Titan also says that email backups, custom branding, and spam-filter controls are available only on selected plans. Treat those as entitlement checks during procurement. If your administrator must tune filtering, preserve backups, or apply a branded experience, ask the provider to identify the exact tier that enables each control rather than assuming every Titan account has it.

What Titan’s control model means in practice
The listed controls cover the routine lifecycle of a small business mailbox: provisioning a person, recovering access, adding a role address, routing mail internally, and removing an account. They also expose two areas that deserve a written policy. First, catch-all addresses can collect mail sent to mistyped or obsolete names, so decide who monitors that destination. Second, forwarding can move business correspondence to another mailbox; restrict who may configure it and document the approved targets.
Because storage is attached to the domain plan, the person responsible for administration should also know the provider’s upgrade process. A Titan administrator may be able to manage the mailbox itself but still need the domain provider to change the tier that controls capacity.
Microsoft’s administrator surface
Microsoft documents a broader set of management tools for Exchange Online. Depending on the plan and assigned permissions, administrators can work through the Microsoft 365 admin center, Exchange admin center, and remote PowerShell. The service description also covers anti-spam and malware policies, quarantine, reporting and usage information, and migration paths. Exchange Online integrates with Microsoft Entra ID, Microsoft’s identity directory, so mailbox access can be managed alongside tenant identities.

Microsoft explicitly notes that its feature tables contain caveats and can change. A feature appearing in Exchange documentation does not mean every Plan 1, Plan 2, or Microsoft 365 suite exposes it in the same way. Match each required operation to the intended SKU and administrator role before purchasing.

Pricing and what can be compared safely
Microsoft’s U.S. Exchange Online page lists the following prices, paid yearly:

No comparable current Titan price is established here. Titan is commonly provisioned through a domain provider, so the relevant total can include the provider’s email plan, domain, taxes, and any bundled services. Obtain the written price for the actual domain and tier you will buy. Do not compare an unverified Titan reseller quote with Microsoft’s U.S. annual list price and call one universally cheaper.
For Microsoft, also separate an Exchange Online license from a broader Microsoft 365 subscription. A suite may cost more because it includes applications or cloud services that an email-only plan does not. Conversely, buying a suite when users need only mail can create an unnecessary per-user expense. Count users, shared addresses, required applications, and any archive or compliance needs in the same calculation.

Which service fits common business situations?
Choose Titan when the requirement is focused business email
- Your team primarily needs custom-domain email, a built-in calendar, mobile access, and basic mailbox lifecycle administration.
- The provider serving your domain offers the storage tier and controls you require at a price you have verified.
- You prefer a smaller administrative surface for creating accounts, aliases, forwarding, catch-all addresses, imports, and password resets.
- You do not need the wider productivity applications or identity and policy ecosystem associated with a Microsoft 365 tenant.
Before committing, confirm whether backups, branding, and adjustable spam controls are included in the exact Titan tier. Confirm the mailbox quota as well, because the feature-table capacity is not a universal entitlement across every provider.
Choose Exchange Online when administration and mail policy are central
- You need a 50 GB or 100 GB mailbox from a clearly documented Microsoft plan.
- Administrators require browser consoles plus PowerShell for repeatable or bulk changes.
- Anti-spam, malware, quarantine, reporting, and migration tooling are part of the operating model.
- Your organization already uses Microsoft Entra ID and wants mailbox identities managed within that directory.
- You expect to adopt a Microsoft 365 suite and want email managed in the same tenant, while still checking which features belong to the suite rather than Exchange itself.
The additional controls bring additional responsibility: define administrator roles, document mail-flow changes, review quarantine and reports, and test migration procedures before a cutover.
Use the capacity tiers as a first filter, not the final decision

A procurement and migration checklist
- Inventory the current environment. Record each mailbox’s size, aliases, forwarding rules, catch-all behavior, shared addresses, mobile devices, and retention requirements. Include dormant accounts and service addresses; they can affect both licensing and storage.
- Write the minimum acceptable specification. State the per-user capacity, calendar requirement, DKIM or filtering needs, backup expectation, branding requirement, administrator count, and required applications. Distinguish must-have controls from conveniences.
- Verify the exact seller and plan. For Titan, ask the domain provider to name the tier, capacity, and plan-limited features in writing. For Microsoft, record whether the quote is Exchange Online Plan 1, Plan 2, or a broader Microsoft 365 SKU, and note region and billing term.
- Map administrator responsibilities. Decide who can create, suspend, delete, and forward mailboxes. For Microsoft, identify the admin-center roles and whether PowerShell access is needed. For Titan, document which changes require the domain provider rather than the mailbox administrator.
- Prepare the data move. Use Titan’s documented import capability or Microsoft’s applicable migration path. Preserve aliases, forwarding decisions, and account ownership in a cutover worksheet. Do not delete the source until new mail flow and historical data have been checked.
- Test representative accounts. Verify sending and receiving, calendar access, mobile sign-in, aliases, internal forwarding, catch-all handling, DKIM or filtering behavior, and the administrator’s recovery process. Include one large mailbox and one address with unusual routing.
- Plan quota monitoring. Set a review cadence and escalation owner. For Titan, know in advance whether an upgrade is available; a full mailbox cannot send or receive until space is restored. For Microsoft, review the exact mailbox and archive terms of the licensed SKU.
- Schedule the cutover and rollback. Lower DNS time-to-live values in advance if your migration plan calls for it, communicate the change window, and retain the old service long enough to identify delayed messages. The precise DNS and verification sequence depends on the provider and is not identical between services.
Common mistakes and how to avoid them
Assuming a tier name is universal
Titan’s Pro, Premium, and Ultra figures come from Titan’s support material, but the storage article ties capacity to the plan selected for the domain. A reseller may expose a different catalog or bundle. Ask for the mailbox limit and feature inclusions for your domain, not a screenshot from another provider.

Exchange Online Plan 1 and Plan 2 are email-focused reference points. Microsoft 365 suites can include other services, so a suite comparison must list the exact applications, storage, archive, and security entitlements. Otherwise, the comparison mixes an email license with a bundle and produces a misleading price or feature verdict.
Buying on capacity alone
A 100 GB mailbox does not answer whether the service can perform the administrative tasks your business needs. Check alias and routing management, backup availability, filtering controls, reporting, migration, identity integration, and the people who will operate those tools.
Leaving quota recovery until an account is full
Titan’s stated behavior is especially important: once over quota, the mailbox cannot send or receive. Establish an owner for storage reviews and a documented upgrade or cleanup procedure before the first incident.
Bottom-line decision framework
Start with the mailbox size you can defend for the next few years, then verify who controls that quota. If your domain provider can supply the Titan tier and you need focused email administration, Titan may be the simpler fit. If you need the larger documented admin surface, identity integration, policy controls, reporting, or a path into a wider productivity suite, compare the appropriate Exchange Online or Microsoft 365 SKU. Finally, price the complete per-user package in your region and billing term; the available evidence does not support a universal price winner.
